For a conference tote that carries a brand clearly, give the logo the most prominent position, keep supporting text brief, and design for the actual fabric—not just a screen mock-up. Choose the bag and printing method together, keep important artwork on a flat panel, and review a full-size proof before production. A physical sample is especially useful when brand-color accuracy or fine detail matters.
Start with one clear focal point
Make the logo or primary mark the first thing someone notices. The European Commission’s visual guidance for promotional fabric items, including tote bags, recommends emphasizing the logo as the focal point: Your Europe visual guidelines: Textile print — tote bag. This is design guidance, not a legal accessibility requirement.
Keep secondary information to what a recipient can use at a glance, such as a short event name or URL. A crowded panel forces the logo and sponsor names to compete, especially when the bag is viewed at a distance. If several sponsors must appear, establish a clear hierarchy and avoid shrinking every mark to fit.
Design for the fabric and viewing distance
Fabric texture and ink absorption can soften edges that look sharp on screen. Fine lines and small lettering are therefore riskier on a woven or textured bag. Bag Printing UK recommends bold artwork and lines at least about half a millimetre thick as its rule of thumb; it advises using heavier lines for coarse materials such as heavy canvas or jute. - Use strong contrast. Check the artwork against the actual bag color; a combination that looks distinct on a white screen may disappear on natural canvas or a dark bag.
- Keep details robust. Avoid hairline strokes, tiny text, and tightly spaced elements that may blur or fill in on the chosen material.
- Judge text at scale. Print the design at its intended size and hold it next to a bag or unprinted sample. Read it from arm’s length before approving it.
The available guidance does not establish a universal minimum type size for tote printing. Readability depends on the artwork, viewing distance, fabric, and print process, so a full-size proof is more useful than assuming one font-size threshold will work for every bag.
Choose the bag and printing method together
A smoother, denser fabric can support crisper edges, but the best choice also depends on color, artwork, intended use, and the printer’s capabilities. The European Commission’s visual guide identifies serigraphy for cotton and thermal transfer for polyester in its promotional-textile guidance. Those are examples in that guide, not a guarantee that every printer or bag is suitable. Confirm the process with the vendor for the specific substrate. For screen printing, plan around a few solid colors where possible. Include any underbase ink in the production specification, and consider using the bag’s fabric color as part of the palette where unprinted areas are intentional. No comparable independent wash tests or universal cost figures are established for these options, so do not assume one method is always cheaper or lasts longer than another.
Place artwork on the flat panel
Keep the logo and other essential content within the bag’s flat print zone. Seams, handle attachments, and gusset folds complicate print placement and can interrupt artwork. In the production brief, specify the side to print, the finished print width, and its position relative to the bag edges. Ask the printer to confirm the usable area for the exact bag model rather than relying on a generic tote template.

Prepare files and approve a proof
- Confirm the bag specification. Record the model, dimensions, material, weight if supplied, color, intended use, and expected exposure to washing. Tell the printer whether this is a short-term event giveaway or a bag intended for repeat use; intended lifespan can affect method choice, but available guidance does not provide tested wash-life figures.
- Set the print dimensions and placement. Give the final artwork width and position, name the printed side, and keep key elements clear of seams, handles, and folds.
- Send production-ready artwork. Provide vector artwork if available, outline fonts, list color references, and identify anything that must not be resized or recolored. Ask the printer to flag any element that cannot reproduce cleanly on the selected fabric.
- Check a full-size proof. Print the artwork at final size and assess readability beside the actual bag or a sample. A reduced digital preview can conceal problems with scale and fine detail.
- Request a physical sample when precision matters. Ink and fabric color interact, and a digital preview cannot fully show the result. Review a printed sample or production proof when accurate brand color or fine detail is important, and approve the appearance before authorizing the run.
These steps reduce avoidable layout and reproduction surprises; they do not guarantee a particular number of washes or a fixed service life. Ask the selected printer how its process and care instructions match the bag’s expected use.
