For a visible range, use Home > Copy > Copy as Picture. If the worksheet is longer or wider than the screen, first set its print layout and scaling in Page Layout > Page Setup, preview it, and print to a file. Excel does not provide a single command that exports an unlimited worksheet directly as one image; the best method depends on whether you need a clipboard picture of selected cells or a complete, print-scaled worksheet.
Choose the method that matches the result you need
Excel’s picture command is selection-based. It captures the cells, chart, or object you select, not an automatically detected “whole sheet”. A worksheet that extends beyond the screen therefore needs a print-layout workflow.

For Microsoft 365, Excel 2024, and Excel 2021, Microsoft’s support instructions describe Copy as Picture. Its separate Page Setup and printing guidance covers Excel 2016 through Microsoft 365.
Capture a selected worksheet range with Copy as Picture
- Select the complete range. Drag across the cells you need, or click the first cell and use the appropriate keyboard selection to reach the last populated cell. Include every row and column intended for the image; Excel will not infer the worksheet’s used area for you.
- Hide gridlines if the image should look like a clean report. Open View > Show and clear Gridlines. This changes the worksheet view before the copy operation.
- Open the picture command. Choose Home > Copy > Copy as Picture.
- Set the copy options. In the Copy Picture dialog, choose As shown on screen for appearance and Picture for format. Microsoft recommends that combination for the best picture quality. The copied content retains its original size even if you reduced the worksheet’s zoom; resize it after pasting if the destination is smaller.
- Paste the result. Use Ctrl+V (Windows) or the normal paste command in Word, PowerPoint, another worksheet, an email, or an image editor. The result is a static picture, not editable cells.
What this method can and cannot do
- It can copy a bounded range, a chart, or another worksheet object.
- It does not create an automatic image of every populated cell on a very large sheet.
- If the range is extremely wide or tall, pasting at its original size can produce an image that is difficult to view. Use print scaling instead when page-sized readability matters.
Capture a worksheet that is larger than the screen
When the goal is the entire worksheet, treat it as a print-layout problem. Excel can scale the sheet to a selected number of pages, show the result in print preview, and print it to a file. This gives you a complete layout, but it may produce several pages rather than one very tall bitmap.

- Open Page Setup. Go to Page Layout > Page Setup. Set orientation (portrait or landscape) and the paper size appropriate for the final document.
- Choose a scaling strategy. Use the scaling controls to fit the worksheet to a specified number of pages wide and tall. Fitting one page wide can keep columns together, while allowing several pages tall usually preserves more readable text than forcing the entire sheet onto one page.
- Inspect print preview. Open Excel’s print view and check page breaks, clipped columns, row headings, and text size. Change orientation, margins, or the page count until the important content is legible.
- Check the print area. A previously defined print area can restrict output to only part of the sheet. In the print settings, select Ignore print area when the complete worksheet is intended. If a specific print area is deliberate, leave it enabled and verify that it contains everything required.
- Print to a file. Use Excel’s print command and select an available file printer, such as a PDF printer on systems that provide one. Save the resulting file and review every page.
- Convert to images only if needed. Excel’s documented whole-sheet route ends with a print file. If your recipient specifically requires PNG, JPEG, or WebP, open the PDF in an image editor or a PDF-to-image utility and export the required page(s). Check the exported resolution and text at 100% zoom.
One page versus several pages
Forcing a large worksheet onto one page technically produces a single page, but the scaling can make labels unreadable. A multi-page PDF or a set of page images is often the more useful representation. If a single continuous image is mandatory, you can combine the page images afterward in an image editor; inspect seams and repeated headings before sharing it.
Prevent common omissions and visual surprises
Gridlines and borders
Gridlines are a view setting, not the same thing as cell borders. Clear View > Show > Gridlines before using Copy as Picture when you want a white, border-free background. Deliberate borders applied to cells remain part of the copied or printed content.
Print areas
Print settings honor a defined print area unless you choose Ignore print area. If a supposedly full-sheet PDF stops at an unexpected row or column, inspect the print-area setting first.

Sheet backgrounds
An image added through Excel’s sheet-background feature is for on-screen display and is not printed. Do not use a sheet background as a way to add a logo or other content to a printable image. Put printable artwork in cells, headers, or another object that appears in print preview.

Appearance and quality
Copy as Picture offers screen and print appearance choices. For the highest quality in the documented workflow, select As shown on screen and Picture, then resize the pasted picture in its destination rather than shrinking the worksheet before copying.
A practical decision checklist
- Need a quick snapshot of a known range? Select the range and use Copy as Picture.
- Need every populated row and column beyond the viewport? Configure Page Layout > Page Setup, preview, and print to a file.
- Need a clean visual? Turn off gridlines and verify that no old print area is limiting the output.
- Need a document rather than a bitmap? Keep the PDF produced by the print workflow; it preserves the page layout without an extra raster-conversion step.
- Need one continuous bitmap? Export the printed pages to images and combine them, accepting that text may become smaller as the image grows.
Troubleshooting
The picture contains only part of the worksheet
Cause: Only the selected cells were copied, or a print area limited the print job. Fix: Reselect the full intended range for Copy as Picture. For printing, choose Ignore print area and confirm the page range in preview.

The pasted image is blurry or unexpectedly small
Cause: The image was scaled aggressively after copying, or the print workflow fitted too much content onto too few pages. Fix: Use As shown on screen and Picture, paste at or near the original size, or allow additional printed pages so labels remain legible.
Gridlines appear when they should not
Cause: Gridlines were still enabled when the range was copied. Fix: Clear View > Show > Gridlines, then run Copy as Picture again.

Cause: Orientation, margins, or fit-to-page counts do not match the sheet’s proportions. Fix: Return to Page Layout > Page Setup, try landscape for wide data, adjust the pages-wide/pages-tall settings, and recheck print preview.

A logo or background is missing from the printed result
Cause: It was inserted as a sheet background, which is display-only and does not print. Fix: Place the visual in printable worksheet content or a header/footer, then verify it in preview.
The file has several pages but I expected one image
Cause: Print scaling creates page-sized output rather than an automatic continuous bitmap. Fix: Keep the multi-page file for readability, or export the pages to images and stitch them in an image editor if a single canvas is a hard requirement.

Final recommendation
Use Copy as Picture for a defined range and select As shown on screen plus Picture. For a worksheet that extends past the viewport, set orientation and fit-to-page scaling in Page Setup, remove unintended print-area limits, inspect preview, and print to a file. Convert the resulting pages to raster images only when the recipient specifically requires an image format.
