To screenshot a computer and email it: capture the needed area or window, save the image (or leave it on the clipboard), open a new message, add the image inline or as an attachment, verify the draft, and send. The exact shortcut depends on whether you use Windows, macOS, or ChromeOS. The steps below cover each platform and Gmail, with notes for other mail services.
How to Screenshot on a Computer and Send It by Email
First decide what the recipient needs to see. A selected region or single window usually avoids exposing unrelated tabs, notifications, account details, or your entire desktop. Use a full-screen capture only when the surrounding context matters.
Before you capture: clipboard or file?
A screenshot can exist in two places:
- Clipboard: the image is temporarily copied and can be pasted into an email or image editor. It may disappear when you copy something else.
- Saved file: the image is stored as a PNG, JPEG, or another image file and can be attached later. Note the folder and filename.
For a support request or record, a saved PNG is usually easiest to find and resend. Before capturing, close or hide confidential information and check that the relevant application is showing the correct state.
Windows 10 and Windows 11
Use Snipping Tool for an area, window, or full screen
- Press Windows logo key + Shift + S. A screen-capture overlay appears.
- Choose a mode: rectangular snip, freeform snip, window snip, or full-screen snip.
- Drag over the area, select a window, or allow the full-screen capture to complete.
- Click the notification or open Snipping Tool from Start. Microsoft Support notes that “When you capture a snip, it’s automatically copied to the Snipping Tool window where you make changes, save, and share.”
- Use the editor to crop or annotate if needed, then select Save. Record the folder and filename.
If the shortcut does not open the overlay, open Start → Snipping Tool → New and choose the capture mode there. Windows settings and shortcut behavior can vary by version.

Use Print Screen as a fallback
Press Print Screen to copy the full display to the clipboard. Open the email and press Ctrl + V, or paste into Paint and save an image file first. This method does not give you a region selection by itself, so crop or redact the image before sending if the desktop contains unrelated information.
macOS
Capture the whole display
Press Shift + Command + 3. macOS normally saves the screenshot to the Desktop. Open the saved file to rename, crop, or annotate it before attaching.
Capture a selected area
Press Shift + Command + 4, drag across the required area, and release. The selection is saved as an image on the Desktop by default.
Capture one window or menu
Press Shift + Command + 4, press Space, then click the window or menu. This avoids including other applications behind it. The macOS shortcuts and Desktop save behavior are also documented in Microsoft Office support instructions for inserting screenshots into documents and Outlook.

Chromebook
Capture the entire screen
Press Ctrl + Show windows. The Show windows key looks like a rectangle with two vertical lines and is on the top row of most Chromebook keyboards. ChromeOS saves the image so it can be opened from the notification or the Files app.
Capture part of the screen
Press Shift + Ctrl + Show windows, then drag over the area to capture. For additional screen-capture controls, press Ctrl + Shift + Show windows.
On an external Windows keyboard, Google says to use the Windows key where the Search or Launcher key is expected; on an external Mac keyboard, use the Command key where applicable. If a shortcut does nothing, open the Chromebook’s screen-capture control from the status area and choose the same mode with the pointer.
Put the screenshot in an email
Gmail on a computer: attach the saved image
- Open Gmail and click Compose.
- Enter the recipient and a descriptive subject, such as “Checkout error after clicking Pay.”
- Write one or two sentences explaining what the image shows and what action you want.
- Click the paperclip Attach files button.
- Select the screenshot file and click Open. Wait for the attachment chip or thumbnail to finish uploading.
- Review the recipient, subject, message, and image, then click Send.
You can also drag an image file directly into the Gmail compose window. If you used Print Screen or another clipboard-only method, click in the message body and press Ctrl + V on Windows or Command + V on Mac. Confirm that the image actually appears before sending.

Inline image or attachment?
- Inline: paste or drag the image into the message when the reader should see it while reading your explanation.
- Attachment: use the paperclip when the recipient needs to download, archive, or forward the original image.
You can do both, but explain which copy is the reference version so the recipient does not edit or overlook the wrong one.
When the image is too large
For personal Gmail accounts, the documented total attachment limit is 25 MB. Work and school Gmail accounts use limits set by the Google Workspace administrator. Gmail may replace an oversized attachment with a Google Drive link.

To use Drive, upload the screenshot, choose Compose → Drive, select the file, and decide whether Gmail should insert a Drive link or an attachment when that file type supports attachment. Gmail checks recipient access and can prompt you to change sharing. For a sensitive screenshot, grant access only to the intended people rather than choosing a broad link setting.
Other email services
Mail providers use different labels, but the sequence is the same: create a message, enter the recipient and subject, choose Attach or its paperclip icon, select the saved image, wait for the upload to finish, and inspect the draft. If the service offers an inline-image button, use it when the screenshot should appear in the message body. Check that provider’s current attachment limit instead of assuming Gmail’s 25 MB applies.

Check the message before sending
- Make sure the screenshot shows the intended page, window, or selection at readable scale.
- Look for passwords, access tokens, private messages, customer data, or unrelated browser tabs.
- Confirm the image is present as an inline preview or completed attachment, not merely named in the text.
- Verify the recipient address, subject, and any Drive permissions.
- If the recipient needs to reproduce the issue, include the page URL, steps taken, and approximate time in the message.
Troubleshooting
The keyboard shortcut does nothing
Check that you are using the correct platform combination and that a function-key layer is not changing the key. On Windows, open Start → Snipping Tool → New; on Chromebook, open the screen-capture control from the status area. On Mac, use the screenshot shortcuts with the Command key, not Control.
The capture contains the wrong window or area
Cancel and recapture after bringing the target window to the front. Prefer a window or rectangular selection instead of full screen. If a notification appears during capture, dismiss it and try again.
You cannot find the image
Check the Desktop on macOS, the Downloads or Pictures locations and Snipping Tool’s chosen save folder on Windows, and the Files app on Chromebook. If you used Print Screen or copied a capture, it may exist only on the clipboard; paste it into Paint, Preview, or another editor and save it.
The pasted image is missing
Click inside the message body before pasting and wait briefly for the compose editor to load. If paste still fails, save the screenshot as a file and attach it with the paperclip control.

The attachment will not send
Check the provider’s size limit, wait for the upload indicator to complete, and remove duplicate inline copies. For Gmail, switch to a Drive link when the total exceeds the applicable limit and verify that the recipient has access.
The recipient cannot open the file
Send a common image format such as PNG or JPEG, avoid renaming a file without its extension, and resend it as an attachment rather than a restricted Drive link. If the image is confidential, use a private link and add the recipient explicitly.

Frequently Asked Questions
Are screenshots clickable after I email them?
No. PNG, JPEG, and WebP screenshots are static images. Include the original webpage address separately if the recipient needs a clickable link.
Which image format is best for text-heavy screenshots?
PNG generally keeps interface text and sharp lines crisp. JPEG can produce a smaller file, but compression artifacts may make small text harder to read.
Can I annotate a screenshot before sending it?
Yes. Windows Snipping Tool provides editing and annotation after capture; on other platforms, open the saved image in the built-in image editor or another editor before attaching it.
