iCloud is Apple’s online service for keeping supported information—such as photos, files, contacts, and device backups—available across devices signed in to the same Apple Account. It combines syncing, storage, sharing, and backup tools; it is not one folder, and each app or feature uses it differently.
How iCloud works
When you sign in to an Apple Account and enable iCloud features, those services send supported data to Apple’s servers. The data can then appear on your other devices using the same account and, for many services, at iCloud.com. You choose which features use iCloud on each device.
- Sign in to the same Apple Account on the devices you want to connect.
- Open iCloud settings and enable the apps or features you want to use.
- Allow the device to connect to the internet so enabled services can upload or update data.
- Use the relevant app or service on another signed-in device to access the current information.
For example, an edit to a file stored in iCloud Drive can show up on your other devices. This ongoing updating is synchronization, not the same thing as keeping a separate, unchanging backup.
What iCloud includes
iCloud is made up of distinct services. The options available can depend on your country or region, device, and operating-system version; compatible third-party apps and games may also store data in iCloud.

- iCloud Photos: Stores your photo and video library in iCloud and keeps it current across enabled devices and iCloud.com.
- iCloud Drive: Stores files and folders, updates them across devices, and supports sharing.
- iCloud Backup: Saves an iPhone or iPad backup that can help restore the device after it is lost, damaged, or replaced.
- Passwords and iCloud Keychain: Synchronizes passwords and other supported secure information across devices.
- Mail, Contacts, Calendars, Notes, Reminders, and Messages: Keeps supported personal information current across devices.
- Find My: Helps locate a missing device and supports location sharing with family or friends.
- Web and Windows access: iCloud.com and iCloud for Windows provide access to supported services and data outside Apple devices.
iCloud sync and iCloud Backup are different
Synchronization keeps the current version of supported data aligned across devices. If you delete a photo or file that is being synchronized, the deletion can also appear on your other devices. Sync is useful for access and consistency, but it is not automatically an independent safety copy.
iCloud Backup is a device-recovery snapshot for an iPhone or iPad. It can be used during setup of a replacement device or after a reset. Check what your device includes in its backup settings, and keep another copy of irreplaceable photos or files when losing them would matter.
Set up iCloud on an iPhone
- Open Settings, then tap [your name] or Apple Account.
- Tap iCloud, then See All.
- Turn on the apps and features you want to use, such as Photos, Drive, Contacts, Calendars, Notes, Passwords, or Backup.
- Review the iCloud storage meter to see how much space is available and what is using it.
- Sign in to the same Apple Account on your other devices and enable the corresponding features there.
On a Mac, sign in to your Apple Account in System Settings, then configure iCloud features such as Photos and Drive. On Windows, use iCloud for Windows for supported services or access supported data through iCloud.com.

Is iCloud free, and how much storage do you get?
Apple’s iCloud introduction guide states that iCloud includes a free email account and 5 GB of free storage. That allowance is shared across supported iCloud data, including photos, files, and backups, rather than being 5 GB for each service.
Apple says iCloud+ plans offer storage up to 12 TB. iCloud+ also adds features including Private Relay, Hide My Email, and HomeKit Secure Video support. Plan availability and prices vary by region and may change; check the options shown in your Apple Account for current local terms.

Because supported data shares the same allowance, photos, files, and device backups can all contribute to a full storage meter. A practical first step is to inspect storage usage in iCloud settings and identify which category is taking the most space. Then review whether you want that app or feature to use iCloud, and check backup contents before removing data or changing backup settings.

- Review which apps and features are enabled in iCloud.
- Check whether photos, files, or backups account for most of the usage.
- Decide whether to change what is stored or whether a larger iCloud+ plan is useful.
Security and practical limits
Apple says data stored in iCloud is encrypted and recommends two-factor authentication to help restrict account access to trusted devices. Use a strong Apple Account password and review which apps and features you have enabled.
Cloud access requires an internet connection, and features are not necessarily available in every country or on every operating-system version. If you depend on a particular feature, confirm that it is supported on your device and in your region.
