It records what AI did, what a qualified human checked, the evidence and acceptance criteria, and what happens if the work changes. It should not imply that a review signature clears rights, consent, confidentiality, or legal compliance.
What the review record should establish
Treat the record as an operational workflow, not a universal VFX contract form or legal clearance. The UK Home Office’s engineering guidance calls for qualified human review and approval before production and says the organization retains accountability. Those are sensible principles to apply to VFX review, but the guidance is not a VFX-sector rule or template: UK Home Office Engineering Guidance and Standards.
Human Provenance in Film (HPF) provides a version-specific film and television provenance framework. Its guidance supports identifying the production version, describing relevant AI use and output, naming the declaring party, and recording an authorized signature and date. It does not publish a VFX change contract: HPF.
Fields to include in a VFX change review
The following checklist adapts those principles into a practical production record. Set the binding terms to match the parties’ actual agreements and obtain qualified legal advice where needed.

- Production and parties: project or production, delivery or work order, submitting vendor, receiving organization, submitter, responsible reviewer, and approval authority.
- Version and scope: cut or sequence version, affected shot and asset IDs, frame range if useful, source and submitted version identifiers, and the specific change under review.
- AI-use description: tool or service if known; its function in this use; what source material was supplied; whether the operation processed or reconstructed that material or introduced content not present in it; where the result appears; and any uncertainty or supplier-provided qualification.
- Evidence: permitted source plates or assets, before-and-after frames, a relevant review movie, comparison notes, and links or identifiers that point to the exact submission. Apply the parties’ existing security and retention rules; the cited guidance does not set a VFX evidence-retention period.
- Acceptance criteria: agreed visible quality, continuity, composition, technical delivery, creative intent, and project-specific constraints. State the criteria before review; the cited sources do not prescribe VFX thresholds.
- Outcome and rationale: approved, approved with recorded conditions, rejected/requested changes, or unresolved; reviewer name and role; decision date and time; findings; and required corrections.
- Escalation and change control: who resolves conflicting accounts or unknown facts, which changes require another submission, and who receives corrected records for later versions.
- Separate obligations: direct rights, consent, likeness or voice, confidentiality, data handling, union or collective terms, and legal compliance questions to the applicable contracts and policies. The review record itself does not establish any of them.
Describe what the AI did—not just which tool was used
A feature name or vendor label does not determine whether an operation is assistive or generative. Describe the input, the operation, and the result visible in the submitted work. For example, say whether the system repaired or reconstructed supplied plate material, or introduced a background or visual detail that was not in the input. If both types of use occur, describe both rather than forcing the work into a single oversimplified description.
HPF’s taxonomy distinguishes processing or reconstructing supplied human-created material from originating content that was not supplied. It classifies AI output reflected in the finished production using three categories: No AI Used, Assistive AI, and Generative AI. HPF is a provenance example, not a universal VFX-review mandate. Its classification guidance notes that the boundary can be difficult when a system generates pixels, frames, or audio while operating on existing human-created material.

HPF’s September 2026 update describes version 0.9.2 as a consultation draft, with consultation scheduled to close on 31 October 2026. Its provisional descriptors add detail without changing the three top-level categories, and it states no quantity threshold for qualifying AI-generated content appearing in the finished production. Check the then-current published version before applying the taxonomy later: HPF updates.
Keep uncertainty visible and review later versions
Do not turn missing information into a “No AI Used” assertion. HPF’s FAQ says, “Unknown is never No AI Used.” Record what is unknown, who must resolve it, and whether approval or final classification must wait: HPF FAQ.

Bind a review and any provenance declaration to the version it identifies. Define whether a change reopens review—for example, a change that affects the AI output, the agreed scope, or an acceptance criterion—and require updated evidence and notice to the relevant recipients when it does. HPF says an inaccurate or changed version may require a corrected or updated declaration; its workflow guidance also makes clear that a declaration applies to the identified version.
Separate completeness checks, substantive review, and clearance
A reviewer may confirm that the record is complete without confirming every assertion through an audit. HPF states, “This is a completeness check, not an audit,” and says its declaration does not certify or audit a production, establish rights or consent, or determine legal or contractual compliance. The contract should therefore state what the reviewer is actually approving: the record’s completeness, the creative and technical result, or both. A separate agreement or policy must govern the other obligations.

The parties can also specify whether a change is reviewed by the vendor, an internal approver, the client, or through documented two-party signoff. These are workflow choices, not a single industry-prescribed arrangement. A fuller audit, if required, is a distinct assurance step rather than an implication of signing the review record.

The European Commission says AI Act Article 50 transparency obligations apply from 2 August 2026. Its guidance describes provider rules concerning machine-readable marking and detection of generated or manipulated outputs, plus deployer disclosure duties for specified deepfakes and certain public-interest text. The Commission also says the code of practice is voluntary even though Article 50 obligations are legal requirements: European Commission guidance on AI-generated content.

That policy context does not mean every AI-assisted VFX change must be publicly labeled. Whether a particular use falls within a legal definition or triggers an obligation depends on its facts and applicable jurisdiction. Keep that determination in the relevant legal or compliance workflow; do not treat the VFX review signature as the answer.
