A useful virtual assistant (VA) discovery call ends with a clear record of the client’s needs, what both sides agreed, what still needs checking, and who will do what next—and by when. Use a short pre-call form to gather repeatable background information, then use the conversation to clarify the work, test fit, and agree on a first step. The goal is a reliable follow-up, not a guaranteed sale.
Prepare before the call: collect facts, save the conversation for decisions
Read the inquiry and any completed intake answers first. That lets you spend the meeting on priorities and unclear points rather than asking the client to repeat basic details. A form and a call do different jobs. Use a form for background details the client can provide on their own; use the call to clarify answers that need context or judgment, resolve ambiguity, and confirm decisions. Do not assume that either format is universally better. Consider how repeatable the information is, whether it can be gathered asynchronously, whether the client can share it safely, and whether the answer needs discussion before it becomes a commitment.
Questions to ask during a VA discovery call
Move from the client’s goal to the work itself, then finish by agreeing on a practical first outcome. Treat these as prompts, not a mandatory script or a fixed number of questions.

Understand the goal and the reason for the inquiry
- “What prompted you to look for support now?”
- “What would you like to be different once support is underway?”
- “Can you walk me through a recent task that was delayed, repetitive, or difficult to hand off?”
A concrete recent example helps turn a broad request into something you can assess. A client may hope for a business result, but distinguish that hoped-for result from the specific tasks you can agree to perform.
Map the task or workflow
- What needs to be done, and how does the request currently arrive?
- Which tools or systems are involved? Who supplies the information or materials needed to do the work?
- Who reviews or approves the result, and what situations should be escalated rather than handled independently?
- What volume and timing are relevant to defining this service?
Ask about volume and deadlines only as far as you need to scope the work. A vague estimate is not an agreement about hours, availability, or capacity.

Agree on working expectations and boundaries
- Which communication channel should you use, and how often should you send updates?
- What response expectations, time-zone differences, or scheduling constraints matter?
- What access will be needed, how will it be granted securely, and what confidentiality preferences should guide the work?
- What is outside the proposed scope?
Do not ask a client to send passwords during the call or recommend insecure credential sharing. Record the secure access method or the fact that access is still needed—not secrets themselves.
Define a useful first outcome
- What would a good first week or first deliverable look like?
- Who will review it, and when?
- What information or access is still missing?
Keep the initial deliverable small enough to review and use it to confirm that the working process is clear. Guidance from VA Starter Hub recommends turning kickoff decisions into a one-page brief and keeping the first deliverable small and reviewable; its client onboarding checklist is one example. HoneyBook’s onboarding guide for virtual assistants also emphasizes gathering details and permissions, clarifying expectations, and using a kickoff meeting to answer questions.

Use a note format that makes follow-up unmistakable
Capture decisions as you talk, but separate what the client said from your interpretation. If a detail is uncertain, label it “to confirm” instead of recording an estimate as an agreement. A digital document or handwritten notes can both work; the important part is making the record easy to turn into a recap.
- Client goal and context: What prompted the inquiry and what the client wants to change.
- Tasks or workflow discussed: The work in scope, how it starts, and what a completed result means.
- Current process and tools: Systems in use and people involved.
- Priorities and timing: What matters first and any timing constraints actually confirmed.
- Decisions confirmed: Scope, communication expectations, review arrangements, and other agreed points.
- Assumptions to verify: Estimates or interpretations that need the client’s confirmation.
- Access or information needed: What is missing and the secure method for providing it—never the credentials themselves.
- Open questions: Unresolved details, with the person responsible for answering each one.
- Action, owner, and due date: The next task, the person who owns it, and when it is due.
- Proposed first deliverable and review point: What the client will see first and who will review it.
Close the call with a read-back, then send a recap
- Read back the key decisions. Summarize the agreed work, priorities, expectations, and first deliverable in plain language. Ask the client to correct anything you misunderstood.
- Name open questions and owners. For each unresolved item, note who will supply or confirm the answer.
- Set the next contact or decision date. Write down when the next step is due; do not leave timing implied.
- Send a concise written recap. Convert the notes into a short brief the client can review, including decisions, uncertainties, responsibilities, and dates. This gives the client an opportunity to correct misunderstandings and prevents important decisions from remaining buried in call notes.

What a discovery call cannot establish by itself
The available guidance does not establish an optimal call duration, a required number of questions, or an expected conversion rate. Choose the length and prompts that let you understand the work and document the decisions without turning the conversation into an interrogation. The result to aim for is clarity about scope, open questions, and next steps—not a promise that the client will hire you or achieve a particular business outcome.
