The simplest Mac workflow is to place the PDF in iCloud Drive, create a share link in Finder, set the access scope and permission, then paste the copied URL into your message. Choose Anyone with the link when every recipient should be able to open it, or invite specific people when the document is private. Use View only for reading and downloading without collaboration.
What “host a PDF online” means on a Mac
A PDF is hosted online when a cloud service stores the file and gives you a web address that points to it. The recipient can then open that address in a browser instead of receiving the file as an email attachment. On macOS, iCloud Drive is the most direct option because Finder includes sharing controls for files stored there.
A share URL is not the same as a permanent public website address. It is an access link managed by the storage service. If you stop sharing, the link may stop working for future visits, but a copy that someone already downloaded or copied elsewhere remains outside your control.
Before you share: prepare the PDF
Check the file and its contents
- Open the PDF in Preview and confirm that every page, image, form field and attachment appears as intended.
- Remove confidential comments, hidden information or personal data that recipients should not receive. A share link does not protect information already present in the file.
- Use a descriptive filename, such as project-brief-2026-09.pdf, so recipients can identify it after downloading.
Decide who should have access

Method 1: host and share the PDF with iCloud Drive in Finder
- Put the file in iCloud Drive. In Finder, open iCloud Drive from the sidebar and move or copy the PDF into the appropriate folder. Apple’s sharing workflow requires the file or folder to be in iCloud Drive. Wait until synchronization finishes before creating the link; a cloud-status icon or progress indicator can show that uploading is still in progress.
- Select the PDF. In the iCloud Drive Finder window, click the file once. You can also Control-click it to open its context menu.
- Open sharing. Click the Finder Share control, or Control-click the item and choose the sharing command. The exact appearance can vary slightly by macOS release, but the control is available from an iCloud Drive Finder window.
- Choose the audience. Select Invited people for a restricted share, or Anyone with the link for a URL that should work for anyone who receives it.
- Choose the permission. Select View only when recipients should read or download the PDF without changing the shared item. Select the change or edit permission only when collaboration is intentional.
- Copy the URL. Use the sharing-management controls to copy the link. Paste it into an email, message, issue tracker, document or other channel. Send the URL rather than assuming that attaching the original file will preserve the same access rules.
- Test as a recipient. Open a private browsing window or use a device that is not signed in to your Apple Account. For an anyone-with-the-link share, verify that the PDF opens without your account. For an invited share, confirm that the intended account receives access.
If the PDF is not in iCloud Drive
Do not share the copy in Downloads, Desktop or another local folder and expect iCloud collaboration controls to apply. Copy or move that file into iCloud Drive first, wait for synchronization, and then repeat the Finder steps. If you move the file after sending a link, manage the shared item rather than creating several confusing copies.

Share from iCloud.com instead
Safari or another browser can be useful when you are already managing files on iCloud.com or are away from your usual Mac. Open iCloud Drive on the website, select the PDF, choose its share control, and set the audience to invited people or anyone with the link. Choose whether people can view or make changes, then copy the URL. This provides the same key decisions as Finder without requiring a local Finder window.
Keep the browser tab open until the upload and sharing operation finishes. If the file is still synchronizing, a recipient may see an unavailable item or an older version.
Privacy, link scope and revocation
“Anyone with the link” is public to whoever obtains it
Apple describes files shared through a web link as accessible to anyone provided the link. The URL can be forwarded, pasted into a public page or exposed in browser history. Do not use this setting for a sensitive document merely because it is convenient. Use invited people and view-only access instead, and check the recipient list before sending.

How to stop future access
Open the PDF’s sharing controls in Finder or iCloud.com, then stop sharing or remove an individual participant. This prevents future access through that shared item according to the service’s sharing controls. It does not recall a PDF that somebody has already downloaded, printed, copied to another service or saved on another device.

- Give each audience a separate share when different people need different permissions.
- Send the access instructions and the URL through a channel appropriate to the document’s sensitivity.
- When a project ends, review active shares and remove people who no longer need access.
- If a link was posted in the wrong place, stop that share and create a new restricted share rather than continuing to distribute the old URL.
Method 2: use Google Drive
Google Drive is practical if your files and recipients already use Google’s ecosystem or you want a link managed outside Apple’s services. Upload the PDF to Drive, select it, open Share, and change general access to Anyone with the link when appropriate. Google’s computer instructions state that someone with that link can use the file without signing in to a Google Account. Set the available permission deliberately before copying the URL.
For a private document, share with specific people instead of changing general access. Confirm the link in a private browser window and tell recipients whether they should view or download the file. Google Drive and iCloud Drive can both host a PDF, but your choice should follow the audience’s existing accounts, the required access scope and where you want to manage revocation.

Verify that your URL works
- Copy the link again from the service’s sharing controls rather than copying a local Finder path.
- Paste it into a private browser window where you are not signed in to the owner account.
- Check that the recipient sees the intended permission prompt, preview or download option.
- Try the URL from a different network if the recipient will be outside your home or office.
- If the link fails, confirm that the PDF still exists in the original shared folder and that sharing was not stopped.
Troubleshooting common problems
The recipient is asked to sign in
You probably chose invited access or a service-specific permission that requires identity verification. If the document is safe to expose to anyone who obtains the URL, change the audience to Anyone with the link. Otherwise, invite the recipient’s account and keep the restriction.
The URL opens an error or missing-file page
Check that the upload and iCloud synchronization completed, that you copied the share URL rather than a local file path, and that the file was not moved, renamed or deleted. Reopen sharing controls and copy a newly generated link if necessary.

Return to the sharing settings and change the permission to View only. Send the updated link or confirmation after the permission change, and test it in a private window.

The PDF looks outdated
You may have shared an older copy or the recipient may have downloaded an earlier version. Replace or update the intended shared file, verify synchronization, and send a fresh link when the filename or location changed.
You stopped sharing but the document still exists elsewhere
Stopping an iCloud share controls future access through that shared item; it cannot delete copies already downloaded or copied to another location. Contact recipients directly if an existing copy must be deleted.

- Synchronization or upload has finished.
- You selected invited people or anyone with the link deliberately.
- View-only permission is enabled unless collaboration is required.

Can I share a PDF directly from my Mac Desktop?
