Build a screenshot evidence library as a searchable, client-separated record of what was visible, when it was captured, and which SEO work or report claim it supports. A screenshot is a time- and context-specific visual artifact—not proof of traffic, rankings, revenue, or cause and effect. Pair it with validated Search Console or GA4 data whenever you make a performance claim.
1. Define what each evidence record contains
Organize records by client, site or property, reporting period, and work item. The exact fields below are a practical schema, not a universal standard. Include enough context for another person to retrieve the artifact and understand its limits.
- Client and site/property: identify the client and the relevant Search Console property or website.
- Capture date and time: retain the time zone when timing matters.
- Page URL or search query: record the exact page or query represented.
- Capture source and conditions: note the tool or report, and relevant device, location, rendering method, or other context.
- Work item: describe the change or observation, who completed it, and when.
- What it supports: explain why the artifact matters and link it to any report claim and source data it supports.
- Original artifact: preserve the original screenshot alongside any annotated or cropped copy.
Use consistent labels for client, date, URL/query, work type, and reporting period. A plain-language caption should state both what the image shows and what it does not establish.
2. Capture a baseline and follow-up
Before the change
When possible, capture the relevant page or search appearance before work begins. Save the original and note the URL or query, capture conditions, and the work item the baseline relates to.

After implementation
Capture again after the change, or when the client needs to review it. Record what changed, who completed the work, and the completion date. A screenshot may document a rendered page, how a title appeared, or a visible search-result feature at the capture moment. It cannot by itself establish search volume, clicks, impressions, a reliable ranking trend, or why a metric changed.
For a rendered page, use an appropriate rendering or URL inspection capture and describe the conditions. A live-test screenshot records that rendering under those conditions; it does not show what every visitor sees.

3. Connect screenshots to validated SEO data
Before explaining a change to a client, verify the relevant properties and reporting periods. Keep the visual record and the structured data distinct, and connect them only where the evidence supports the claim.
- Confirm the correct Google Search Console and GA4 properties; record their names.
- Check the report date range and the complete comparison period before interpreting movement.
- Use Search Console’s Performance report for Search Console performance claims. Keep its measures distinct from GA4 measures.
- Pair screenshots with the relevant structured data when discussing traffic or performance, and disclose missing data.
- Link the observation to dated work, the source evidence, the client implication, and a next action with a follow-up measure.
Do not use a screenshot alone to claim a ranking, revenue result, or causal impact. It is one link in the evidence chain, not the case for SEO impact by itself.

4. Review evidence before client delivery
Standardize the report’s order while tailoring the analysis to the client. A useful sequence is:
- Summary and decision needed
- Search Console evidence
- Analytics evidence
- Technical or content issues
- Recommendations, owner, and follow-up measure
- Selected visual artifacts
- Next-period actions
Do not send a dump of images without interpretation. Before exporting or sharing, check the property, date range, comparison period, source labels, image legibility, recommendation, recipient, and access permissions. A second reviewer can check high-value accounts; a solo operator can use the same checklist.

5. Store and share with care
Keep evidence in a client-separated workspace or other controlled storage, and grant access only to people who need it. Confirm client permissions and the agency’s retention and deletion policy before sharing or keeping screenshots. The appropriate retention period depends on that policy; there is no universal period established here for screenshot files.

6. Use Search Console annotations as a companion, not an archive
Google describes custom Search Console annotations as a way to add property-specific context, such as a feature launch or bug fix, to a chart. They are shared across property users. Google’s current help documentation allows up to 200 annotations per property, limits each note to 120 characters, and automatically deletes annotations older than 500 days. Editing annotations is not currently available. Those limits apply to Search Console annotations, not screenshot files or an agency’s retention policy.
Google cautions against including personally identifiable information in annotations: “For this reason, avoid including personally identifiable information like names, phone numbers, or addresses in your annotations.” Google Search Central Help: Search Console annotations.
Use annotations for lightweight chart context, then retain screenshots, report artifacts, and work records in the separate evidence library.
