Verify the channel, enable livestreaming ahead of time, schedule each session in YouTube Studio, and choose webcam or encoder streaming based on whether you need a camera presentation or a screen demonstration. Plan access and content rights before going live, and keep a local recording in case YouTube does not archive the stream.
What you need before the first session
- A YouTube channel that is verified and has no live-streaming restriction in the previous 90 days. YouTube says first-time livestream activation can take up to 24 hours, so enable it before announcing the session. Its getting-started guidance says streamers must be at least 16. Check YouTube’s live-streaming eligibility and setup guidance for current requirements.
- A production method that fits the session: webcam for a straightforward presenter-led session, an encoder for screen sharing or external audio/video equipment, or mobile streaming from a phone or tablet.
- A decision about who can see the live event and replay, plus permission to include all customer, company, and third-party content.
- A tested internet connection and, if the training matters after the event, a local recording as a backup.
Choose how to present the training

YouTube does not prescribe one method for customer training. Choose by asking whether attendees need to see software, whether the trainer should be on camera, how involved the audio/video setup is, and who will monitor the stream and local recording. A webcam is optional, not a requirement; a screen-only session can use an encoder. See YouTube’s webcam setup instructions and encoder instructions.
Create or schedule the live session
- In YouTube Studio, select Create > Go Live to open Live Control Room.
- Create a stream or schedule one for a later time. Scheduling lets you share the watch URL and promote the event so viewers can set reminders.
- Enter a clear title and description. Use a consistent naming pattern, such as product or course name, session number, and topic, so customers can identify the right training and replay.
- Choose the visibility that matches your access plan: public, unlisted, or private. Check YouTube’s live stream settings guidance for the current options.
- Connect the selected method. For encoder streaming, copy the server URL and stream key from Live Control Room into the corresponding encoder settings. Treat the stream key as a credential: share it only with people who need to configure the stream.
- Start the encoder or complete the webcam/mobile setup, then check the Live Control Room preview before starting the event.

Protect customer information and confirm content rights
Decide whether the session should be public, unlisted, or private before sending invitations. Unlisted access is not the same as a confidential, individually controlled training room: anyone with the link can share it. Match the visibility to what your organization promised customers and to the sensitivity of the material. Before the event, check that names, voices, screens, proprietary information, and any third-party content are cleared for both the live broadcast and the replay.

YouTube’s livestream terms put responsibility for the necessary rights on the provider, including rights for music and other material used in live and archived content. Do not assume that material you can display in a customer meeting is automatically cleared for a YouTube broadcast or replay.
Test, monitor, and make a backup
- Test the full setup before the event: audio, video, shared screen, and the connection to YouTube. YouTube’s streaming tips advise setting up an encoder at least two hours ahead and starting it at least 15 minutes before a scheduled event.
- Check the Live Control Room preview and confirm the event is reachable from the channel and watch page before you begin presenting.
- Record locally if you need a dependable copy. During the session, check that the local recording file is actually growing rather than assuming it is working.
- Monitor the live event and recording while presenting. If the stream has a problem, use the preview and encoder status to distinguish an input/setup issue from an issue reaching YouTube.
YouTube says it can automatically archive a live stream that is shorter than 12 hours; streams longer than 12 hours may not be captured. That is why a local recording is important if the session must be retained. See YouTube’s archive guidance.

Find and manage the replay
- After the session, open YouTube Studio > Content > Live to find current, upcoming, and past streams.
- Review the replay’s visibility and change it if necessary. The archive can have its visibility changed in YouTube Studio.
- Remove the archive if it should not remain available, and check that the retained local copy is usable if you need one.
- Keep titles and descriptions consistent across sessions so customers can find the right replay.
YouTube’s archive information and live stream settings guidance explain the current archive and settings workflows. A playlist may help organize a training series, but it is an organizational choice rather than a requirement for livestreaming.
Troubleshooting common session problems
