Record the complete mandatory price, availability, source and capture time. A spreadsheet is enough for occasional checks; rate-shopping software becomes useful when manual checks no longer provide the coverage, consistency or history your team needs.
Build a comparison that is actually like for like
A price difference is meaningful only when the offers describe comparable stays. A lower headline rate may be for a different room, a restricted rate, or a price that excludes mandatory charges. Define the comparison before collecting numbers.
Choose a relevant competitive set
Include hotels a guest might realistically choose instead of yours. Consider location and access, property type and service level, room capacity, amenities, guest rating, and the occasions or traveler segments each property serves. Revisit the set by season or segment: a nearby hotel is not automatically a direct competitor for every date or guest.
Fix the search conditions
For each observation, keep the following conditions constant across properties and channels:

- Check-in and checkout dates, including length of stay.
- Number of adults and children, and the children’s ages if the booking site asks for them.
- Room category or a clearly equivalent room, including capacity.
- Meal plan, such as room only or breakfast included.
- Cancellation policy and deadline, refundability, and payment timing.
- Rate eligibility, such as member, loyalty, mobile-only, or country-specific pricing.
Mark restricted or conditional offers as such. Do not present a member-only or non-refundable rate as a like-for-like public flexible rate.
Set up a repeatable tracking workflow
- Choose dates that answer a business question. Include relevant weekdays and weekends, high- and low-demand periods, near-term and farther-out stays, and local event dates. Keep the itinerary fixed when comparing one observation with another.
- Search the relevant channels. Check your own direct booking path and the OTAs or other booking channels guests use in your market, alongside competitors’ listings. Follow the same search conditions wherever possible.
- Verify the offer. Confirm the room and rate conditions, whether the room can actually be booked, and whether the displayed price survives to the final booking step. A single result can reflect a temporary promotion, sold-out inventory, or a page that has not refreshed.
- Record the full mandatory price. Keep the nightly rate and stay total, currency, mandatory taxes and fees, and any available breakdown. Google Hotel Center policy says required taxes and fees, including mandatory hotel charges, belong in the total price; optional charges should not be added by default. Local display conventions vary, so preserve the source’s breakdown rather than silently treating unlike totals as equivalent.
- Save the observation. Add the capture date and time, source, stay conditions, availability and eligibility notes to a dated record. If an unexpected rate could affect a decision, check it again or verify it on the final booking page before reacting.
- Review patterns, not isolated numbers. Compare your rate with the competitive-set range and its movement over time. Note whether a competitor is repeatedly lower, whether its room is still available, whether the rate is conditional, and whether the difference occurs on only one channel.
- Investigate parity differences. Compare your public direct price with your own OTA or distributor listings under the same conditions. Check for promotions, member or mobile rates, tax and currency differences, mismatched rooms or cancellation terms, and stale pages or feeds. A flagged difference is a reason to investigate, not proof of its cause.
Use a consistent tracking sheet
A spreadsheet works for a small competitive set when someone owns the process and everyone uses the same search conditions. Use one row per property, channel and observation; retain dated history instead of overwriting the previous price.

For manual checks, use a named owner, a fixed schedule and a controlled template. That prevents different staff from comparing different guest counts, dates or room conditions and then treating the resulting gap as a market move.
Decide when to move from manual checks to software
Manual tracking is useful for a small set of properties, a limited set of channels, and spot-checking the booking path a guest sees. Consider a rate-shopping tool when the team cannot consistently maintain the checks, needs broader coverage, wants alerts or historical trends, or needs a shared view across several properties.

Questions to ask before choosing a provider
- Market and channel coverage: Does it monitor the booking sites and direct channels your guests use in your geography? Which properties or channels are excluded?
- Offer matching: Can it distinguish room type, occupancy, stay length, meals, cancellation terms, member or mobile rates, and mandatory fees?
- Freshness and history: How frequently are near-term and farther-out dates checked? Are timestamps and past observations retained?
- Competitive-set controls: Can you change properties by season or segment, and understand why an observation is missing?
- Alerts and workflow: Can staff set useful thresholds, see the source and comparison conditions, and route an issue to the right team?
- Integrations and export: Can the data reach your revenue-management system, channel manager, dashboard or spreadsheet without losing the conditions behind each price?
- Verification and total cost: Ask for current coverage, implementation, contract and pricing details. Compare the tool against a manual booking-path check for searches you can verify; do not assume advertised coverage or results apply to every market.
Interpret the data without overreacting
A competitor’s public rate is one snapshot, not a view of that hotel’s costs, demand, inventory strategy or future pricing. Use it alongside your own pickup, inventory, booking pace and revenue goals. Preserve observations before changing your strategy: history helps distinguish a recurring position from a short-lived promotion or availability change.
For parity monitoring, separate your own channel discrepancy from a competitor comparison. A difference between your direct site and an OTA may come from promotion eligibility, taxes, currency, room or cancellation mismatch, or stale content. Confirm the same bookable itinerary before deciding what action is appropriate.

Will the same hotel price appear to every shopper?
Not necessarily. Eligibility conditions such as member, mobile or country-specific rates can change what is shown. Record the shopper conditions you can observe, and do not treat a restricted offer as a general public rate.
Does a screenshot tell me whether a price is a good rate?
No. It preserves a view of a page at a point in time, but it does not establish that the offer is comparable, bookable through checkout, or appropriate for your pricing decision. Verify the booking conditions and record them with the observation.
