To shrink a screenshot without changing its pixels, crop away irrelevant areas and use lossless optimization or a lossless format such as PNG. If the screenshot may be resized or encoded with lossy compression, keep the original and check the result at its intended display size: smaller files can mean less image information, especially around text and sharp edges.

Start by deciding what “without losing quality” means

There are two different goals behind this phrase. If you need every decoded pixel to remain identical, use lossless methods: crop only if removing the surrounding content is acceptable, resize only if changing dimensions is acceptable, and save in a lossless format. If you mean “still looks good to the person viewing it,” lossy compression may be acceptable, but it changes image data and needs visual checking.

No single format or quality setting guarantees the same result for every screenshot. A screen full of small text, fine lines, or interface controls behaves differently from one dominated by photographs or gradients. The destination matters too: check which formats the upload form, app, or recipient accepts before converting.

  • Exact pixels required: use lossless compression or a lossless format; do not resize or apply lossy encoding.
  • Same meaning and readable appearance required: crop or reduce dimensions only as far as the use permits, then test lossy formats against the original.

Use this order to make a screenshot smaller

  1. Keep an untouched original. Duplicate the file before cropping, resizing, or converting it to a lossy format. Work on the copy so you can recover the source if the output looks poor.
  2. Crop irrelevant content. Remove blank margins, unrelated windows, or desktop areas that do not help explain the image. Cropping reduces the stored image area without encoding the remaining pixels differently, but it also removes information; retain anything a recipient may need for context.
  3. Resize only for a smaller destination. If the screenshot will be displayed at a smaller size than its original, a reduced copy may be more practical. Preserve enough pixels for labels, controls, and fine lines to remain legible where the image will actually be seen. There is no universal pixel threshold for every use.
  4. Choose a format based on content. Start with PNG or lossless WebP when crisp text, interface details, diagrams, or line art must remain exact. For a photo-heavy screenshot, test JPEG or lossy WebP if some encoding loss is acceptable. WebP and AVIF both support lossy and lossless modes; confirm the destination supports the format and mode you plan to use.
  5. Compare the output at its intended size. Look closely at small type, thin strokes, gradients, and transparency. If lossy compression creates visible artifacts or makes text harder to read, use a higher-quality setting, another format, or a lossless copy.
  6. Remove metadata only when appropriate. Metadata removal may help privacy and can sometimes reduce file size, but the available guidance does not quantify typical savings. Treat it as a possible marginal optimization, and retain metadata your workflow needs.

Choose a format that suits the screenshot

Format or mode Best fit Trade-off to check
PNG Lossless screenshots, diagrams, line art, and interfaces where sharp detail matters. It may not be the smallest choice for photo-heavy content. PNG is lossless, as described by MDN Web Docs.
JPEG Photographic or continuous-tone content when some image information can be discarded. JPEG is lossy and does not preserve transparency. Small text and sharp edges can show compression artifacts. MDN Web Docs describes JPEG as suited to photographic content.
WebP Either lossless or lossy output; it supports transparency as well. Confirm the destination accepts WebP. Lossy output can affect text and edges, so inspect it before sharing. MDN Web Docs describes WebP as supporting both modes.
AVIF Either lossless or lossy output where the destination accepts it. Support depends on the receiving workflow; verify compatibility before converting. MDN Web Docs describes AVIF as supporting both modes.

Google for Developers reports that lossy WebP images are 25–34% smaller than comparable JPEG images at equivalent SSIM quality. That is Google’s published comparison, not a predicted saving for a particular screenshot. Google also says lossy RGB WebP with transparency typically produces files three times smaller than PNG; that general format claim is not a guarantee for an individual screenshot.

Crop and resize without making the image harder to use

Crop to the information that matters

Include enough surrounding context for the screenshot to make sense, but remove areas that do not contribute. For documentation screenshots, Mozilla Contributors Help recommends cropping large captures to emphasize the relevant interface. Its guidance also recommends dimensions under 620 pixels in both height and width for that documentation context; it is not a general standard for screenshots used elsewhere.

Before sharing, check for personally identifiable information in the visible area, such as account details or notifications. Cropping can remove such details if they are outside the useful area, but do not rely on it if sensitive information remains visible.

Downsize for the actual display target

A smaller image has fewer pixels to store, but downscaling can make small type and one-pixel details difficult to read. Make a separate display-sized copy rather than overwriting a full-resolution original. Judge the resized version in the place it will be viewed; a screenshot that looks clear when enlarged may not remain clear when embedded at a smaller size.

Save a smaller file using common desktop tools

The exact controls vary by application and version, and the supplied references do not establish current menu paths for every editor. Mozilla Contributors Help identifies Paint on Windows, Preview on Mac, and GIMP as editing options. In any editor, use the same safe sequence: open a duplicate, crop or resize if appropriate, choose the desired format, save a new file, and inspect it before replacing or sharing the original.

  • For photo-heavy captures: export a JPEG or lossy WebP copy and compare it with the original. If the editor exposes a quality control, adjust it while checking text and edge detail; there is no universal numeric setting.
  • For transparency: do not choose JPEG, which does not preserve it. PNG or WebP can preserve transparency.

Apple’s ScreenCaptureKit screenshot configuration documents HEIC, JPEG, and PNG output formats, plus output width, height, and image-quality properties. Those are capabilities of that API, not a claim that every Apple screenshot workflow exposes the same controls.

Check the result before sending or uploading

  • Open the new file and verify its dimensions and that it is not blank or corrupted.
  • Read the smallest text at the destination display size; inspect thin strokes, icons, and sharp boundaries for halos or blockiness.
  • Check gradients and photographic areas for banding or visible compression texture.
  • Confirm transparency is still present if the image needs it, and verify the destination accepts the chosen format.
  • Compare file sizes, but do not treat a smaller number as proof that the image remains suitable. If quality is not acceptable, return to the original and use less aggressive changes.

Troubleshooting: why the file may still be large or look worse

The PNG barely shrank

PNG preserves image data, so lossless saving may produce only a modest reduction for a particular screenshot. First remove irrelevant margins or content if that is safe. If the image is photo-heavy and exact pixel preservation is not required, compare a lossy WebP or JPEG copy and inspect the output.

Text looks blurry after conversion

The output may have been resized too far or encoded with lossy compression. Restart from the original, preserve the original dimensions if small text matters, and use PNG or a lossless mode. If lossy output is necessary, use a less aggressive setting and compare again.

The file is smaller but transparency disappeared

JPEG does not preserve transparency. Use PNG or WebP and verify that the chosen export mode retains transparency.

The recipient cannot open the converted image

The destination may not support the format. Check its accepted formats and save another copy in a compatible format; do not discard the original until the recipient confirms the replacement works.

Metadata removal made little difference

Metadata is not established as a major source of size in typical screenshots. Removing it may still be useful for privacy, but focus first on cropping, appropriate dimensions, and a format suited to the content.

Will converting a screenshot always make it smaller?

No. The result depends on image content, format, mode, and settings; compare the actual files rather than assuming a format name guarantees a reduction.

Is a lossless screenshot the same as an unchanged screenshot?

Lossless encoding preserves decoded pixels, but cropping or resizing changes the image area or dimensions even if the saved result uses a lossless format.
