Start with the official download, not a screenshot
Download the record from the GST Portal wherever a downloadable artifact exists. A portal-generated return, ledger, certificate, or data file generally preserves more of the underlying record than a screenshot of a page or table. Use screenshots to preserve what the file may not show: for example, a filed status, a portal message, the selected period, or a relevant filter state.
GSTN’s operational guides describe portal functionality; they do not establish that screenshots alone satisfy a legal recordkeeping or evidentiary requirement. The sources cited here also do not establish a general retention period. Confirm applicable requirements for the particular record with an appropriate legal or tax professional.

A practical workflow for a multi-page records set
- Sign in through the official GST Portal. Select the relevant taxpayer, return period, financial year, or record type. Use the portal directly and follow your organization’s access and security practices.
- Download the official artifact first. Save the portal-generated PDF, spreadsheet, or JSON. Preserve its original filename and format where practical, and make sure the period and taxpayer context are clear in your records.
- Use the suitable export for large data. For GSTR-2B with more than 1,000 documents, the GSTN FAQ points to advance search or downloading the entire file. For large GSTR-1 e-invoice downloads, GSTN describes retrieval through E-Invoice Download History after processing.
- Capture only pages that add context. Examples include a filed-status page, a portal message, the selected period or filter, or an item for which no supporting download is available. GSTN’s cited guides establish download options, not a dedicated bulk-screenshot function; screenshots are an operational supplement.
- Keep screenshots identifiable. A consistent filename can be
GSTIN_record-period_page-sequence_YYYY-MM-DD.png. Include the date, record type, period, and sequence. This is a practical naming suggestion, not an official GSTN standard. - Make an index. Keep a simple list mapping each screenshot to the corresponding downloaded file and explaining what page context it records. This makes a multi-page set easier to review without treating images as the underlying return or ledger.
- Review and store the set carefully. Check that each image shows enough context to identify the portal section and selected period, while excluding unrelated taxpayer or personal information. Restrict folder access to people who need it and keep a separate backup under your organization’s records policy.
How to capture several pages with a browser
For a small, manual batch, open the relevant portal page and use your computer’s normal screenshot feature for each page or state you need. On Windows, use Snipping Tool or the system screenshot shortcut; on macOS, use the built-in screenshot controls. Exact shortcuts can vary by operating-system version and keyboard configuration. Save each image using the naming pattern above and update the index as you go.

This is a general computer workflow, not a GST Portal feature. It is suitable when a person can review each capture and the number of pages is manageable. It does not automatically preserve every row of a long table, and screenshots can omit content below the visible viewport. Do not treat browser automation or extensions as officially endorsed for authenticated GST pages: the cited GSTN materials do not establish such an endorsement. Check current portal terms, security practice, and organizational policy before automating interactions with an authenticated account.

- The portal does not offer the expected download. Confirm that you selected the right taxpayer, period, and record type; available downloads differ by workflow. For a specific historic utility guide, verify current labels because the page may have changed.
- A GSTR-2B table-wise export is not available for a large dataset. When the combined document count is above 1,000, use the advance search or full-file option described in the GSTN FAQ instead of attempting to capture every row.
- A large GSTR-1 e-invoice export is not immediately available. GSTN describes larger downloads as processed and then made available in E-Invoice Download History; check there for the completed file.
- A screenshot is missing rows or important state. Capture the relevant page at a readable zoom and confirm the selected period, section, and any pertinent filter are visible. For complete underlying data, retain the portal download rather than relying on a screen image.
- Files are hard to match later. Apply one naming convention consistently and maintain an index that maps images to source downloads.
- An image exposes unrelated information. Review it before filing or sharing. Re-capture with a narrower view if possible, and store records with access limited to the people who need them.
