Greenshot’s quickest screenshot workflow is simple: leave Greenshot running in the system tray, press Print (also labeled PrtSc or Print Screen), drag over the area you want, and release. Use Alt + Print for the active window, Ctrl + Print for the entire screen, and press Space during a region capture to preserve an open context menu. You can then annotate the image and send it to a file, clipboard, printer, email, Office application, or an installed plugin.
This guide covers the Windows workflow documented in the official Greenshot Help, plus the differences you should expect on Mac.
Before you capture: start Greenshot and check its hotkeys
- Install and launch Greenshot. Confirm its icon is visible in the Windows notification area (the system tray). Greenshot must be running for its keyboard shortcuts to work.
- If the icon is hidden, open the tray’s overflow area. Right-click the icon to reach capture commands, preferences, and destination settings.
- Check the configured shortcuts if a key is already assigned to Windows, another screenshot utility, or a corporate tool. Greenshot allows hotkeys to be changed, so the assignments below describe the standard configuration, not an immutable system rule.
Capture a selected part of the screen
Region capture with Print
- Press Print/PrtSc/Print Screen.
- Move the pointer to one corner of the required area. Greenshot displays a green selection rectangle.
- Hold the left mouse button and drag across the region.
- Release the button. Greenshot completes the capture and presents the destination picker or configured output.
Region mode is the best choice for a control, paragraph, dialog, or any other portion of the desktop. Include a small amount of surrounding context when the image will be used in a bug report, but avoid capturing passwords, tokens, or personal information.
Capture the last region again
When you need the same coordinates repeatedly, use Greenshot’s capture last region command from the tray menu or the shortcut you have configured. This is useful for documenting a sequence of UI states without redrawing the rectangle each time.

Capture a window or the whole screen
Active window: Alt + Print
Press Alt + Print to capture the window that is currently active. Depending on your preferences, Greenshot may enter an interactive window-selection mode. Click the target window. If the window contains selectable child elements, press PgDown to move to a child window or control before confirming the capture.
Full screen: Ctrl + Print
Press Ctrl + Print to capture the complete screen. This is appropriate for a multi-window troubleshooting snapshot or a presentation display. Review the result carefully before sharing: full-screen images can include notifications, unrelated applications, or confidential data.
Choose a window from a list
If direct targeting is difficult because windows overlap or a menu is in the way, open Greenshot’s tray menu and use its window-list command. Select the required window from the list instead of pointing at it on the desktop.

Capture a context menu before it disappears
- Press Print to begin region capture.
- Open the application’s context menu or other menu you need to document.
- Press Space. Greenshot captures the menu while it is open, rather than closing it when you click elsewhere.
- Finish the selection or accept the resulting capture, then choose an output destination.
This technique is useful for documenting right-click menus, application menus, and transient pop-ups. If the menu closes before capture, restart with Print and avoid clicking outside it; the Space command is the step that preserves it.

Use the built-in editor
Greenshot can open a capture in its image editor. Add arrows, text, highlights, and other annotations to direct attention. Use obfuscation when an image contains an email address, account number, or other information that should not be disclosed. Check the image at 100% before exporting so that labels and redactions are legible.
Pick the destination that matches the job

Use the editor’s File menu, toolbar, or configured shortcut to export. The project README also lists saving to a file, printing, copying to the clipboard, attaching to email, sending to Office programs, and uploading through supported plugins (Greenshot project README).

Where Greenshot saves screenshots
There is no single destination that applies to every installation. After a capture, Greenshot can show a destination picker, open the editor, copy to the clipboard, or route the image to a configured file, printer, email, Office, or plugin destination. Use the tray icon and Greenshot preferences to inspect or change the configured output. If you cannot find an image, first check whether the last capture went to the clipboard or editor instead of a file, then repeat the capture and choose File explicitly.

Troubleshooting Greenshot captures
Print does nothing
- Confirm Greenshot is running and its tray icon is present.
- Check Greenshot preferences for a changed or conflicting hotkey.
- Close or reconfigure another screenshot utility that has claimed Print Screen.
- On keyboards without a dedicated key, use the key combination printed by the manufacturer (often involving Fn) or invoke the capture command from the tray menu.
The wrong window is captured
Activate the target first, then use Alt + Print. If interactive selection is enabled, click the desired window and use PgDown for a child element. For overlapping windows, select the target from the tray menu’s window list.

Start with Print, open the menu, and press Space. Clicking outside the menu can dismiss it before Greenshot captures it, so use the keyboard step instead.

The capture is blank, incomplete, or missing lazy content
Greenshot captures what is rendered on the desktop at the moment of capture. Wait for the application or page to finish rendering, scroll to the required area, and capture again. For a long web page, take multiple deliberate regions or use a browser/page-capture tool rather than assuming a desktop screenshot will include content outside the visible viewport.
I cannot find the saved image
Determine whether the destination was clipboard, editor, or file. Reopen the tray settings, select a file destination, and export again. Also check that the selected folder is writable and that a file dialog was not left behind another window.
Shortcuts differ on Mac
The project publishes a Windows application and a separate Mac App Store version. The website states that the Windows version is free and open source under the GNU General Public License, while the Mac version uses a proprietary license. Feature and shortcut parity should therefore be checked for the platform and version you are using; Windows instructions above should not be assumed to apply unchanged to Mac (Greenshot website and licensing overview).

- You know whether you need a region, active window, full screen, or menu capture.
- You have removed sensitive data or plan to obfuscate it in the editor.
