Fastest reliable method: select the table in Word, copy it, paste it as a picture through Paste Special, then use Save as Picture and choose JPEG. Word does not provide a universal “Save table as JPEG” command for live tables; the table usually must become a graphic first. If Paste Special is unavailable or the table spans pages, use a screenshot for visible content or export the document to PDF and convert the relevant page to an image.

Microsoft’s documented separate-file workflow applies to graphics and objects. A live Word table may therefore need to be pasted as a picture before it can be saved as a JPEG. Microsoft also notes that Paste Special choices differ by application and platform, with some options limited to Windows desktop versions.

Method 1: Paste the Word table as a picture and save it

1. Prepare the table

  1. Adjust column widths so words do not wrap unnecessarily.
  2. Set a readable font size and sufficient row height.
  3. Apply borders and shading that remain distinguishable against the intended background.
  4. Set page orientation, margins and paper size if the table is wide.
  5. If the table crosses pages, decide whether you need separate images, a long image, or page images from a PDF.

Do not shrink the table merely to force it onto one screen. Tiny text may be technically present but unusable after JPEG compression.

2. Select the complete table

Click inside the table, open Word’s Table Layout tab, choose Select, then Select Table. Copy it with Ctrl+C on Windows or Command+C on Mac. If you drag-select manually, verify that every row and column is included; selecting text inside one cell is not enough.

3. Open Paste Special

In the destination document or Office application, choose Home → Paste → Paste Special (or the platform’s equivalent). Select a picture format when one is offered, such as a picture or enhanced metafile option. The exact names and available formats depend on your Word version, operating system and destination application.

Microsoft describes Paste Special as a way to specify formatting when pasting “slides, text, pictures, objects, and tables from other programs or the web into your Microsoft 365 app.” That guidance does not guarantee that every edition exposes the same picture choices.

4. Save the pasted object

  1. Click the pasted picture to select it.
  2. Right-click it on Windows, or Control-click it on Mac.
  3. Choose Save as Picture (the wording can vary slightly).
  4. Choose a folder and filename.
  5. Select JPEG or JPG in the file-type list, then save.

If Save as Picture is missing, Word still sees the object as editable content rather than a graphic. Undo, paste again using a picture option, or paste into an Office application that exposes the save-graphic command.

5. Inspect the JPEG

Open the saved file independently of Word. Check the smallest text, vertical and horizontal rules, cell shading, merged cells, headers, footers and the edges of the table. Look for clipped columns, unexpected white space and missing rows. Microsoft says Office does not expose compression or other quality controls when saving a graphic as a separate file, so inspection is essential.

JPEG or PNG: which should you use?

Use JPEG when the receiving service specifically requires it or when broad photo-style compatibility matters. For tables, PNG is often the better technical choice because Microsoft describes it as preserving sharp detail such as line art and text. PNG can keep thin rules and small lettering clearer, while JPEG compression can introduce halos or blocky edges around high-contrast text.

Save both formats if you control the destination: provide PNG for documents, presentations and archival use, and JPEG for a form or upload field that rejects PNG. Do not assume a particular pixel dimension or resolution; the reviewed Microsoft guidance does not specify a universal output-resolution setting for a table saved as a graphic.

When Paste Special does not work

Use a screenshot for a visible table

A screenshot is appropriate when the complete table fits on screen at a readable zoom. In Microsoft 365 on Windows, use the system or Office screen-capture command to capture the window or selected region, then save the capture as an image. Before capturing, maximize the document, hide distracting panels, increase zoom until text is legible, and include the entire table. Crop only after confirming that no border or heading is cut off.

A screenshot cannot capture rows that are below the visible area. For a multi-page table, create separate captures or use the PDF workflow instead.

Export to PDF, then convert the required page

  1. In Word, choose File → Save As or Export, select PDF, and save the document.
  2. Open the PDF in an image-capable application or conversion service.
  3. Convert only the page or pages containing the table to JPEG.
  4. Inspect page boundaries, scaling and text size in the resulting image.

PDF export preserves the document page layout; it does not itself create a JPEG. This route is useful when the table’s page breaks, headers or surrounding content matter more than isolating the table as one object.

Try another Office destination

If your Word edition offers limited Paste Special choices, paste the table as a picture into another Office application that provides Save as Picture. Confirm that the complete table and its formatting survived the transfer before saving. A Word 2019 Microsoft Q&A report describes formatting problems in one paste-as-picture case, so do not assume that every border or alignment will survive without checking.

Common problems and fixes

  • Only one cell or a paragraph was copied: use Table Layout → Select → Select Table before copying.
  • No picture option appears: your platform or destination may not expose that Paste Special format. Try a Windows desktop edition, another Office app, or a screenshot.
  • Save as Picture is unavailable: paste again explicitly as a picture; a live table cannot use the graphic save command.
  • Text is blurry: enlarge the table before copying or capturing, reduce unnecessary wrapping, and choose PNG when the destination permits it.
  • JPEG has ugly edges: JPEG compression is affecting thin lines or text. Use PNG, or keep the JPEG at the largest practical size.
  • Columns are cut off: change page orientation or margins, widen the destination canvas, and recapture. For a complete page, export to PDF.
  • Rows are missing: the selection or screenshot covered only part of the table. Select the table object rather than visible text, or export all relevant PDF pages.
  • Formatting changed after pasting: compare merged cells, borders, shading and alignment with the original. Try a different picture format or destination application.
  • You need a transparent background: JPEG does not support transparency. Use PNG if transparency is required.

Keep the original Word file as the editable source. Treat the JPEG as a delivery copy, and inspect it at the actual display size. For small type and line-heavy tables, PNG is safer when accepted.

Privacy

A screenshot or PDF conversion performed locally keeps the document on your computer. Uploading a document or publishing it at a URL introduces a separate privacy decision; remove confidential data before using an online workflow.

Cost and repeatability

Word’s local copy-and-save methods do not require a screenshot service.
