A micro-event is a deliberately small gathering organized around one shared purpose, topic, or activity. There is no universal attendee limit: choose a size that lets people take part comfortably, then state the capacity in the invitation. To host one online, define the outcome, choose a participatory format, send clear joining details, rehearse the technology, facilitate the session, and follow up.

What is a micro-event?

A micro-event is a small, focused gathering built around a clear reason to get together. It can be online, in person, or hybrid. Examples include a guided discussion, a short workshop, a language exchange, or a small-group question-and-answer session.

The term has no fixed, universally accepted headcount. HereNow.events recommends choosing capacity according to the activity, venue or materials, and the host’s ability to welcome participants well. Cvent describes a typical micro-event as having 10–50 attendees, but that is a publisher’s range—not an official definition or a measured industry-wide standard.

For an online event, say how many places are available rather than relying on the word “micro.” A group of eight may suit a discussion where everyone should speak; a presenter-led session may work with a larger audience if participation is mainly through chat or Q&A.

How to host a small online event

1. Define the outcome

Write the purpose in one sentence. For example: “Participants will leave with feedback on a draft onboarding flow” or “Everyone will practice introducing themselves in Spanish.” A specific outcome helps you decide whom to invite, what activity to use, and how to tell whether the session worked.

2. Set a capacity that supports the activity

Choose a participant limit based on the kind of interaction you want and how many people you can facilitate. If each attendee needs time to present or speak, estimate that time before opening registration. State the number of available places plainly; the label “micro-event” does not tell someone whether there are five seats or fifty.

3. Choose a short format and a participation prompt

Match the format to the goal. A facilitated discussion needs a prompt and room for contributions; a workshop needs an activity and instructions; a presenter-led session may need a short talk followed by Q&A. For a discussion, send the central prompt in advance and set simple ground rules, such as taking turns or keeping comments brief, so the host can make space for everyone.

4. Send an invitation with the details people need

Make the invitation answer the practical questions before someone accepts. Include:

  • The event’s purpose and intended audience.
  • Date, start time, end time, and time zone.
  • The platform and how the joining link will be delivered.
  • Capacity and, if relevant, price.
  • Accessibility information or a way to request an accommodation.
  • Any preparation, materials, or prompt participants should review.

5. Assign the event roles

Even a small event runs more smoothly when active responsibilities are clear. Decide who will welcome attendees, facilitate, monitor chat or questions, operate slides or screen sharing, and manage any recording. One person can hold several roles, but a host who is facilitating may find it difficult to watch chat and troubleshoot at the same time.

Choose platform features based on the event’s actual needs: invitations or registration, attendee capacity, chat or Q&A, breakout interaction, recording, accessibility support, and post-event reporting. A small discussion may not need a webinar-style workflow. Microsoft describes Teams event tools for event pages, invitations, reminders, attendee tracking, and engagement reporting; its information says an organizer needs a Teams Enterprise license to create and host a Teams event, while attendees do not need a Teams license. Licensing and product terms can change, so check Microsoft’s current requirements before building an event around them.

6. Rehearse the setup

Run through the event with everyone who has an active role. Test the camera, microphone, lighting, screen sharing, slides, transitions, and platform settings using the same equipment you expect to use live. Zoom recommends a dry run and using the same equipment during rehearsal as during the event.

Start with the equipment you already have. Zoom lists a microphone or headset, ethernet cable, ring light, and webcam as possible items for a speaker kit, and notes that a standalone microphone or good headset can improve audio. These are options, not prerequisites: buy or borrow gear only if a test reveals a specific audio or video problem.

7. Facilitate toward the stated goal

Start on time, welcome people, restate the purpose and participation format, then begin with the planned prompt or activity. Keep an eye on time and leave space for the discussion, practice, or questions that make the event useful. If conversation runs long, explain what will be shortened rather than silently dropping the activity attendees came for.

8. Follow up and refine

Send a thank-you or promised next steps after the session. Ask for brief feedback, such as what was useful and what should change, and note which prompts worked and what ran over time. Use those observations to improve a repeat session instead of assuming the first agenda is a finished template.
