Choose the right overlay: text box or WordArt
Microsoft supports both text boxes and WordArt for placing editable text on top of an image. The practical choice depends on how much text you need and how strongly you want it styled.

Both objects remain editable Word elements while the document stays in its editable form.
Insert the screenshot into Word
Capture an open window or region
- Click in the document where the image should appear.
- Open Insert > Screenshot in the Illustrations group.
- Choose an open window, or choose Screen Clipping and drag across the region you need.
- Word places the selected window or region directly in the document.
Screen Clipping is useful when you need only a precise portion of an application rather than the entire window.

Insert an existing image file
- Place the cursor where the screenshot belongs.
- Choose Insert > Pictures.
- Select the PNG, JPEG, or other image file and insert it.
A screenshot pasted from another application can also be treated as a picture object; the same overlay steps apply.
Use a drawing canvas for a contained annotation
For a layout in which the picture and annotations should behave as one drawing area, insert the picture into a New Drawing Canvas before creating the text box. This gives you a contained space for arranging several overlays.
Add editable text over the screenshot
Use a transparent text box
- Choose Insert > Text Box > Draw Text Box.
- Drag across the area of the screenshot that you want to label.
- Type your annotation.
- Select the text and set its font, size, color, alignment, and emphasis.
- Click the edge of the box (not inside the text), open Shape Format, and choose Shape Fill > No Fill.
- Choose Shape Outline > No Outline.
The box remains selectable and editable, but its fill and border no longer obscure the screenshot. Leave a fill or outline in place when a colored callout is more readable than text directly on the image.
Use WordArt for a short callout
- Choose Insert > WordArt and select a style.
- Replace the sample text with your label.
- Drag the WordArt object over the screenshot.
- Use the rotation handle if the label needs to be angled.
WordArt is most effective for brief titles, badges, or emphasis. For paragraphs or several sentences, a text box is easier to read and edit.

Position text accurately
Move the overlay without moving the picture
Click the text-box border until the four-headed-arrow pointer appears, then drag the box. If Word keeps treating the picture as part of the text line, select the picture and choose a wrapping option other than In Line with Text. A floating wrapping choice lets you position the picture independently from the paragraph and place the overlay precisely.
Align a label with a screen control
Zoom in with Word’s document zoom, select the box border, and nudge the object until its baseline or edge lines up with the control being described. Keep the box just large enough for its text; excess width makes later alignment harder.
Resize while preserving proportions
Drag a picture’s sizing handles for a quick resize. For exact dimensions, select the object and enter Height and Width on the relevant Format tab. Keep Lock aspect ratio enabled when the screenshot must not look stretched. Resizing a WordArt container changes the container; select the letters and change their font size when the text itself is too large or too small.
Keep the image and annotation together
- Hold Ctrl on Windows while selecting the picture and the text-box or WordArt border.
- Open Shape Format > Group Objects > Group.
- Move or resize the grouped object.
Grouping prevents the label from being left behind when you reposition the screenshot. You can later select the group and use the same menu to ungroup it for independent edits.

Platform and version notes
The commands described here apply to Word for Microsoft 365, Word 2024, Word 2021, Word 2019, and Word 2016. Microsoft documents Windows, Mac, and web editions, but ribbon placement and available wrapping controls can differ by platform. If a command is not in the expected ribbon, use Word’s command search and look for “Text Box,” “Screenshot,” or “WordArt.”
Common problems and fixes
The text box is a white rectangle
Select the box border and set Shape Fill > No Fill. The text remains while the rectangle disappears.
A border still surrounds the words
With the border selected, choose Shape Outline > No Outline.
The text will not sit on top of the picture
Change the picture’s wrapping from In Line with Text to a floating option, then move the text box by its border.

The image and label separate when moved
Select both objects and apply Shape Format > Group Objects > Group. If selection is difficult, select the picture first, then Ctrl-select the overlay’s border.
WordArt is the wrong size
Select the text inside the WordArt and change its font size. Changing only the object’s container does not necessarily change the letters.
The screenshot includes too much of the screen
Capture only the needed area with Screen Clipping, or insert the image and crop it with Picture Tools.
A repeatable workflow for annotated documentation
- Capture consistently. Use the same window size or clipping boundary for screenshots in one guide.
- Insert before annotating. Finish cropping and sizing the picture first so later overlays do not shift unexpectedly.
- Use one visual convention. Keep annotation color, font, and placement consistent across pages.
- Keep text concise. Put a short action in the image and reserve longer explanations for the surrounding paragraph.
- Group finished callouts. Group each screenshot with its labels before moving to the next section.
- Save an editable copy. Keep the Word document with separate picture and text objects until review is complete.

Frequently Asked Questions
Can I copy an annotated screenshot to another Word document?
Yes. Select the grouped picture and overlay, copy it, and paste it into the other document. Ungroup the pasted object only if you need to edit the image and label separately.
What happens to the text when the document is exported or flattened?
The annotation is editable while the picture and overlay remain separate Word objects in the document. After an export or other flattening step, editability depends on the resulting file format.
