Users sign in with Microsoft Entra ID, find a printer queue shared with them, and send jobs through the cloud. A Universal Print-ready printer connects directly; an older or unsupported printer uses a Windows connector host to receive jobs locally.
How a Universal Print job gets from a user to a printer
- An administrator registers and shares a printer queue. A compatible printer can register with Universal Print directly. A printer that is not supported uses a connector. The administrator shares the queue with individual users or groups. Microsoft describes the service architecture and documents printer setup and sharing.
- The user signs in and selects an available queue. Microsoft Entra ID identifies the user, and sharing determines which queues they can discover and use.
- The user submits a print job. Universal Print routes it through the cloud service to the registered printer or, for a connector deployment, to the connector that can reach the printer.
- The printer processes the job and reports status. A directly connected printer communicates with Universal Print. With a connector, the connector delivers the job through the local Windows printing path and reports printer and job status.
Microsoft calls Universal Print a multi-tenant printing service hosted on Azure. In practical terms, organizations manage cloud-registered queues and access rather than relying on a traditional print server to publish them. Microsoft’s FAQ was last updated November 11, 2025.
Choose direct printing or a connector

Compatibility is the deciding factor: check whether the exact printer model and firmware are Universal Print-ready before planning a direct deployment. If they are not, use a connector rather than assuming that any network printer can connect directly. Microsoft explains the two approaches in its architecture guidance and setup instructions.
What the Universal Print connector does
The connector bridges the cloud service and printers that do not connect to Universal Print directly. It lets an administrator register printers, retrieves queued cloud jobs and passes them into the local Windows print spooler for delivery to the printer. It also reports printer and job status. Microsoft’s connector overview says that in most cases the connector passes a job to the spooler without storing the entire file locally. Temporary storage can occur, however, and cleanup is not guaranteed in every corner case; account for that when reviewing local host storage and data-handling requirements.

Optional IPP connector path
For the specific IPP-based connector deployment documented by Microsoft, the printer must have IPP enabled and be Mopria-certified; the host uses the Microsoft IPP Class Driver. Microsoft lists Windows 11 24H2 or Windows Server 2025 and later for this connector path. These are requirements for that documented IPP setup, not a general statement that every connector deployment must use those operating systems. See Microsoft’s IPP connector guidance.
How identity, sharing, and print controls work
Universal Print uses Microsoft Entra ID to associate users with access to queues. Administrators share each registered printer with everyone who should use it or with selected groups. They can also configure available or default print options, printer location information, and secure-release behavior in the portal. Those settings control queue access and the options presented to users; secure release can be enabled where the organization’s workflow requires it. Users do not have to be inside the corporate network boundary or connected to a VPN simply to print, according to Microsoft’s migration guidance. They and the relevant services still need connectivity under the organization’s tenant configuration and policies.
How to deploy Universal Print
- Confirm licensing. Check Microsoft’s eligible-license requirements, then assign an eligible Microsoft 365 or Windows license to printing users and administrators. Print volume is relevant to licensing and architecture decisions; do not assume one universal price or allowance applies to every tenant.
- Check endpoint and network prerequisites. Microsoft’s setup guidance lists Windows 1903 or later and macOS Ventura 13.3 or later as endpoint prerequisites. Confirm the current requirements for the devices and tenant before rollout; these minimums do not guarantee that every feature is available on every device.
- Check printer compatibility. Determine whether each model and firmware configuration is Universal Print-ready. For printers that are not, select a connector host or appliance that can reach the printer and keep it available.
- Register printers and configure queues. Follow the direct-printer or connector setup path, then set options, location metadata, and secure-release behavior as needed.
- Share queues with the right users. Assign access to individual users or groups so the intended users can discover the printer.
- Provision printers to managed Windows devices if useful. Microsoft Intune policies can automatically provision shared printers to managed Windows 10 21H2 or later and Windows 11 devices. This is optional; it is a way to distribute queues, not a replacement for printer registration or sharing.
Microsoft’s step-by-step instructions are in Set up Universal Print. Plan around expected print volume as well as compatibility: a direct-ready fleet avoids connector hosts, while connector-based printing adds host availability and local printer reachability to the operational checklist.

What to plan for before replacing a print server
- Compatibility: Verify exact printer model and firmware support; unsupported devices need the connector route.
- Availability and reachability: Connector deployments depend on an available host with access to its printers.
- Access administration: Plan who manages Entra ID groups and printer sharing, and how users will receive their queues.
- Security and workflow: Decide whether queue-level access and available secure-release behavior meet organizational needs; consider connector host handling of temporary job data.
- Licensing and scale: Confirm current eligible-license terms for your tenant and region and evaluate expected volume. Microsoft’s setup and licensing materials should be checked directly for current terms rather than relying on an assumed universal price.
- Device management: If endpoints are managed with Intune, determine whether policy-based printer provisioning fits the Windows devices in scope.
Universal Print is therefore not a single printer driver that makes every printer cloud-ready. It is a cloud queue and access service: compatible printers connect directly, while other printers depend on a reachable connector. That distinction determines the infrastructure, operations, and deployment path an organization needs.
