Choose NotebookLM if you already have the source material and want controlled, source-centered research. Choose Perplexity when the main task is discovering and summarizing current information across the open web.

Gemini is the most practical choice for people who already work extensively in Gmail, Google Docs, Drive, and related Google services. The main advantage is ecosystem integration: summarizing an existing Google document can be more convenient than moving the document into a separate service.

Fathom is the best free-first meeting option when its capture method fits your meetings. All meeting summarizers transcribe audio before producing notes. Speaker identification, names, decisions, owners, deadlines, sarcasm, and tentative language can be wrong. Recording also creates consent, privacy, employment, and regulatory obligations. - Define the output. Decide whether you need a paragraph, bullets, executive brief, key findings, action items, flashcards, a table, an audio overview, or source-linked answers.
- Check traceability. A polished summary, a summary linked to source passages, a web answer with citations, and a timestamped meeting recap are different levels of verifiability.
- Check limits before uploading. Confirm file size, file count, pages or words, meeting length, monthly minutes, daily summaries, supported formats, OCR, and treatment of tables, charts, footnotes, and images.
- Check privacy for the exact plan. Review training use, retention, deletion, workspace isolation, encryption, administration, SSO, audit logs, and applicable commitments such as HIPAA, GDPR, or FERPA. A paid plan is not automatically private or compliant.
- Check integrations. Drive, Microsoft 365, Slack, Notion, Salesforce, HubSpot, Zoom, Google Meet, Teams, Word, and browser extensions can matter more than a small difference in prose quality.
- Calculate total cost. Include free-plan ceilings, annual versus monthly billing, per-user charges, host subscriptions, AI credits, overages, taxes, regional pricing, and cancellation conditions.

How can you get more accurate AI summaries?
Use a prompt that tells the tool what to preserve and what not to invent:
Summarize this source for [audience].
Requirements:
- Separate the main claims from supporting evidence.
- Preserve all numbers, dates, names, quotations, and qualifications.
- Identify disagreements, uncertainty, and missing information.
- Do not add information not present in the source.
- Link each important claim to the relevant section, page, timestamp, or citation when available.
- End with “What this summary may have missed.”
For a long or important document, use a staged process rather than requesting an extremely short summary immediately:
- Request a section-by-section summary.
- Request a consolidated summary based on those sections.
- Ask for unresolved questions, omissions, contradictions, and unsupported inferences.
- Check every important number, name, quotation, deadline, and conclusion against the original.
What can AI summarizers get wrong?
Hallucinated details
An AI summarizer can invent a conclusion, date, name, statistic, citation, action item, or meeting decision. Ask the tool to separate direct source statements, reasonable inferences, and missing information. Verify important claims against the source rather than trusting confidence or fluent wording.

Summaries often compress away words such as “may,” conditions, sample-size limitations, exceptions, conflicts of interest, legal disclaimers, confidence intervals, and contradictory findings. Omission is particularly dangerous in legal, medical, financial, scientific, and policy documents.
Scanned PDFs and OCR errors
Optical character recognition can misread names, numbers, columns, footnotes, and tables. Acrobat supports making scanned documents editable and searchable, but searchable extraction is not proof of perfect recognition. Inspect the scanned page whenever a summary relies on a precise figure or clause.
Tables, charts, and visual context
A tool may read surrounding prose while missing a chart legend, negative value, column heading, unit conversion, footnote, or time scale. Require manual inspection for data-heavy reports and documents in which the visual layout changes the meaning.
Multiple-document confusion
Cross-document summaries can blur which source made a claim, whether two sources disagree, which version is authoritative, and whether a conclusion applies to every document. Ask for source attribution and a contradictions list. NotebookLM’s source-centered design is useful for this workflow, but the original sources remain authoritative.

Long-document dilution
A large context window does not guarantee a strong summary when a document is repetitive, buries key facts in appendices, mixes topics, is poorly formatted, or is compressed too aggressively. Section summaries followed by a consolidated summary are safer than one ultra-short request.
