To capture a Google Sheet as an image, arrange the cells you want on screen and use your computer’s screenshot tool to select the screen, window, or region. To make a cleaner printable or PDF output of selected data, select the cells in Sheets and choose File > Print > Selected cells. The first method records what you see; the second lays out spreadsheet content for printing or PDF.

Choose between a screen screenshot and a Sheets printout

What you need Use What to expect
An image of the visible sheet, possibly including the browser or Sheets interface Your computer’s screenshot tool It captures the displayed screen area. Cells outside the captured area are not included.
A selected range, sheet, or workbook formatted for a document File > Print in Google Sheets You can set a print layout and print or save as PDF; this is not necessarily a literal image of the screen.
Repeatedly copying exact spreadsheet ranges directly as PNG images An optional third-party browser extension It may offer a range-focused workflow, but check its current availability, permissions, and privacy details before use.

A screen capture is usually the quickest way to show how a sheet looked at a particular moment. It can also include surrounding interface elements, so adjust the window and selection before capturing if you want a tidy result. For a long sheet, one screen capture will not automatically include off-screen rows. Use multiple captures or create a print/PDF output instead.

Prepare the sheet before capturing

  1. Open the correct spreadsheet and view. Confirm you are on the intended tab and that the relevant values have finished loading.
  2. Make the useful area visible. Resize the browser or adjust zoom and column widths so the relevant labels and values fit. If you want a screenshot without browser controls, maximize the Sheets window and capture only its window or a selected region.
  3. Check what the image will reveal. A screenshot can expose names, account details, or other information visible in cells and on screen. Remove or obscure information you should not share before taking the capture.
  4. Choose the capture scope. Use a region for a specific block of cells, a window for the Sheets app or browser, or a full-screen capture if you intentionally want the whole display.

These steps capture the displayed view, not a hidden or complete copy of a large spreadsheet. If you need more rows than fit in the visible area, scrolling and taking additional captures is one option; a print/PDF workflow is usually easier to read as a continuous document.

Take a screenshot on Chromebook

Google documents three capture choices on Chromebook: full screen, partial screen, and window. Press the Screenshot key if your keyboard has one, or open the screen-capture menu with Shift + Ctrl + Show windows. Choose the mode that matches the area you prepared, then follow the on-screen selection controls. Google says screenshots are copied to the clipboard and saved in Downloads by default; you can configure the save location. See Google Chromebook Help: Take a screenshot or record your screen.

Take a screenshot on Windows

Microsoft documents both Snipping Tool and the Print Screen key as screenshot routes. In Snipping Tool, start a new capture and choose the screen region or window containing the sheet. Use the Print Screen route if that better suits your Windows setup, then select or paste the capture into the destination you need. Exact behavior can differ by keyboard and configuration; Microsoft’s current instructions are at Use Snipping Tool to capture screenshots.

Take a screenshot on Mac

Use macOS’s built-in screenshot controls to capture the whole display, a window, or a selected portion, and choose the area that contains the sheet. The precise controls and available options can depend on the Mac and macOS version, so consult the screenshot controls shown on your device if you need a particular shortcut. For a screenshot limited to spreadsheet cells, a selected screen region avoids capturing unrelated desktop or browser content.

Save selected cells as a printout or PDF

Google Sheets’ print workflow is the better choice when the goal is a readable document rather than an exact copy of the screen. Google’s instructions say to select the cells or sheet when you want to print only part of a spreadsheet. For a range, select the cells first, then choose File > Print and set the print scope to Selected cells. The print panel also offers Current sheet and Workbook.

  1. Select the cell range you need. If you want a whole tab or the workbook instead, choose that scope in the print settings.
  2. Open File > Print. Google lists Ctrl + P for PC and ChromeOS and Command + P for Mac as print shortcuts; shortcuts may vary with language and keyboard. The Google Sheets printing instructions describe the workflow.
  3. Choose Selected cells if you selected a range and want only that range included. Review the preview to catch clipped columns or awkward page breaks.
  4. Adjust the layout settings that matter for the document, such as orientation, paper size, margins, page breaks, and headers or footers.
  5. Continue to the print destination or save as PDF. Google notes that Chrome proceeds to its print dialog, while Firefox and Safari automatically download a PDF.

For multi-page printouts, Google Sheets also supports repeating frozen rows or columns through the headers and footers controls. That can help preserve column labels across pages. If you only need an image, use a screenshot instead; a print preview may scale or paginate the sheet differently from its on-screen appearance.

Use an extension only for a repeated range-to-image task

If you often need to copy chosen spreadsheet ranges as images, a dedicated extension may be more convenient than repeatedly selecting a screen region. The Chrome Web Store listing for SnapSheet – Spreadsheet Screenshot Tool describes copying Google Sheets ranges as PNG images, entering ranges manually, and processing files locally in the browser. These are claims on the extension’s listing, not independently verified behavior. The listing displayed version 1.0.3 and an update date of July 2, 2026; availability and listing details can change. Before installing, review the current permissions and privacy information and decide whether a third-party extension is appropriate for the data in your sheet.

Or skip the browser setup

If you need an automated capture of a publicly reachable webpage rather than a manual desktop screenshot, ScreenshotNeo offers a website screenshot API and MCP server. It is not a replacement for selecting cells and capturing a private Sheets tab through the desktop interface: a private sheet needs access that the capture request can actually use, and a successful capture of your intended Google Sheet is not guaranteed. The API accepts a URL and can return PNG, JPEG, WebP, or PDF; its documentation lists custom headers, cookies, and Authorization among its options. See the ScreenshotNeo API documentation for authentication and request parameters.

Troubleshooting common capture problems

The screenshot is missing rows or columns

A screen capture includes only what is within the selected display area. Zoom out, resize the window, or take separate captures for separate portions. If you need an entire range in a document, select it and use File > Print > Selected cells, then inspect the preview for pagination and clipping.

The image includes too much browser or desktop

Choose a window or partial-region capture rather than full screen. Before capturing, close unrelated windows and move the sheet so the desired range occupies the selected area.

The printout includes the wrong part of the sheet

Before printing, check that the intended cells were selected and that print scope is Selected cells, not Current sheet or Workbook. Review the print preview before sending it to a printer or saving the PDF.

The PDF or page layout is hard to read

Check orientation, paper size, margins, scaling, and page breaks in the print settings. A wide range may need landscape orientation or a different paper size. Consider repeating frozen header rows or columns across pages using the headers and footers controls.

A webpage capture shows a challenge, blank page, or failed load

A service-side webpage capture depends on the page being accessible to the capture request. Sign-in requirements, access controls, bot checks, and page-load failures can prevent the intended content from appearing. For a Google Sheet that you can already view in a browser, the local screenshot or Sheets print workflow is the dependable starting point; do not assume an API can access your signed-in browser session.

Useful Sheets print shortcuts

Google’s Workspace shortcut reference lists Ctrl + P for PC and ChromeOS and Command + P for Mac to print from Sheets. To open the Sheets shortcut reference, use Ctrl + / on Windows or ChromeOS, or Command + / on Mac. Shortcuts may vary with keyboard and language. See Google Workspace keyboard shortcuts and Keyboard shortcuts for Google Sheets – Computer.
