Before sharing the image, check that it includes enough context to understand the message without revealing unrelated or private information.
Choose what to capture before you take the screenshot
Open the email and arrange it so the information you need is readable. A useful capture often includes the subject, sender, date, and relevant message text. Include only the details the recipient needs: capturing the whole desktop can expose other tabs, notifications, open messages, or personal information.
If the email is longer than the visible message pane, capture the part that supports your point. You can take more than one screenshot rather than shrinking the page until the text is difficult to read. A screenshot records what is visible on screen; it does not automatically include content farther down the message.
Take an email screenshot in Windows
- Open the email and position the message so the sender, subject, date, and relevant text are visible.
- Press Windows logo key + Shift + S. This opens the Snipping Tool overlay.
- Choose the capture mode that fits what you need:
- Rectangle selects a section of the message.
- Window captures an application window, helping avoid unrelated desktop content.
- Full screen captures the entire display.
- Freeform lets you draw an irregular selection.
- Drag to select the message area, or select the email window when using Window mode. The capture is copied to the clipboard and opens in the Snipping Tool editor.
- Review the image. Use the editor to crop or annotate if needed, then choose Copy, Save, or Share. You can also use Ctrl+C to copy and Ctrl+S to save.
For a quick capture without choosing a mode, click the email window and press Alt + Print Screen to copy the active window. Press Print Screen for a full-screen capture. Paste a copied image with Ctrl+V into an email, document, or image editor. Depending on the Snipping Tool settings and Windows version, captures can be saved in the Screenshots folder; use Save as in the editor to choose a specific location.

If you need time to open a menu or arrange a transient screen state, Snipping Tool offers a delay of 1–5 seconds. Set the delay before starting the snip.
Take an email screenshot on a Mac
- Open the email and make the subject, sender, date, and needed message text visible.
- To select part of the screen, press Shift-Command-4, then drag over the message area.
- To capture the email window, press Shift-Command-4, then press Space. Click the email window.
- Alternatively, press Shift-Command-5 to open Screenshot. Choose to capture the entire screen, a window, or a selected portion. The panel also provides timer and save-location controls.
- Review the screenshot thumbnail that appears. Click it to open the markup and editing flow, or drag the thumbnail into an email or document.
Mac screenshots normally save as PNG files on the desktop. In the Screenshot panel, choose a different destination if you want to keep the file elsewhere. To copy a screenshot to the clipboard instead of saving it as a file, hold Control while using a screenshot shortcut. You can then paste it with Command-V. Another option is to Control-click the thumbnail and choose Save to Clipboard.

Windows Snipping Tool includes Text actions that can extract text or quickly redact recognized email addresses and phone numbers. Microsoft says this recognition and redaction processing happens locally on the device. On a Mac, use the screenshot thumbnail’s markup tools or an image editor to cover private details. These controls help with review, but inspect the final image yourself before sending it.

Check privacy and readability before sharing
- Limit the frame. Capture the message pane or only the text needed. Keep unrelated tabs, desktop content, notifications, and other messages out of view.
- Inspect identifying details. Check sender and recipient addresses, phone numbers, signatures, attachments, order numbers, account identifiers, and links. Crop or redact information that the recipient does not need.
- Leave useful context. Include the subject, sender, or date when those details help explain the message. If any of them are confidential, remove or obscure them instead.
- Check legibility. Open the saved image or pasted capture at normal size. Confirm the text is sharp enough to read and that the crop has not cut off a key sentence.
- Review annotations. Make sure a mark or highlight does not obscure important text, and that redaction covers the entire sensitive detail rather than only part of it.
Attach or paste the screenshot
For a quick inline image, copy the capture and paste it into the message or document you are composing: use Ctrl+V on Windows or Command-V on a Mac. To attach a file instead, save the capture first, then use the email app’s attachment control and select the saved image. On a Mac, you can also drag the screenshot thumbnail into the message. Confirm that the image appears in the draft before sending.

PNG is the normal Mac screenshot format. If your email service or recipient requires another format, open the saved image in an image editor and export or save a copy in the required format; retain the original if you may need it later. Avoid compressing or resizing the image so much that the email text becomes unreadable.
Troubleshooting common screenshot problems
The shortcut does not capture anything
On Windows, press Windows key + Shift + S and wait for the Snipping Tool overlay, then choose a mode and make a selection. For a window capture with Alt + Print Screen, click the email window first so it is active. On a Mac, use the exact sequence: for a window, press Shift-Command-4, then Space, then click the window. If you are using a keyboard with different key labels or a compact layout, make sure you are pressing the system’s Command or Windows key as appropriate.

The image is on the clipboard, but no file is visible
A clipboard capture has not necessarily been saved as a file. Paste it into the destination with Ctrl+V or Command-V, or open the capture in the screenshot editor and save it. On Windows, use Snipping Tool’s Save or Save as. On a Mac, check the desktop or choose a destination in the Screenshot panel.
The screenshot shows the wrong area or too much of the screen
Repeat the capture using a selected region or window mode rather than full screen. Windows provides Rectangle and Window snips; macOS provides area selection and window capture. Reframe the email before capturing so the relevant text fits without unnecessarily including the desktop.
The text is too small or clipped
Enlarge the email window or adjust the message view, then recapture a smaller portion at a readable size. If the message is long, capture separate sections with enough overlap or context to make their order clear. Do not rely on a tiny full-page image when a few readable captures will do.

A private address or phone number is visible
Do not send the image until you have cropped or redacted the detail and checked the exported result. Windows Snipping Tool’s Text actions can quickly redact recognized email addresses and phone numbers; on a Mac, use markup or an image editor. OCR-based recognition may not catch every instance, so inspect the full image manually.
The screenshot does not include the entire email
Built-in screenshot shortcuts capture the visible display area, not an entire long message that extends below the screen. Scroll and capture additional sections, or use a different method only if you specifically need a complete record. Keep the separate captures in order and include enough context to relate them to the same message.

FAQ
Does a screenshot prove that an email is authentic?
No. A screenshot is an image of what appeared on screen, not a verifiable copy of the original email or its delivery details. If authenticity or a formal record matters, keep the original email and use the mail system’s appropriate export or message-saving option.
Will the screenshot show images that have not loaded yet?
It can only show what is visible when you capture it. If images are still loading or blocked by the email app, wait or use the app’s image-loading controls before taking the screenshot, then inspect the result.
