Choose a hosted form service when you want a managed submission endpoint, choose your CRM’s native capture when its forms and workflows meet your needs, and build a custom server-side API when bespoke processing or data handling justifies the engineering and security work. The right choice depends less on the form’s appearance than on where submissions go, what happens to them, and who is responsible for keeping that path reliable.
Compare the three approaches

When a hosted form service makes sense
A hosted service is a strong starting point when your team wants to avoid operating a submission backend and the vendor’s features cover the workflow. Formspree describes managed submission handling, storage, deliverability, spam protection, integrations, backend validation, notifications, routing, and API access for sites that can send an HTTP request. These are vendor-described capabilities, so verify that the current plan and service configuration support your required fields and destinations. Formspree
Before sending real leads, check where submissions are stored, how long they are retained, how you can export or retrieve them, and which integrations or notifications are available on the plan you intend to use. A feature overview does not establish whether a particular privacy, retention, or compliance requirement is met.
When CRM-native capture is the better fit
If every submission should become a record in an existing CRM workflow, test the CRM’s native form option first. Salesforce Web-to-Lead is one example: its documentation describes generating HTML for a website form, redirecting submitters after submission, and using campaign-related fields and response rules. Salesforce documents a limit of up to 500 leads per day for Web-to-Lead; treat this as a Salesforce product limit, not an industry benchmark, and confirm current edition and configuration requirements for your account. Confirm that the form can map the fields your sales or marketing process relies on, preserve campaign attribution, handle duplicates as expected, and trigger the right downstream automation. Native capture is convenient only if its form model and anti-spam behavior fit the actual customer journey.
When to build a custom server-side API
Choose a custom integration when a hosted service or CRM form cannot meet requirements for validation, routing, or data handling—and when your team can operate the code over time. More control also means owning more of the data path: credential protection, validation, retries, logging, abuse prevention, monitoring, and maintenance become your responsibility.

Salesforce’s developer guidance for external forms illustrates the configuration work a server-side connection can involve: OAuth authentication, a My Domain endpoint, CORS allowlisting, and CAPTCHA-token handling where required. The exact requirements vary by integration and platform; use the relevant API documentation rather than assuming a browser can safely submit directly with privileged credentials. Check CAPTCHA and spam controls end to end
Spam protection can change which submission routes work. HubSpot documents that when CAPTCHA is enabled, submissions through its Submit data for a form API or other form integrations will not be accepted. That behavior is specific to HubSpot’s documented configuration, but it illustrates why the real form-to-destination path must be tested with the intended spam controls enabled. Keep credentials and submission data appropriately protected
A hosted endpoint does not remove the need to think about keys. Formspree’s API-key documentation says a public read-only key may be embedded in frontend code only when submissions are intended to be public. For any approach, map the data from the visitor’s browser to its destination, including storage, exports, notifications, and downstream integrations. Decide who can access submissions and what should happen when a destination is unavailable or a submission appears abusive.

- Start with the destination. If every lead must enter an existing CRM workflow, test the CRM’s native form first. For Salesforce Web-to-Lead, verify volume, fields, and account-specific requirements in the Salesforce documentation.
- Evaluate whether a managed service covers the workflow. If your site team does not want to run a submission backend, compare the service’s required fields, storage, notifications, spam controls, and integrations with your needs. Formspree describes these capabilities, but its feature page alone does not establish privacy, retention, or plan fit.
- Build custom only for a real requirement. If neither hosted nor CRM-native capture meets a necessary processing or data-handling requirement, design a server-side integration and define ownership for credentials, validation, error handling, and monitoring. Salesforce’s external-form guidance shows examples of configuration that may be involved.
- Test the actual route with spam protection enabled. Submit test records through the live-intended path, confirm they reach the correct destination, and verify behavior with the CAPTCHA configuration you plan to use.
