A screenshot is evidence—not the finding itself. Before sharing, confirm the participant agreed to recording and remove or protect sensitive information.
What a useful usability-test screenshot needs to show
Choose a page state that makes a particular problem visible: for example, a participant cannot find the next step, misses an error message, or misunderstands a control. Capture the relevant content and enough surrounding interface to explain what happened. A screenshot without a clear connection to a finding can be ambiguous, even if the image is sharp.
For each image, preserve enough context for a teammate to locate and reproduce the state. Depending on the issue, record:
- The page URL or process and screen identity.
- The task the participant was attempting and the stage they had reached.
- The actions or path that led to the problem, including relevant input.
- Evaluation setup that could affect the result, such as settings, browser, assistive technology, or tools.
W3C’s WCAG Evaluation Methodology (WCAG-EM) 2.0 describes issue descriptions, reproduction steps, severity, and screenshots or videos as useful evidence. Its optional evaluation records may also include sample pages, paths, settings, inputs, actions, tools, browsers, assistive technologies, and methods. Keep the report concise, but retain details needed to reproduce the issue.

Capture and report the evidence step by step
1. Prepare the study and get permission
Define the task scenarios and test script before sessions begin. Align the research team on participants, moderators, and observers, and explain what will be recorded and how the materials may be used. Obtain consent and confirm permission before recording. 2. Capture the state that demonstrates the problem
During the task, take a still image when the participant reaches a state that directly supports a finding. Preserve meaningful page content and, if practical, note the URL, task, and action sequence in the findings log at the same time. If the issue depends on movement, a sequence, or timing, a short video may explain it better than a still image.

3. Write a finding, not just a caption
Give the image a short caption and link it to one finding. Describe what happened, where it happened, the steps to reproduce it, and its impact or severity where appropriate. The screenshot should make the issue easier to understand; it should not be expected to explain the cause or recommendation by itself.
4. Synthesize patterns across participants
Group related observations into findings, add recommendations, and report whether the problem recurred. Government of Canada research guidance recommends identifying trends and counting how many participants encountered problems; visuals such as screenshots and short clips can illustrate particular issues. A count belongs to your study and participant sample, not to usability testing generally.

5. Review privacy before sharing
Check that the evidence is within the participant’s consent and does not reveal personal data, credentials, or confidential material. Limit access to identifiable records, retain only what the project needs, and redact details before broader sharing when appropriate. GOV.UK advises deleting research data when there is no clear evidence of consent, and W3C warns that evaluation records may contain sensitive information requiring security precautions. Choose a capture method that fits the study
There is no single required screenshot tool in the cited usability-evaluation methodology. Choose based on whether still images are enough or video is needed, whether the team requires remote moderation or shared observation, how well the method preserves context, and what access, consent, retention, and redaction controls the study requires.

Keep the report reproducible and safe
Store the image with its finding and the minimum context another researcher needs to understand or reproduce it. If you archive sample pages or detailed evaluation records, protect them: such records can expose internal code, passwords, or data. Keep access restricted and remove records when they are no longer needed under your project’s retention practices.
