For an internal, one-to-many event, Microsoft Teams Town Hall is a strong fit; for a Zoom event that must reach YouTube or a custom destination, Zoom’s livestreaming options may fit; for a public channel broadcast, YouTube offers webcam and encoder workflows; and Vimeo is an option for hosted events using a supported encoder. Audience access
Establish whether the event is for employees, invited guests, or the public. Verify that organizers, presenters, and viewers can access the service and event link, and decide whether sign-in or other access controls are required.
Audience participation
Decide whether attendees should speak on microphone, appear on camera, submit questions, or simply watch. Teams Town Hall keeps attendee microphones and cameras off while offering Q&A; that controlled format is useful when presenters need to address questions without opening the floor to every attendee. Destination and presentation
Choose between a native service audience, a public social destination, a custom RTMP endpoint, or a hosted event page. Zoom documents public-platform and custom-destination livestreaming, while YouTube offers webcam and encoder methods. Zoom’s June 26, 2026 overview describes one destination at a time for the configuration it covers; verify current capabilities and plan terms before relying on that limit. Production needs
A webcam can be enough for a straightforward speaker-led town hall. An encoder workflow gives a production team more control over overlays and external audio/video equipment. YouTube describes encoder streaming as commonly used for conferences; Vimeo’s live-event documentation requires a supported encoder. Do not choose an encoder-based setup until you have checked compatibility and network requirements with the provider and IT team.

After-event workflow and accessibility
Before selecting a platform, decide how you will handle the recording, publish it for on-demand viewing, and review attendance. Microsoft documents published Town Hall recordings and attendee reports. Google recommends archiving a YouTube stream for on-demand viewing. Platform-specific considerations
Microsoft Teams Town Hall for internal events
Town Hall is the current Teams option to evaluate for a one-to-many event. Microsoft says presenters can be shown in a spotlight layout with up to seven video feeds at once. Capacity and feature availability depend on the organization’s configuration. Microsoft’s transition guidance says events for 20,000–100,000 attendees require capacity packs and contacting Teams Events Services at least two weeks in advance; confirm applicability and licensing directly before planning an event at that scale. Zoom when the event must reach another destination
Custom-site livestreaming is not just a switch available to every host. Zoom says it requires the appropriate account and host license, an administrator-enabled setting, and the Zoom desktop app at or above its global minimum version. Higher-quality video requires HD video. Requirements differ between meetings and webinars, so verify the event type and account configuration before you build the run of show. YouTube for public broadcasts
YouTube documents mobile, webcam, encoder, and console streaming methods. For webcam streaming, its guidance specifies a computer with a webcam. For more controlled production, an encoder can combine sources and overlays. Plan and rehearse the town hall
- Confirm access and scale. Check that organizers, presenters, and viewers can open the event, then verify current capacity, licenses, account permissions, and destination settings with the relevant administrator or provider.
- Choose the participation model. Decide whether attendees can speak, whether questions will be collected through Q&A or chat, and who will moderate them. If using Teams Town Hall, plan around attendee microphones and cameras being off.
- Assign production roles. Name an event host, presenter or presenters, a person responsible for monitoring the stream, and a moderator for questions. Google recommends planning for live chat and comments, including moderation where resources are available.
- Rehearse privately using the actual setup. Test connectivity, camera framing, audio capture, lighting, and any encoder or destination settings. - Confirm the recording and follow-up. Decide who will publish or share the recording, where viewers will find it, and how attendance information will be reviewed if your platform provides reports.
Troubleshoot common planning problems
- The livestream or custom destination option is missing: For Zoom, check the host license, administrator enablement, meeting-versus-webinar requirements, and desktop-app version against the current support page. Zoom requirements
- The event may exceed the expected audience size: Do not assume capacity from a generic product description. Confirm your tenant’s current limits, add-ons, and configuration. - Questions are missed or the discussion becomes difficult to manage: Assign a moderator and decide in advance whether questions belong in Q&A or chat. A watch-focused Town Hall format can keep attendee microphones and cameras off while still allowing Q&A.
- The recording is unavailable after the event: Confirm the recording, publishing, and archiving workflow before going live rather than assuming a broadcast automatically becomes an on-demand asset. Prices and feature tiers are not established here for these town-hall platforms, and licensing can vary by account, plan, or organization. Check current vendor terms before budgeting, especially for larger capacity, custom destinations, or plan-dependent production features.
Do not buy equipment before checking what you already have. YouTube documents webcam streaming from a computer with a webcam, while an encoder-based production may use a camera, microphone, or other hardware.
