Handheld terminals let staff take orders and payments where service happens; fixed terminals provide a stable workstation for centralized tasks. Many restaurants use both. “AI-powered” is a separate software question, not a guarantee that a terminal will improve service: vendors use the label for different capabilities, from answering support questions to analyzing restaurant data. Before you buy, run a realistic demo with your menu, staff roles, payment types, kitchen setup, and outage scenarios.

Handheld or fixed: which fits your service model?

Choose equipment around where staff work, not around a general assumption that newer or more mobile is better. A handheld can move order entry and payment closer to a guest. A fixed terminal keeps a dependable station for tasks that are easier to manage at a counter or service point. A restaurant may need both; a counter-service queue might also be better served by a kiosk, while a guest display and kitchen equipment have separate jobs.

Cost and terms May involve device and mobile-service costs. May involve a station, peripherals, installation, and support. What is the full written cost for the configuration you will actually use?

Toast’s handheld POS guide says handheld devices generally supplement rather than replace traditional terminals. That is a useful design principle, not a rule that every restaurant needs both: base the mix on observed staff movement, order volume, guest flow, and the tasks that genuinely need a fixed station.

What does “AI-powered” mean in a restaurant POS?

There is no single standard feature set behind the label. A vendor may mean an assistant that answers questions, an analysis tool that surfaces patterns in restaurant data, or software that can carry out an operational action. Those are different functions, and none by itself establishes that the terminal’s order-taking or payment workflow is AI-powered.

Oracle Simphony Smart Assistant Oracle’s March 18, 2026 announcement described generative AI answers grounded in Simphony documentation and its knowledge base, including help with issues such as a printer problem or login. Is the feature available on the configuration you are considering? What documentation can it use, and how does it handle a question it cannot answer?
Toast IQ Toast’s May 5, 2026 release described multi-location analysis and menu upsell recommendations; invoice scanning was identified as beta. Toast’s June 11, 2026 report described an assistant connected to sales, labor, menu, guest, and operational data, with actions such as marking items unavailable or adjusting stock. Which capabilities are enabled for your account and plan? Which data can the assistant access, and does an authorized person have to approve an action?

For any named feature, ask whether it answers questions, recommends changes, or executes them. Check what evidence, sources, or calculations it shows; which roles can use it; whether it records actions; and what languages it supports. Confirm availability for your plan, device, location, and integrations rather than relying on a general product description. The cited vendor announcements do not establish comparative model quality, error rates, privacy terms, or independent effectiveness across POS vendors.

How much weight should you give vendor-reported results?

Published numbers can suggest questions to investigate, but they are not a forecast for your restaurant. Toast’s handheld guide, published approximately two months before October 3, 2026, reports a 20% ticket-time decrease for Park Burger and a 31% increase in morning order volume for Brevity Coffee. These are named customer outcomes published by the vendor, not controlled comparisons across POS systems.

Toast’s June 11, 2026 Q1 Restaurant Trends Report analyzed anonymized, aggregated Toast IQ inputs from more than 125,000 U.S. restaurant locations that used Toast IQ from January 1 through March 31, 2026. Toast says 47% of restaurants in that cohort initiated conversations about sales and revenue, 34% about menu and inventory, and 32% about guest and marketing. It also reports that 26% initiated conversations about menu optimization; that opportunity-area figure represents a subset of prompts, not a census of all use cases. These platform-specific figures describe what that cohort asked about, not an industry-wide AI productivity result.

No independent comparative study in the sources establishes that handhelds universally outperform fixed terminals or that restaurant AI features produce a general productivity increase. Treat case studies and vendor usage data as reasons to define your own success measures—not as proof that a particular setup will deliver them.

What to test in a POS demo before you buy

Bring your real menu, modifier rules, kitchen stations, user roles, and payment types. Ask the vendor to perform each workflow on the proposed hardware and software configuration; a feature-sheet answer is not a demonstration. Record what happens, how many steps it takes, and what staff or managers must do when something goes wrong.

  1. Enter a complicated order. Add an item with multiple modifiers, a substitution, and an allergy or kitchen note. Compare what the staff member entered with the ticket received by every relevant KDS or printer.
  2. Correct an order after it reaches the kitchen. Change or void an item after it has fired. Check whether a manager override is required, what the staff member sees, and whether the kitchen ticket updates promptly and clearly.
  3. Split and reopen a check. For a multi-guest table, try splitting by seat, item, and payment method where supported. Count the steps, then observe what happens when a check is reopened or a payment must be corrected.
  4. Run the payment flows you use. Test chip and contactless payment, including a mobile wallet if relevant. Note the time to approval and what the operator and guest see if authorization fails.
  5. Adjust a tip and trace the record. Make a post-authorization tip adjustment, then inspect the ticket, closeout, and reconciliation records so you know where the change appears.
  6. Check the guest-facing display. If you use one, pair it with the terminal. Confirm whether guests see a live itemized order, modifications, and the current total.
  7. Simulate an outage with vendor supervision. Test internet loss separately from local Wi-Fi loss, cellular fallback, and device or power loss. Establish which orders can still be entered, which payments can be accepted, how staff are warned, what can remain pending, and how and by when transactions must sync. Offline support can exclude particular tenders or functions, and a pending payment can carry financial risk. Square’s product page says Square Handheld requires Wi-Fi with access to high-speed internet; do not infer its behavior in other failure conditions from that requirement or from a generic “offline mode” label. Ask for the exact product’s documented process and train staff on it.
  8. Run a realistic battery and charging check. Use the handheld as staff would during the expected shift, including order entry and payments at the screen brightness you plan to use. Check whether the battery lasts and whether docks or chargers can be placed conveniently on your actual floor plan.
  9. Walk every service area. Check wireless coverage in the dining room, patio, curbside area, kitchen pass, and known dead zones. If cellular service is offered, verify carrier coverage, cost, and what the device does when the connection changes.
  10. Demonstrate each AI feature you may rely on. Ask what restaurant data it can see, whether it recommends or executes changes, whether a user must confirm actions, and what permissions and audit history apply. Confirm plan eligibility and language support for your specific configuration.
  11. Verify integrations and peripherals. Have the vendor confirm compatibility with the KDS, printers, guest displays, routers, card readers, accounting, payroll, reservations, loyalty, delivery, and online-ordering systems your operation needs.
  12. Review the complete commercial and support terms. Get the proposed configuration and all costs in writing, including hardware purchase or lease, software, payment processing, integrations, cellular service, installation, training, support, replacement, contract length, and early termination terms. How to turn the demo into a buying decision

Before comparing quotes, decide what a successful trial must prove. Use the same menu cases, payment flows, roles, locations, and outage scenarios with each shortlisted setup. Keep observations separate from vendor claims: note the outcome, the steps staff took, any delay or error, and whether a manager had to intervene.

  • Keep a handheld where mobility solves a real task. Examples include taking orders or payments away from the service station; make sure the battery, ergonomics, and coverage suit that work.
  • Keep a fixed terminal where a stable station matters. Confirm the counter footprint, peripherals, and workflows it must support.
  • Buy an AI feature only for a defined job. Identify who will use it, what data it needs, whether it can act, and how your team will verify or correct its output.
  • Compare the whole operating setup. A terminal is only one part of the system: consider software, kitchen routing, payments, connectivity, integrations, training, support, and the contract together.

Choose the configuration that completes your real service workflows reliably and at a cost your written quote makes clear. If a vendor cannot demonstrate a critical workflow or explain its failure and recovery path, treat that as an unresolved buying risk—not as a feature you can assume will work.
