Best overall depends on the school: PowerSchool and Infinite Campus are the strongest broad district-scale SIS candidates, Skyward is the leading combined student-and-business-suite candidate, FACTS fits private and faith-based schools, Gradelink suits smaller schools seeking simplicity, and openSIS is a configurable multilingual alternative. This 2026 shortlist is a fit guide—not an objective universal ranking.

There is no single best school ERP for every school. The right choice depends on whether you need a district-scale student information system (SIS), a combined student-and-business platform, or a simpler private-school system connected to admissions and tuition.

For a 2026 shortlist, start with PowerSchool SIS or Infinite Campus for broad K–12 district modernization, Skyward when finance, HR, payroll, and asset management are central, FACTS SIS/FACTS IQ for private and faith-based schools, Gradelink for smaller schools seeking simpler administration, and openSIS for configurable, multilingual, or internationally oriented environments.

That is a fit-based shortlist, not an independent ranking. Product names, included modules, reporting support, pricing, and regional availability must be confirmed in a demonstration, proposal, contract exhibit, security review, and scripted proof of concept.

School ERP vs. SIS: what are you actually buying?

“School ERP” is often used as a broad label for software that manages school operations. Many products in this category are primarily student information systems. A modern SIS generally manages:

  • Student records and enrollment
  • Attendance and schedules
  • Grades, transcripts, and report cards
  • State, provincial, or national reporting
  • Teacher gradebooks and academic workflows
  • Student and family portals
  • Communication, behavior, health, or student-service records

A broader ERP may also include finance, accounting, budgeting, procurement, payroll, human resources, employee self-service, facilities, transportation, cafeteria operations, payments, and asset management.

Do not assume that a mature SIS includes a full business ERP. Conversely, a finance or HR module does not automatically replace the academic scheduling, reporting, attendance, and family-engagement capabilities of a mature SIS. Before comparing vendors, write down whether your project is an SIS replacement, an ERP consolidation, or an integration project.

PowerSchool SIS is a strong first product to evaluate when a district needs a mature, configurable student-information platform rather than a small school database. Its published capabilities include attendance, scheduling, grading, calendars, state or provincial reporting, student and family portals, mobile access, custom fields and pages, configurable workflows, teacher gradebook functionality, and interoperability initiatives including SIF and Ed-Fi.

Best fit: Large U.S. or Canadian districts, multi-school organizations, and schools with complex reporting, scheduling, permissions, data-collection, and integration requirements.

Why it stands out: PowerSchool’s configuration model and ecosystem breadth can be valuable when schools need to adapt workflows without replacing the entire platform. It is also a reasonable candidate for organizations that exchange data with learning platforms, assessment systems, identity providers, or other education applications.

Questions to ask: Which functions are included in the proposed SIS edition? Which require adjacent PowerSchool products? How much configuration can administrators perform without vendor services? What are the API, export, storage, support, and data-retention terms? Ask separately about admissions, finance, HR, payroll, procurement, transportation, cafeteria, and facilities rather than treating the SIS label as proof of ERP coverage.

2. Infinite Campus: strongest all-in-one SIS candidate for district modernization

Infinite Campus describes its platform as an all-in-one K–12 SIS with more than 1,500 core tools, plus optional products for online registration, food service, payments, messaging, analytics, data, workflow, learning, and report translation. Its product materials also emphasize data integrity, auditability, security, and support for changing FERPA-related requirements.

Best fit: Public-school districts and larger multi-school organizations that want a central student-information system with extensive native or integrated modules.

Why it stands out: The platform is a strong candidate when registration, family communication, reporting, food service, payments, analytics, and student records need to share data. Its broad toolset may reduce the number of disconnected systems, provided the proposed package actually includes the workflows the district expects.

Questions to ask: Which of the advertised tools are licensed in your quote? Demonstrate the highest-volume tasks for teachers, registrars, counselors, principals, families, and finance staff. Require a written matrix for your state or province, including special-program, attendance, enrollment, and end-of-year reporting. Also ask how integrations are monitored, how failed data exchanges are repaired, and how administrators audit changes.

3. Skyward: strongest student-management and district-business-suite combination

Skyward is especially relevant when “school ERP” genuinely means both student administration and business operations. Skyward offers a Student Information System and a separate School Business Suite. Its student-management materials cover curriculum management, enrollment and registration, fee management, report cards and transcripts, reporting, and scheduling. Its broader portfolio describes financial management, human resources, payroll, time-clock tools, employee portals, asset management, family engagement, student services, and partnerships. Skyward states that more than 2,000 districts worldwide use one or both suites.

Best fit: Districts that want student administration and business-office operations from a closely related vendor portfolio, particularly where accounting, budgeting, HR, payroll, purchasing, or assets are major requirements.

Why it stands out: Skyward is one of the clearest candidates when the project team wants to compare academic and business systems together rather than selecting an SIS first and connecting a separate ERP later.

Questions to ask: Is the proposed solution Student Management Suite, Qmlativ, School Business Suite, or a specific combination? Demonstrate the full procure-to-pay, budgeting, payroll, employee-time, asset, enrollment, scheduling, grading, and reporting journeys. Confirm state-specific reporting and whether accounting, payroll, purchasing, and budgeting requirements can be met without third-party systems.

4. FACTS SIS and FACTS IQ: strongest private and faith-based school ecosystem

FACTS SIS is a strong candidate for schools that want student records connected to admissions, enrollment, tuition, financial aid, and family administration. FACTS describes its SIS as a connected K–12 system of record covering staff, students, families, academics, communication, HR, reporting, medical information, scheduling, grading, transcripts, attendance, behavior, cafeteria, payments, and health information. Its wider ecosystem connects SIS information with admissions, enrollment, tuition and payment plans, financial aid, analytics, and family-app functionality.

Best fit: Private, independent, faith-based, and tuition-dependent schools where admissions, re-enrollment, tuition collection, financial aid, family communication, and academics should work together.

Why it stands out: A private school may gain more from connected admissions and tuition workflows than from the district-scale customization found in a large public-sector SIS. FACTS is therefore a particularly sensible demonstration for schools that want one education-focused ecosystem rather than separate admissions, enrollment, billing, and student-record databases.

Regional caution: FACTS says its regional products differ. Its School Management product is designed specifically for Australia and New Zealand, so schools must confirm geography, local reporting, tax and payment requirements, data residency, support hours, and contract terms before assuming that a feature or module is available in another market.

Roadmap caution: FACTS has published roadmap material indicating that some scheduling and district-management enhancements were being developed. Do not treat a planned feature as available for your go-live date. Put required functionality, release status, acceptance criteria, and remedies for missed delivery dates in the proposal or contract.

5. Gradelink: strongest simplicity-oriented candidate for smaller schools

Gradelink is worth considering when a school wants a cloud SIS with core workflows without the operational complexity of a large district platform. Its current SIS guidance describes admissions inquiry, student records, attendance, grading, lesson planning, parent communication, financial links, special-education and alternative-school workflows, and reduced duplicate data entry. A June 4, 2026 guide from Gradelink specifically frames the product category around private, charter, and faith-based institutions.

Best fit: Smaller private, charter, and faith-based schools that prioritize ease of deployment, core academic administration, and a unified cloud workflow.

Why it stands out: A smaller school may not need hundreds of configurable district workflows. A more focused product can be easier to train, administer, and adopt if it handles the school’s daily attendance, grading, communication, records, and enrollment processes with fewer workarounds.

Questions to ask: How does the platform handle multiple campuses, complex terms, state reporting, special programs, tuition, payroll, finance, transportation, cafeteria, and advanced permissions? Request an API and data-export demonstration, not just a feature list. Confirm migration tooling, the format and cost of exports, integration options, and the number of schools comparable to yours that the vendor can provide as references.

6. openSIS: strongest configurable and multilingual alternative

openSIS presents itself as student-information and school-management software for schools, colleges, training programs, and online education. Its published features include academic and administrative operations, communication, billing, reporting, analytics, configurable multi-school functions, incident recording, special-education indicators, multilingual support, and a mobile application.

Best fit: International, multilingual, mixed-institution, or configuration-oriented organizations that want an alternative to the largest U.S.-district SIS vendors.

Why it stands out: The product’s broad institutional positioning and multilingual emphasis may suit organizations that do not fit a conventional U.S. public-district model. It can also be a candidate where configurable workflows and multi-school administration matter more than adopting a very large vendor ecosystem.

Compliance caution: openSIS publicly references FERPA, COPPA, GDPR, and ISO 27001:2022-related positioning. Procurement teams should verify the precise scope, current certification or attestation evidence, applicable hosting environment, data-processing terms, and edition included in the quote. A marketing reference is not a substitute for reviewing current security documents.

Questions to ask: Can the vendor demonstrate your local reporting, languages, payment methods, data-residency requirements, and identity integrations? Ask for references of comparable size and complexity, details about implementation-partner availability, support coverage, integration monitoring, and the distinction between advertised capabilities and functions included in your selected edition.

What to evaluate before naming a winner

1. Define the functional scope

Create a requirements inventory before attending demos. Mark each item as must have, preferred, or future. Include:

  • Admissions inquiries, applications, enrollment, and re-enrollment
  • Student records, guardianship, medical information, and document storage
  • Attendance, tardies, absences, calendars, bell schedules, and substitute workflows
  • Course catalog, scheduling, grading, transcripts, report cards, and graduation requirements
  • Special education, intervention, counseling, behavior, health, and student services
  • Family and student portals, mobile access, translation, notifications, and messaging
  • State, provincial, national, diocesan, or accreditation reporting
  • Finance, accounting, budgeting, purchasing, fees, tuition, payment processing, and financial aid
  • HR, payroll, employee records, time tracking, benefits, and employee self-service
  • Food service, transportation, facilities, inventory, assets, and room management

For every module, ask whether it is native, an optional add-on, a partner integration, or merely supported through an export. Record the answer in the requirements matrix.

2. Confirm geography and reporting

Reporting is one of the easiest places for a procurement team to overestimate product fit. “Supports compliance” is not enough. Require written confirmation for the exact state, province, country, diocese, or education authority; reporting cycles; file formats or APIs; validation rules; special-program reporting; historical-data requirements; and who is responsible when a reporting specification changes.

Also confirm regional hosting, language, date and grading conventions, tax treatment, payment methods, school-calendar rules, and customer-support coverage. A platform that works well in one jurisdiction may require costly customization in another.

3. Test the data model and interoperability

Ask which capabilities are available in the proposed edition and contract:

  • Standards: Ed-Fi, OneRoster, and SIF versions supported, including any certification or alignment status
  • Interfaces: REST APIs, CSV imports and exports, webhooks, scheduled jobs, bulk extracts, and real-time exchange
  • Identity: SSO, directory synchronization, role mapping, MFA support, and account lifecycle automation
  • Monitoring: dashboards, alerts, retry behavior, reconciliation, audit logs, and ownership of failed exchanges
  • Portability: complete student, staff, grades, attendance, documents, financial, and audit data exports in usable formats

Ed-Fi’s documentation identifies Data Standard 6.x as released in 2025 and intended to support the 2026–27 and 2027–28 school years. Ask each vendor which Ed-Fi version it supports, what is actually implemented, and whether the support applies to your edition and integration architecture. See the Ed-Fi data standards documentation rather than accepting a generic “Ed-Fi compatible” statement.

4. Review privacy and contract controls

Student records contain personally identifiable information, health information, academic history, and family data. Under the U.S. Department of Education’s FERPA guidance, a vendor relying on the school-official exception must perform a school function, remain under the school’s direct control regarding the use and maintenance of personally identifiable information, and avoid unauthorized use or redisclosure.

Have counsel and the procurement team review:

  • Data-processing and school-official terms
  • Permitted purposes, advertising restrictions, and redisclosure limits
  • Subprocessors and where data is hosted
  • Encryption, access control, logging, and administrator privileges
  • Breach notification timelines and cooperation duties
  • Data retention, deletion, return, and backup-destruction procedures
  • Audit rights, security-questionnaire responses, and independent assessments
  • Parent or eligible-student record-access procedures
  • Accessibility, records requests, litigation holds, and continuity obligations

If the school lacks specialist capacity, a FERPA vendor contract review can help identify gaps in direct-control language, permitted uses, subprocessors, deletion, breach response, and access procedures. This is procurement support, not a substitute for advice from qualified legal counsel.

5. Make cybersecurity part of acceptance testing

K–12 systems are high-value targets because they combine identity, financial, health, and academic information. CISA’s K–12 cybersecurity guidance recommends priorities including multifactor authentication, mitigation of known exploited vulnerabilities, tested backups, incident-response exercises, training, and stronger security controls by default.

Turn those recommendations into vendor questions and contract requirements:

  • Which administrator, staff, family, and student roles support MFA, and can the school enforce it?
  • How quickly are critical vulnerabilities patched, and how are known exploited vulnerabilities tracked?
  • Are backups encrypted, isolated, regularly tested, and restorable within an agreed recovery objective?
  • What are the recovery-time and recovery-point objectives?
  • How does the vendor detect suspicious access, export activity, and privilege changes?
  • What is the incident-notification process, including after-hours contacts and evidence preservation?
  • Can the district conduct tabletop exercises and test its continuity plan before go-live?

A K–12 cybersecurity assessment may be useful when internal IT staff cannot independently evaluate identity, backup, vulnerability, logging, and incident-readiness controls. Require a defined scope and deliverables rather than purchasing a vague “security review.”

6. Treat implementation as a major part of the product

A school ERP project can fail even when the software has the required features. Demand an implementation plan that names:

  • Every source system and data set to be migrated
  • Data-cleansing, deduplication, archival, and historical-record rules
  • Role, permission, approval, and separation-of-duties design
  • Interfaces, owners, test data, monitoring, and recovery procedures
  • Training by role: registrar, teacher, counselor, principal, finance, HR, family, student, and IT
  • Configuration freeze, parallel-run, cutover, and first-day support dates
  • Rollback or contingency procedures if migration or integrations fail
  • Named vendor and customer-success responsibilities

If the school lacks migration expertise, budget for an independent SIS implementation partner to support data inventory, cleansing, role design, integration testing, and cutover planning. Do not assume that the vendor’s standard implementation package includes every historical-data conversion or custom integration your project needs.

7. Test usability and accessibility by role

Do not judge a school ERP from an executive dashboard. Script realistic tasks for each user group:

  • Registrar: enroll a student, correct a guardian relationship, produce a transcript, and resolve a duplicate record
  • Teacher: take attendance, enter grades, submit a progress report, and contact selected families
  • Counselor or student-services staff: record an intervention, restrict sensitive information, and produce an approved report
  • Principal: review attendance trends, approve a workflow, and audit a record change
  • Finance: post a payment, issue a refund or adjustment, reconcile a batch, and export accounting data
  • HR: onboard an employee, track time, restrict sensitive records, and process a change
  • Family and student: complete registration, view attendance and grades, receive a message, and use a phone
  • IT: provision accounts, assign roles, monitor integrations, export records, and investigate an audit event

Measure clicks, screens, manual re-entry, loading time under realistic conditions, mobile behavior, accessibility, translation, and error recovery. A platform can be functionally broad yet operationally unsuitable if high-frequency tasks require too many screens or workarounds.
