Capture the website with your computer’s screenshot function, then add the saved image to Google Docs with Insert > Image > Upload from computer. Docs does not have a dedicated caption feature, so type a short, descriptive caption below the image. For a closer visual link between image and caption, place them in a two-row table or compose them together in a Drawing.
Capture the website screenshot
- Open the relevant website and navigate to the page or state you need to document.
- Use your computer’s screenshot function to capture the useful part of the screen. Save the screenshot as an image file, or keep it on the clipboard if you plan to paste it directly into Docs.
- Check that the captured area shows the detail your report discusses. If the page contains sensitive information, remove or obscure it before sharing the report.
Google Docs is where you insert and arrange an image; it is not a universal website screenshot command. Screenshot keyboard shortcuts vary by operating system, so use the screenshot function available on your computer.

Upload a saved screenshot
- In the document, click where the screenshot should appear.
- Select Insert > Image > Upload from computer.
- Choose the screenshot file and insert it.
Use another insertion method
Docs also supports image sources such as Drive, Photos, Stock & web, Camera, and By URL. You can also drag an image from your computer or a website into the document, or copy and paste an image. Choose the method that fits where your screenshot is stored and how you captured it.
Add a clear caption
Google Docs does not provide a dedicated caption feature according to guidance from a volunteer Google Docs Editors Community Product Expert responding on June 29, 2026; this is community guidance, not an official Google product guarantee. The straightforward workaround is to add ordinary text below the image.

A useful caption answers two questions: what am I looking at, and why does it matter to this report? Identify the page or interface and the relevant action, state, or detail. If the report refers to screenshots by figure number, include that number in the caption.
For example: Figure 2. The account settings page shows the selected privacy option. Use the example as a pattern, not as a description of a real capture.

Keep the image and caption together

The table approach is a practical workaround recommended by a community Product Expert; Google’s Drawing tools provide another way to combine an image and text. These are layout choices, not automatic caption or figure-numbering features.
Add alt text for accessibility
A visible caption and alt text serve different purposes. The caption is text readers see in the report; alt text provides an audio description of visual content for screen-reader users. Add alt text when the screenshot conveys information that is not already explained in nearby text. Do not rely on the caption as the only description of meaningful visual data.

Troubleshoot common issues
- The screenshot is missing after insertion: Confirm that you selected the intended file in Insert > Image > Upload from computer, or try dragging the file into the document or copying and pasting it.
- The caption moves away from the image: Put the image and caption in separate rows of a two-row table, or compose them together in a Drawing.
- The caption looks like an automatic figure label: Docs-specific guidance reviewed here describes manual caption workarounds, not automatic figure numbering. Type the figure number and description yourself if your report needs them.
- Screen-reader users lack context: Add alt text that describes the relevant visual information, and ensure the report text explains any meaningful data not conveyed elsewhere.
