Choose a destination by testing how well it serves your community—not by picking a universally “best” platform. Compare audience fit, everyday participation, moderation, privacy, records, and the work of moving; then run a small trial before asking everyone to switch.

Start with the reason for moving

Write down what is prompting the move and which needs are non-negotiable. A change driven by safety, cost, access, discovery, or platform policy may call for different trade-offs. Separate essential requirements from preferences, and identify what must continue working throughout a transition.

  • Which members must be able to participate, and what barriers might prevent them?
  • What kinds of posts, conversations, and cadence define the community?
  • Which moderation actions and decision-making roles are essential?
  • What information, records, or archives need to remain accessible?
  • How much time can moderators and administrators devote to the new service?

Audience and subject fit deserve special attention. A study of Reddit unrest found that the platform’s range of niche content was an important factor in retaining users who considered alternatives. That is a finding about a particular setting, not a rule that niche content will decide every community’s choice. Newell et al., 2021

Build a comparison scorecard

Compare each candidate against the same questions. Use evidence from that platform’s official help pages, terms, privacy information, and export documentation. Record the date checked because features and rules can change. Mark an answer “unknown” when documentation does not establish it; do not treat an assumption as a capability.

Audience fit and discovery Are members already there? Can people find and follow the community’s subject? Member familiarity, discovery mechanisms, and whether the niche is well served.
Participation model Does it support the formats and posting rhythm members actually use? Can intended members access the key functions? Test the core activities with representative members, including accessibility needs.
Governance and moderation Can you assign roles, set rules, review reports, remove content, and handle feedback or appeals? Document available controls, platform-policy constraints, and gaps in moderator workflow.
Continuity and migration What can be exported, recreated, or left behind? How will members be notified and verified? List archives, membership information, links, and processes that may not transfer intact.
Privacy, terms, and records How are information collection, storage, access, retention, third-party processing, and deletion handled? Review applicable terms and privacy obligations; establish records responsibilities before launch.
Operational burden Can moderators cover the new service’s actual reporting, administration, and routine activity? Estimate staffing and time from a hands-on trial, not a feature list alone.

Check moderation in the actual workflow

Do not stop at whether a platform has a “moderator” role. Confirm who can change settings, review reported posts, remove content, and communicate rule changes, and what happens when a decision is disputed. Compare platform controls with your own community rules and the platform’s policies.

For example, X’s Communities guidance describes separate creator, admin, moderator, and member roles, reported-post review and removal workflows, rule limits, and notifications when rules change. Estimate moderator coverage against the work the destination actually creates. A tool that technically supports a workflow may still be impractical if the team cannot monitor reports or administer the community consistently.

Assess what a move may cost in participation

Plan for the possibility that some members will not follow. In a 2021 study of two communities banned from Reddit and moved to standalone sites, researchers observed declines in posting activity, active users, and newcomers in both cases. They also found increased signals associated with toxicity and radicalization in one of the two communities. These were specific communities responding to bans, not ordinary voluntary migrations, so the findings do not supply an expected loss rate or predict what will happen to your group. No broadly applicable migration-success percentage or universal best destination is established by these studies. Estimate risk locally: ask members about their willingness and ability to use the candidate, and test whether newcomers can discover and join it.

Review portability, privacy, and records before committing

Do not promise that membership lists, archives, or other material will move intact. Check whether the service permits the intended export and reuse, what its terms allow, and which information your organization is responsible for protecting or retaining. The University of Helsinki advises teams to check terms and data-protection requirements early; platform terms may restrict sharing data or preserving it long term. For organizations with official-record obligations, retain a channel they control for essential information and records where appropriate. U.S. Department of Health and Human Services guidance says third-party social content should be verifiable through official sources and comparable information or services should be available through official means; the originating office remains responsible for maintaining records. Run a representative trial before announcing a full move

  1. Document needs: Record the reason for moving, non-negotiable requirements, and current ways members participate.
  2. Gather candidate evidence: Check each service’s official help, terms, privacy, and export documentation. Note the date and mark unresolved questions explicitly.
  3. Apply the same scorecard: Compare audience fit, participation formats, governance, discovery, accessibility, data and records, and administrative effort.
  4. Test core tasks: Invite a representative set of members and moderators to try posting, joining, finding discussions, handling reports, and other essential workflows. Treat feedback as evidence about your community, not proof about all users.
  5. Plan communications and continuity: Explain what is changing, how members can join and verify the destination, what will not transfer, and where essential notices will remain available.
  6. Track the transition: Define active participation and moderation workload consistently before and after the move. Interpret counts cautiously: platform measurement and the population being counted may differ.

Make the decision with unknowns visible

Choose the candidate that meets the community’s essential needs with risks and operating costs the team can accept. If a critical capability, data right, or workflow remains unclear, resolve it or treat it as a migration risk rather than assuming the platform will provide it. A slower decision is preferable to promising members that their access, history, or participation will carry over when that has not been established.
