What is the difference between subtitles and captions?
In common accessibility usage, subtitles represent dialogue, often in a language different from the one spoken. Captions aim to make the audio understandable in text: they include dialogue and relevant non-speech information. For example, a caption might identify a speaker or note meaningful applause, laughter, music, or thunder.
That extra context can be important for deaf or hard-of-hearing viewers. Same-language captions can also help people learning the language or watching where the audio is difficult to hear.

These are conventions, not universal naming rules. W3C notes that some countries use “subtitles” to mean captions. YouTube’s labels reflect that overlap: the player says “Subtitles/CC,” while the creator workflow is called “Subtitles.” For clarity, judge a track by its contents and language.

Closed captions, open captions, and YouTube tracks
A selectable YouTube caption or subtitle track is closed: viewers can turn it on or off in the player. Open captions are burned into the video image, so viewers cannot switch them off. A selectable track lets viewers choose among available languages and keeps text separate from the picture; burned-in text remains visible wherever the video is played but cannot be hidden.
How to add subtitles or captions in YouTube Studio
YouTube Studio offers several ways to add a language track. The precise choices shown can depend on the video and processing status.

- Open the video’s subtitle settings. In YouTube Studio, go to Subtitles, select the video, and choose Add language if the language is not already listed. YouTube documents the creator workflow under “Add subtitles & captions.”
- Choose how to create the track. Upload a caption file, use auto-sync with transcript text, type the text manually, or review automatic captions when YouTube makes them available.
- Enter or upload the text. For manual entry, add dialogue and relevant audio cues, then divide the text into readable caption segments. For a file upload, choose a supported format and language.
- Check timing and wording. Use the editor to correct text and adjust when each segment appears. Preview the video with the track enabled, then publish or save the changes.
YouTube identifies SubRip (.srt) and SubViewer (.sbv) as beginner-friendly caption-file formats. SRT must be plain UTF-8; YouTube’s basic supported SRT version does not retain style markup. Caption files contain text and timing, while some formats can also carry positioning or style information. If the goal is a straightforward upload, avoid relying on styling that the basic SRT format will not preserve.
Should you use automatic captions?
Automatic captions can provide a starting transcript, but speech recognition can mishear words or omit audio details. YouTube advises creators to review and edit the output; it specifically warns that mispronunciations, accents, dialects, and background noise can affect accuracy.

Check the generated text against the video, paying particular attention to names, technical terms, numbers, negations, speaker changes, and meaningful non-speech sounds. This is a practical review checklist based on the kinds of errors and processing issues YouTube describes, not a guarantee that automated captions will catch every problem.
Captions may be delayed or unavailable because processing is still underway, the language is unsupported, the video is long, audio quality is poor, there is extended silence at the start, speakers overlap, or multiple languages are spoken at once. If the track is missing, check again after processing and use a manual, uploaded, or auto-synced track if needed.

Which track should you create?
- For accessibility in the spoken language: create or correct same-language captions, including relevant sound cues and speaker identification.
- For viewers who speak another language: add translated subtitles that accurately render the dialogue in that language.
- For both goals: provide a reviewed source-language caption track and translated tracks where you can support them. Do not assume translated dialogue alone conveys all meaningful audio information.
- For a selectable viewer experience: add a YouTube track. Use open captions only when text must remain visible and cannot depend on player settings.
Why captions and subtitles matter to viewers
W3C’s WCAG 2.2 Success Criterion 1.2.2 is Level A and calls for captions for prerecorded audio content in synchronized media, with an exception for media that is clearly labeled as a text alternative. This is standards context, not a blanket statement about the legal obligations of every creator, platform, or jurisdiction.
YouTube says same-language captions can help deaf or hard-of-hearing viewers, non-native speakers, and people watching in loud environments. It also says translated metadata and subtitles can help viewers who speak other languages find and watch videos. The YouTube Help page reports that, on average, over two-thirds of a creator’s audience watch time comes from outside their home area, but the page does not state a publication year for that figure.

YouTube says these are third-party providers; it does not guarantee their quality or imply a formal relationship with them.
