Use closed captions when your streaming platform and player support a caption feed and viewers should be able to turn captions on or off. Use open captions when captions need to stay visible in the video across players or destinations where caption controls may not work. Neither format is universally better: the right choice depends on delivery support, viewer control, visual layout, and how accurately you can caption the event.

Open captions vs. closed captions: the difference

Closed captions Delivered as a caption track that a supported player displays separately from the video. Viewers can turn them on or off in players that support the track. The caption feed must reach the platform correctly, and the player must expose captions to viewers.
Open captions Embedded in the video presentation, so the text appears as part of the image. Viewers cannot turn them off. They do not rely on a player caption toggle, but can cover slides, names, demonstrations, or other important visuals.

W3C defines captions as synchronized alternatives for speech and relevant non-speech audio information. That can include speaker identification, sound effects, music, and laughter—not only dialogue. In some regions, “subtitles” is used broadly for captions; here, “captions” means same-language accessibility text, while translated subtitles are a separate choice. W3C’s explanation of live captions sets out these distinctions.

Which caption format should you choose?

Choose closed captions when the platform supports them

Closed captions are a strong starting point when the destination accepts a caption feed and viewers should control whether text appears. Confirm that your encoder or captioning workflow can send captions to the platform and that captions are available in the viewer’s player. Do not assume support is identical across platforms, devices, or embedded players.

Choose open captions when caption controls are uncertain

Open captions remain part of the video image, making their display independent of a viewer finding or enabling a caption control. They can be useful for embedded streams, simulcasts, or destinations with uncertain caption support. Position and style them so they do not hide meaningful content, and check readability on the actual video layout.

Prioritize accuracy when mistakes could confuse viewers

For formal events, unfamiliar names, specialist terminology, or high-consequence spoken instructions, choose the workflow that can provide and verify accurate captions. W3C notes that live captions are usually produced by professional real-time captioners or CART providers; live text allows little time to correct recognition errors. Automatic captions may be convenient, but YouTube advises creators to review them because speech recognition can make mistakes.

Provide captions when audio carries essential information

When speech or other audio is needed to understand a live synchronized video, captions matter regardless of whether the visuals are the main attraction. Include significant sounds as well as spoken words where those sounds convey meaning.

What accessibility guidance says

WCAG 2.1 Success Criterion 1.2.4 states: “Captions are provided for all live audio content in synchronized media.” W3C’s supporting guidance recognizes live caption creation paired with either open captions or closed captions supported by the player as techniques for meeting this criterion. It does not require captions to be burned into the video in every case, nor does it rank one format above the other. See Understanding Success Criterion 1.2.4 and the W3C technique for captions.

Captions let people who are deaf or hard of hearing access auditory information in real time. They can also help people who process written information more easily than audio. Relevant speaker identification and sound cues help preserve meaning when the voice or other audio alone is not enough.

Platform considerations for live captions

YouTube Live

YouTube documents two broad caption-delivery routes: captions embedded in the video using EIA 608/CEA 708, or delivery through supported caption software over HTTP. Its event workflow describes enabling closed captions, copying a signed caption-ingestion URL, and giving it to a captioner or compatible software. The support page lists Total Eclipse, Case CATalyst, CaptionMaker, and StreamText.Net in its supported-software section. For the documented event workflow, YouTube says to add a 30-second or 60-second broadcast delay, and says it currently supports one caption track in the described embedded 608/708 workflow. Check YouTube’s current live caption instructions before an event because interface labels and platform behavior can change.

Twitch

Twitch’s streamer guide describes delivering real-time closed captions through broadcasting software, including an OBS plugin route that lets viewers toggle captions. It also covers Twitch-specific caption formats. Validate the instructions against your current encoder, channel, and viewer player; a Twitch workflow should not be assumed to apply to another service. See Twitch’s guide to captions.

How to check caption quality before going live

  1. Choose the format and delivery route. Decide whether viewers need a toggle and confirm that the destination supports the caption feed, or plan to embed open captions in the video.
  2. Prepare names and terminology. Give the captioner or captioning system correct spellings for speakers, organizations, acronyms, and specialist terms when the workflow allows it.
  3. Check meaning, not just words. Make sure captions include relevant non-speech audio and identify speakers where needed to follow the event.
  4. Test the complete viewer path. Watch the stream in the destination player, check that captions appear and are synchronized, and confirm closed captions can be found and toggled where applicable.
  5. Review the visual layout. For open captions, verify they do not obscure important material and remain readable. For closed captions, check that their placement does not hide essential content in the player.
  6. Review automatic captions and the recording. YouTube encourages creators to review automatically generated captions. If you publish the recording afterward, W3C notes that minor accuracy edits may be needed.

For YouTube’s automatic-caption guidance, see YouTube’s help page on automatic captions. For live events where a wording error could materially mislead people, consider a professional real-time captioner or CART provider rather than relying on unreviewed recognition.

Common problems and what to check

  • Closed captions do not appear: Check that captions are enabled in the event setup, that the caption software or encoder is sending to the right destination, and that captions are available in the player being used to test.
  • Captions appear on one destination but not another: Caption-feed support varies by platform and player. Confirm each destination’s workflow; if display must be consistent across uncertain destinations, consider open captions and test their placement.
  • Text is mistimed or hard to follow: Test caption synchronization and readability before the event. For YouTube’s documented event workflow, account for the specified broadcast delay and confirm the setup against its current instructions.
  • Names or technical terms are wrong: Provide reference spellings in advance where possible, review automatically generated captions, and use a workflow with human verification when accuracy is especially important.
  • Open captions hide the presentation: Adjust their position and test against the actual slides, lower thirds, demonstrations, and other key visuals before streaming.
