Microsoft Outlook is an integrated mail, calendar, contacts, search and task workspace—not merely an email app. The functions you can use depend on whether you have new or classic Outlook for Windows, Outlook for Mac, Outlook on the web, or the iOS/Android app, as well as your account type and Microsoft 365 license.

This guide maps the major Outlook workflows and the differences that matter when choosing a client or troubleshooting a missing feature.

What Outlook does

Outlook combines several work areas in one account:

  • Mail: compose, reply, organize and search messages; use signatures, categories, rules, Focused Inbox, scheduling and other mail controls where supported.
  • Calendar: create events, schedule meetings, view availability, share calendars and add online-meeting details when your account and client support them.
  • People and contacts: store contact details, browse contact lists and manage address information.
  • Tasks and daily planning: track tasks and review upcoming work. In new Outlook for Windows, My Day brings calendar and tasks alongside the inbox.
  • Search and shared work: search mail and other Outlook data, work with shared mailboxes and use add-ins where the client and account allow them.

Microsoft describes Outlook for PC as “our most full-featured email and calendar app, optimized for PCs and laptops.” Its comparison documentation also warns that PC, web and mobile clients do not expose identical capabilities. Mail and inbox organization

Core message tools

Depending on the client, Outlook provides message search, folders, categories, signatures, rules, attachment handling, undo or delayed sending, snooze and sweep-style cleanup. Sensitivity labels, mail merge and schedule-send controls also vary by account and Outlook experience.

New Outlook for Windows is not a drop-in match for classic Outlook. In Microsoft’s feature matrix, some mail functions are available, some are partial or upcoming, and some classic controls—such as rules import and export at the time of the September 23, 2026 update—are unsupported. Focused Inbox

Focused Inbox separates messages into Focused and Other tabs. Microsoft says it uses interaction patterns and filters noisy sources such as automated or bulk mail; it is a sorting aid, not a guarantee that every important message appears in Focused. Calendar and scheduling

Outlook calendars support events, invitations, recurring meetings, availability checks, working hours, calendar sharing and schedule views. Online-meeting integration and sharing controls can differ between Windows, Mac, web and mobile. Microsoft’s comparison tables label functions as available, partially available or upcoming rather than treating “Outlook calendar” as one identical product.

Contacts, People and tasks

Outlook’s People area stores and manages contacts, while task features support personal work tracking. The exact management tools differ between Windows and Mac Microsoft 365 apps. In new Outlook for Windows, select My Day to see calendar items and tasks without leaving Mail; the navigation bar also switches among Mail, Calendar and Contacts. Search, shared mailboxes and add-ins

Search suggestions, searchable scopes, shared-mailbox access and add-in support are client- and account-dependent. A work or school mailbox may expose administrative or shared features that a personal account does not, and a mobile app may omit management functions available on desktop. Verify the combination of operating system, Outlook experience, mailbox type and license rather than assuming that a feature advertised for Outlook works everywhere.

Outlook for Mac Modern Mac email and calendar capabilities documented separately from Windows. Distinguish modern Outlook for Mac from legacy Outlook for Mac. Microsoft states that legacy support ends in October 2026.

New Outlook versus classic Outlook for Windows

These are separate experiences, not just different themes. Microsoft’s matrix, last updated September 23, 2026, classifies each capability as available, partially available, upcoming or unsupported. Examples that can affect a migration include:

  • VBA macros and other classic automation may not be available in new Outlook.
  • Rules can be only partially implemented, and rules import/export was marked unsupported in the cited update.
  • Offline behavior and selected calendar tools differ.
  • Modern mail functions such as schedule send, snooze, sweep, undo send, sensitivity labels and mail merge have their own status rows.

Windows and Mac differences

Microsoft’s Microsoft 365 comparison documents differences between the Windows and Mac applications, including areas such as unified inbox behavior, PST export, task functions and contact-list management. These statements apply to the compared Microsoft 365 apps, not automatically to every Outlook edition or account.

Mac users should also distinguish the modern application from legacy Outlook for Mac. Microsoft’s feature page states that legacy support ends in October 2026; consult the current page for lifecycle updates and supported capabilities: Outlook for Mac features.

How to choose the right Outlook experience

  1. Identify the client: Windows classic, Windows new, Mac, web, iOS or Android.
  2. Identify the account: personal, work or school; note whether you use an Exchange or shared mailbox.
  3. List non-negotiable workflows: offline access, PST files, VBA, rules import/export, shared mailboxes, calendar sharing, tasks or advanced mail handling.
  4. Check Microsoft’s status label: available, partially available, upcoming or unsupported in the exact client.
  5. Confirm licensing: some functions require a qualifying Microsoft 365 subscription, and account availability can vary.

Why an Outlook feature may be missing

  • You are using new Outlook instead of classic Outlook, or vice versa.
  • The feature is desktop-only, web-only or unavailable on mobile.
  • Your personal, work or school account does not expose the required mailbox capability.
  • Your Microsoft 365 subscription or administrator settings do not include it.
  • The feature is marked partial or upcoming and has not reached your client.
  • A release changed the interface or status; Microsoft continues to publish updates for new Outlook in its release notes.

Bottom line for Outlook users

Outlook’s value is the combination of mail, calendar, contacts, search and task workflows, but “Outlook” does not describe one fixed feature set. For dependable results, name the client and version, account type and license, then verify the specific function in Microsoft’s current comparison matrix. This is especially important when moving between classic and new Outlook for Windows or when relying on PSTs, macros, rules, shared mailboxes or offline work.
