There is no defensible single “best” remote desktop tool for every small or medium-sized business. Choose by the job first: unattended access to company computers, attended support for someone who needs help now, or Windows-focused remote desktop access. Then compare device coverage, licensing limits, administration, security controls, integrations, deployment and total cost. The candidates below are a practical starting shortlist, not a verified ranking of 18 products: available product information does not support an audited 18-tool comparison or a universal winner.
First decide what “remote desktop” needs to do
Remote access software and remote support software overlap, but they are not interchangeable. An employee connecting to their own office computer after hours has a different workflow from a technician helping a customer who has just requested assistance.
- Unattended access: A staff member or administrator connects to a known, company-controlled device without someone at that device having to accept each session. Check how devices are enrolled, assigned, secured and removed when staff leave.
- Attended support: A technician helps an employee or customer who is present and can start or approve a session. Check how users join, how technicians manage sessions, and whether support can connect to ticketing workflows.
- Windows-centric remote desktop: The organization wants to reach Windows machines, often within an existing Microsoft environment. Separate ongoing access to managed machines from a one-off help session.
These workflows can coexist. If the team needs both, compare whether one product covers both adequately or whether two deliberately scoped tools would be easier to administer.
How to compare the candidates without mistaking unlike tools for equivalents
Start with the real licensing unit
A low advertised price may apply to one technician, a limited number of endpoints, a certain number of simultaneous sessions, or a specific use case. Before comparing quotes, establish the unit you actually need: technicians, named users, managed devices, concurrent connections or sessions. Ask about caps, overages, annual commitments and whether commercial use is covered by the plan. Add administration and any self-hosted infrastructure costs to the software price.

Verify both ends of every connection
Make a list of the operating systems used by the computers people will access and by the devices they will use to connect. Confirm host support and viewer/support-device support separately. Include mobile devices, ChromeOS, macOS and Linux if they are part of the business; do not assume that a vendor supports a platform in both roles just because it mentions that platform.
Evaluate control and support workflows
For company-wide access, look for the controls your operating model requires: MFA options, user roles, unattended-access policy, device inventory, audit logs or session recording, and central policy management. Confirm details in current product documentation rather than relying on broad marketing claims. For a support team, check whether sessions can be connected to its ticketing system, RMM or identity platform.

Decide who operates the service
A cloud-hosted product and a self-hosted product place different work on the IT team. Self-hosting may be valuable when infrastructure control is a requirement, but it also means the organization must understand and maintain the deployment. An operating-system feature may fit an established environment, but its edition, configuration and service conditions still matter.

Build a shortlist for your business
- Write down the connection scenarios. For example: “employees access assigned office PCs after hours” and “a technician supports staff during business hours.” Mark each as unattended or attended.
- Count the things the license may charge for. Record the number of support technicians, endpoints, simultaneous connections and expected support sessions. Ask vendors to quote the same scenario and disclose caps and overages.
- Map your device mix. List the operating systems on remote hosts and on the devices used to connect. Get confirmation for both sides, not just a general platform list.
- Set minimum administration and security requirements. Decide what you need for MFA, roles, device enrollment and removal, session records and policy enforcement. Mark a missing required control as a disqualifier rather than treating it as a minor feature gap.
- Check integrations and operating burden. Identify required ticketing, identity or endpoint-management links. If considering self-hosting, include the staff time and operational responsibility in the decision.
- Run a bounded evaluation. Test the actual workflows with representative operating systems and users. Confirm connection and onboarding steps, policy behavior, support handoff, and what administrators can see. This is a business-specific evaluation, not a substitute for vendor security documentation.
- Compare total cost on equal terms. Include plan tier, seats, endpoints or sessions, commitment length, and infrastructure or administration work. Recheck live vendor pricing before signing; prices and entitlements can change.
Common buying mistakes to avoid
- Choosing by entry price alone: A price is meaningful only alongside its billing period, eligibility, license basis and included limits.
- Assuming support and access are the same workflow: A product optimized for unattended access may not match technician-led support, and vice versa.
- Reading “supports Windows” as full compatibility: Check host and viewer roles, relevant editions, and any conditions on the connection method.
- Treating category listings as endorsements: A product’s presence in a small-business software category does not establish that it is directly comparable to every other entry.
- Assuming a vendor claim is an independent test: Product pages explain vendor-stated features. They do not, by themselves, establish comparative reliability, performance or security.
