In the desktop version of Microsoft Word, click where the image belongs, select Insert > Screenshot, and choose an open window or Screen Clipping. If you already captured an image, use Insert > Pictures. On Windows and Mac, you can capture with the operating system first and then insert the saved file. Word for the web inserts a picture saved on your computer; saving the image is the dependable fallback when copy and paste fails.

The exact labels differ slightly by Word edition and platform. The steps below cover Word desktop for Windows and Mac, Windows 10 or 11 capture tools, and Word for the web.

Insert a screenshot directly in Word desktop

This is the shortest route in supported desktop editions of Word for Windows and Mac when the window you need is already open.

  1. Open the window, application, or web page you want to capture. If several windows are open, bring the intended one to the front.
  2. In Word, click at the exact insertion point in the document.
  3. Open the Insert tab and choose Screenshot.
  4. Choose a window thumbnail to insert that entire window, or choose Screen Clipping to draw a rectangle around part of the first window shown in the gallery.
  5. For a clipping, drag across the area to capture. Word places the result at your cursor position.

Repeat the same commands for each additional screenshot. A minimized window is not available to Word’s Screenshot gallery, so restore it before opening the gallery. With multiple windows, selecting the correct one first also prevents capturing the wrong application.

When the Screenshot command is missing

The command is a feature of supported desktop editions, not every Word interface. Confirm that you are using the installed desktop application rather than Word for the web, then check the Insert tab. If your edition still does not show it, capture the image with the operating system and insert the saved file as described below.

Windows 10 or 11: capture with Snipping Tool, then insert

Windows Snipping Tool can capture a freeform shape, rectangle, window, or the full screen. This two-stage workflow lets you inspect the image, annotate it, and keep a reusable file before placing it in Word.

  1. Open Snipping Tool from the Windows Start menu.
  2. Choose the capture mode you need: freeform, rectangular, window, or full screen.
  3. Make the selection. The result opens in Snipping Tool for review and editing.
  4. Save the capture to a known folder.
  5. In Word, click where the image should appear.
  6. Choose Insert > Pictures, select the saved screenshot, and confirm the insertion.

Use this route when the screenshot must be cropped or marked up before it enters the document, when you need the same image in several documents, or when Word’s direct capture does not list the window you want.

Mac: capture the screen and insert the saved image

macOS provides keyboard shortcuts for the common capture types. Microsoft states that the capture appears as a thumbnail for editing and is saved by default on the Desktop.

  • Shift+Command+3: capture the entire screen.
  • Shift+Command+4: drag to capture a selected region.
  • Shift+Command+4, then Space: capture a window or menu.

After the image is saved, open Word and follow Insert > Pictures > Picture from File. Select the capture on the Desktop (or the folder you chose) and insert it at the cursor.

Capturing one application window cleanly

For a window-only image, use Shift+Command+4, press Space, and then select the window. This avoids including unrelated applications or the desktop around the window. If the thumbnail opens an editing view, finish any markup before inserting the saved file.

Word for the web: insert a picture from your computer

Word for the web can paste pictures copied from the web, but pictures copied from some other documents or programs may not paste successfully. When paste does nothing or inserts an empty result, save the screenshot locally and use the file-insertion route.

  1. Capture the screen with Snipping Tool, a macOS shortcut, or another capture method.
  2. Save the image on your computer.
  3. In Word for the web, place the cursor where the screenshot belongs.
  4. Choose Insert > Picture and select the local image file.

Size, position, and readability after insertion

Once the screenshot is in the document, click it to reveal the picture controls. Drag a corner handle to resize while keeping the image’s proportions. If text should flow beside it, use the picture’s layout or text-wrapping control and choose the arrangement that matches your page design. For a technical procedure, keeping the screenshot large enough for labels and controls is usually more useful than filling the page with several tiny images.

Keep important details visible

  • Capture only the relevant window or region instead of a whole desktop full of unrelated material.
  • Leave enough resolution for menus, error messages, and button labels to remain legible after Word scales the image.
  • Crop empty margins before inserting when they consume page space.
  • Add descriptive alternative text through Word’s picture options when the image conveys information that a screen-reader user also needs.

Insert more than one screenshot

For direct desktop capture, repeat Insert > Screenshot for each image. For saved captures, insert each file at its own insertion point. Numbering figures and adding a short caption helps readers follow a multi-step procedure, especially when the screenshots show successive states of the same application.

Troubleshooting common insertion problems

The wrong window appears in Screen Clipping

Word’s clipping command uses the first window in its gallery. Bring the desired source window to the front, return to Word, and open Insert > Screenshot again. If the source is minimized, restore it first because minimized windows are not available to capture.

Screenshot is unavailable or disabled

You may be in Word for the web or in an edition that does not expose the desktop Screenshot command. Use Snipping Tool or a macOS shortcut, save the image, and insert it with Insert > Pictures.

Paste does not work in Word for the web

Word for the web may not paste images copied from some documents or programs. Save the screenshot to your computer and use Insert > Picture instead. This avoids relying on the source application’s clipboard format.

The inserted image is too small to read

Capture a tighter region at the original display resolution, then resize from a corner rather than stretching one edge. If the page still cannot hold readable text, split a long capture into several focused screenshots or use a PDF when a paginated output is more appropriate.

The screenshot includes private or irrelevant information

Before capturing, close or hide unrelated windows, notifications, account details, and browser tabs. For a saved image, review it in Snipping Tool or the macOS thumbnail editor and crop or mark out sensitive content before inserting it.

The file inserts but the page layout changes

Large images can push paragraphs to a new page. Resize from a corner, move the image to its own paragraph, or change its text-wrapping arrangement so surrounding text flows as intended. Check the result in Print Layout before distributing the document.
