Choose an AI-generated image or a customizable template
An AI image generator gives you prompt-based control over the room and its style. A template is a quicker starting point that you can customize. Either way, check the selected tool’s availability and terms, and prepare the final image for the meeting app where you plan to use it. Canva describes both template customization and prompt-based image creation, but there is no established comparison here of their output quality or pricing.
Design a believable office scene
Decide on the framing first
Choose a restrained setting that suits your calls, such as a bright home office, a calm bookshelf wall, or a simple desk with a plant. A straight-on room view at webcam height tends to feel more plausible than a dramatic perspective. Keep the area where your head and shoulders will appear relatively calm, and put more visual detail near the edges.

Create a realistic, professional home-office background for a video call, viewed straight on from webcam height. Show a tidy desk, a few understated books and plants, warm neutral colors, soft daylight, and a softly detailed room. Leave clear, uncluttered space in the center where a seated person’s head and shoulders will appear. No people, no text, no logos, no screen-within-screen, no dramatic perspective, 16:9 landscape composition.
You can ask for a modern, warm, minimal, or creative style. Inspect the generated image rather than assuming it is ready: AI can produce misshapen objects or unwanted lettering. Regenerate or edit any distracting details before uploading.

Export to the meeting app’s image requirements
Image dimensions and formats are platform-specific. Zoom lists JPG/JPEG or PNG images in 16:9 at a minimum of 1280 × 720 pixels. Microsoft recommends 16:9 at 1920 × 1080 or higher when possible for Teams. These are the platforms’ published recommendations, not a universal rule for every video-call app.

Before relying on a particular format or size in another app, check that app’s current help page. A technically suitable image may still need cropping or adjustment to look right in your camera’s framing.

Upload the background and preview it
Zoom desktop app
- Sign in to the Zoom desktop app.
- Open Settings, then Video & Effects.
- Select a preloaded background or upload your image. Zoom also lets you change the background during a meeting through the video controls. See Zoom’s instructions.

Microsoft Teams
Custom uploaded backgrounds are available in the PC and Mac applications according to Microsoft’s Teams background guidance. Follow the current in-app background controls to add and select your image; the available options can vary by app and device.

Check the real camera view
Preview the image in the actual call app before joining an important meeting, especially if it is AI-generated. Check whether hair and shoulders separate cleanly, the room looks level rather than tilted or floating, and any text or logos are legible to other participants. Adjust or regenerate the background if something looks artificial or distracting.
Fix distracting edges and other common problems
- Hair or shoulders blend into the background: Try a solid-color physical backdrop. Canva recommends a solid color, preferably a green screen, as a way to help the app distinguish you from the room. Avoid clothing close in color to that physical backdrop. A green screen is optional and cannot guarantee clean edges. Canva’s guide
- The AI room looks warped or contains strange details: Regenerate or edit the image. Keep the perspective simple and avoid placing detailed objects immediately behind your head.
- The image does not fit or looks cropped: Check the image’s aspect ratio and the target platform’s recommendations. Re-export or crop to the platform’s guidance, then preview again.
- The AI background option is missing in Zoom: Zoom says virtual backgrounds must be enabled for AI-generated backgrounds to be enabled. An account administrator can control availability, so check the account settings or ask the administrator if the option is unavailable. Understand what the app does with your image
The background image is created or customized outside the meeting app, then uploaded into it. The app uses the device camera to separate the speaker from the physical scene and display the virtual setting. Microsoft describes Teams as using AI and the device camera to isolate the speaker’s silhouette and apply the background. The exact behavior and requirements vary by platform and device; an effect that works well in one setup may look different in another.
