You can use Google Sheets and Apps Script to organize a schedule and automate YouTube Live broadcast operations, but they do not play or transmit video. A separate encoder or playout system must send the continuous feed. That distinction matters: scheduling broadcast events is not the same as switching the video or playlist inside one ongoing 24/7 broadcast.
What Sheets and Apps Script can—and cannot—schedule
YouTube models a live event and its incoming video feed as separate resources. A liveBroadcast is a distinct event or video on YouTube. A liveStream carries the audio-video feed and defines transmission settings. Each broadcast is associated with a stream. Google’s YouTube Live Streaming API documentation describes both resource types and their relationship (Google for Developers, “Understanding Broadcasts and Streams,” documentation accessed in 2026).
A spreadsheet can hold schedule rows, and Apps Script can read those rows and request operations through the YouTube API. Neither component creates the media feed. An encoder or playout system must send that feed to YouTube. In particular, a time-driven Apps Script trigger is not a media player or a frame-accurate playlist clock.
- Scheduling events: creating or managing separate YouTube broadcasts for particular times.
- Playing a 24/7 feed: continuously transmitting audio and video from an encoder or playout system.
- Changing what viewers hear or see: a responsibility of the playout system. The reviewed API guidance does not provide a ready-made Sheets-to-playlist-switching implementation.
YouTube documents reusing a stream for different broadcasts and binding the same stream to as many as three live broadcasts. Its resource model also allows a continuous 24/7 feed to continue while a separate broadcast, such as an interview, is made live on that stream. That is a broadcast-management pattern; it does not mean a spreadsheet controls the content playing in the feed.

For event scheduling, create a sheet with one row per planned broadcast. A practical starting layout is below; these are suggested columns, not a YouTube-mandated format.

Google Apps Script’s Spreadsheet service can read a rectangular range as a two-dimensional array. Load the schedule in batches, validate rows before making API requests, and make processing idempotent: running the same row again should not blindly create another broadcast.
Set up the YouTube broadcast workflow
The API sequence below manages event resources. It does not start a playlist player or provide the video feed. Google’s YouTube Live Streaming API guide describes the relevant operations; exact channel eligibility, API authorization and behavior should be tested in the project and channel you will use.

- Prepare API access. Set up an authorized Apps Script project for the YouTube Live Streaming API and confirm that the Google account authorizing it has the required access to the channel. Test authorization with a non-public event before relying on automation.
- Read and validate the schedule row. Use the Spreadsheet service to load the required cells. Reject rows with missing titles, invalid scheduled times or unsuitable privacy values; write the reason to the sheet rather than repeatedly retrying a bad row.
- Create the broadcast. Call
liveBroadcasts.insertwith the event title, scheduled start time and privacy status. The broadcast guide identifies these as required broadcast details. - Create or select a stream. Create a
liveStreamwith its title and CDN transmission settings, including ingestion type, resolution and frame rate, or use an existing stream if that is the intended design. Keep feed production in the encoder or playout system. - Bind the event to the feed. Call
liveBroadcasts.bindto associate the broadcast and stream. Confirm that the encoder or playout system is configured to send to the corresponding YouTube stream. - Test before going live. YouTube’s broadcast guidance recommends enabling the monitor stream and disabling auto-start when a testing phase is wanted. Verify the incoming feed and event configuration before transitioning the broadcast.
- Transition when appropriate. Use
liveBroadcasts.transitionto move the broadcast into testing or live state as required. The API can also list upcoming broadcasts, which can help reconcile the sheet with YouTube’s event state. - Record the result. Save the resulting resource references and operation status in the row. If an operation fails, inspect the error and current YouTube resource state before retrying; do not assume a timeout means the resource was not created.
YouTube’s broadcast guide describes auto-start and auto-stop as an operational alternative: when enabled, YouTube starts after feed transmission begins and ends about a minute after transmission stops. Choose deliberately between explicit API transitions and those settings. Broadcast metadata can be updated, but scheduled start and end changes are subject to the broadcast’s state.
Use Apps Script triggers as a coordinator, not a playout clock
Installable time-driven triggers can run as often as every minute, but Google cautions that a chosen trigger time can be randomized. A recurring 9 a.m. trigger, for example, may be assigned a time within the following hour and then continue at that timing. That makes triggers useful for periodic checks and event administration, not exact playlist changes.

- Use a recurring trigger to check for due rows and process only rows that are still eligible. Do not treat the trigger’s nominal minute as the exact start of a song, video or segment.
- Account for trigger ownership. An installable trigger runs as the account that created it, even when another editor changes the sheet. Use an account with the intended channel access and keep ownership changes in mind when maintaining the automation.
- Do not expect a script or API request to fire another trigger. Google notes that script executions and API requests do not themselves cause installable triggers to run.
- Design for quotas and short executions. Google’s current quota documentation lists different daily trigger-runtime and URL Fetch allowances for consumer and Workspace accounts, a six-minute maximum execution, and a cap on triggers per user per script. These limits can change without notice; check the current quota page for the account type you use.
- Batch, log and recover. Process several eligible rows per run where practical, store progress, prevent duplicate operations, and leave a recoverable error state instead of relying on a script that runs continuously.
Schedule in YouTube Studio when you do not need automation
YouTube Studio’s Live Control Room provides a manual route: schedule a stream using new settings or reuse settings from a previous stream. Scheduled streams can appear as upcoming in subscribers’ feeds, and viewers may choose “Notify me.” This is useful when the event page and notification opportunity matter more than automating repeated setup (YouTube Help, “Schedule a live stream” and “Create a live stream with an encoder”).
For an encoder-based feed, YouTube’s setup instructions say to enter the server URL and stream key in the encoder. Treat the stream key as a secret. Channel owners or managers can reset it in Live Control Room; if it is reset, update the encoder configuration to match. YouTube’s encoder help also states that streams under 12 hours are automatically archived. For a continuous feed, check YouTube’s current guidance and channel behavior before planning around archives, since platform policies can change.

Keep playlist and channel rules in the plan
- Rights: Use video and audio you have the rights to stream. A scheduled event or a 24/7 loop does not make copyrighted material safe to broadcast.
- Reused content: Repeating or compiling existing material can affect how a channel is assessed for monetization. Review YouTube’s current channel monetization policies rather than assuming that automation or a live label changes the content rules.
- Viewer expectations: Use an accurate title and event details. If the spreadsheet creates distinct events, remember that each broadcast is a distinct YouTube video; it is not merely a new row in a playlist.
- Continuous-feed resilience: The sheet and trigger can help coordinate event operations, but feed continuity depends on the encoder or playout system. Plan separately for its connection, media availability and recovery behavior.
Troubleshoot common failures
