You can set up Outlook email on an iPhone in Microsoft Outlook or Apple Mail. Use Outlook.com in Apple Mail for a personal Outlook.com, Hotmail, Live, or MSN address; use Microsoft Exchange for a Microsoft 365 work or school account. For most accounts, follow the sign-in prompts instead of entering server settings manually.
Choose an app and setup option

Microsoft 365 work or school accounts may require Microsoft Authenticator, Intune Company Portal, device registration, an app PIN, or use of an approved app. Follow your organization’s sign-in and enrollment instructions.
Set up Outlook email in the Microsoft Outlook app
Add your first account
- Install Microsoft Outlook from the App Store.
- Open Outlook and tap Add Account.
- Enter your email address and follow the sign-in prompts.
- Complete multifactor authentication if requested.
Outlook may detect an account already associated with your iPhone. Tap Continue to add it, or Skip to enter a different address.
Add another account
Outlook’s account settings labels can vary by app layout. From the Inbox, open Settings, then look for Account or Accounts.

- Open Outlook and go to Settings.
- Tap Account or Accounts, then Add Account.
- Tap Email Account.
- Enter the email address and tap Add Account.
- Enter the password and tap Sign in.
- Complete two-step verification or multifactor authentication if prompted.
- If asked whether the app can access your information, tap Yes to complete setup.
- Tap Maybe Later if you do not want to add another account.
Set up a personal Outlook.com account
This includes addresses ending in @outlook.com, @hotmail.com, @live.com, and @msn.com. Use the normal Microsoft sign-in flow; do not enter POP, IMAP, or SMTP settings unless automatic setup fails or the account is not an Outlook.com or Exchange account.
Set up a Microsoft 365 work or school account
Outlook for iOS normally detects Microsoft 365 accounts automatically. Enter your address and follow your organization’s authentication or enrollment steps.
Your organization may require Microsoft Authenticator, Intune Company Portal, device registration, an organizational PIN, app protection policies, or the use of Outlook instead of Apple Mail. With Intune app protection, the process may include installing Authenticator, adding the account in Outlook, registering the device if prompted, restarting Outlook, and creating an app PIN.
These requirements are controlled by your organization. Contact IT if sign-in or device compliance is blocked; changing a password or guessing a server name will not bypass those requirements.

On current iOS versions, Mail account settings are under Settings > Apps > Mail > Mail Accounts.

Personal Outlook.com account
Go to Settings > Apps > Mail > Mail Accounts > Add Account > Outlook.com, then follow these steps:
- Tap Outlook.com.
- Enter your email address and tap Sign in.
- Enter your password and approve two-step verification if requested.
- If prompted to let the app access your information, tap Yes.
- Choose whether to enable Mail, Contacts, Calendars, and Reminders.
- Tap Save.
Microsoft states these data types are enabled by default when adding an Outlook.com account to Apple Mail; you can change the switches before saving.
Microsoft 365 or Exchange account
Go to Settings > Apps > Mail > Mail Accounts > Add Account > Microsoft Exchange, then:

- Enter the email address and an account description.
- Tap Next, then Sign In when prompted.
- Enter the password and tap Sign in or Next.
- Complete multifactor authentication if requested.
- Select the data types to synchronize and tap Save.
If automatic sign-in does not work and your administrator supplied server details, tap Configure Manually. Get the server, domain, username, and other values from your organization rather than guessing.
Manually add an IMAP account in Outlook for iOS
Use manual IMAP setup only if Outlook cannot recognize the provider or the account is not Exchange-based. Server names, usernames, ports, and encryption settings must come from your email provider or administrator.

- In Outlook, open Settings and tap Accounts.
- Tap Add Account, then Email Account.
- Enter the email address and tap Add Account.
- If asked to select a provider, choose IMAP.
- Enter the password and turn on Use Advanced Settings.
- Enter the incoming and outgoing server information, then tap Sign In.
If your provider specifies a port with a hostname, Microsoft gives this format as an example: imap.server.com:993. Use the provider’s exact settings. IMAP and POP accounts in Outlook for iOS sync email only, not calendars or contacts.
Manually add an Exchange account in Outlook
Manual Exchange setup is for specific Exchange Server installations or administrator-managed accounts. Microsoft 365 and Exchange Online normally use automatic detection and modern authentication.
- Open Outlook and go to Settings.
- Tap Add Account, then Add Email Account.
- Enter the email address.
- If Outlook identifies the wrong account type, tap not a ___ account.
- Select the Exchange icon and tap Show Advanced Settings.
- Enter the server and domain details supplied by the administrator.
Microsoft lists Exchange Server 2007 SP2, 2010, 2013, and 2016 for this manual-configuration process. Ask your administrator for the correct details for your installation.
Fix common Outlook setup problems
Outlook keeps asking for the password
Check that the password works on the provider’s website. Repeated prompts can result from a changed password, required multifactor authentication, an outdated authentication setup, or cached sign-in data.
- Complete any pending authentication request.
- Confirm that you can sign in through a web browser.
- Update Outlook from the App Store.
- If synchronization still fails, remove the account from Outlook and add it again.
A work account says “Unable to sign in”
Your organization may require Authenticator approval, Company Portal enrollment, device registration, an app PIN, or a managed app. If Apple Mail is blocked, your organization may require Outlook for iOS. Follow the organization’s enrollment process or contact IT.

Apple Mail cannot add the account
Choose the correct provider: Outlook.com for personal Outlook.com, Hotmail, Live, or MSN accounts; Microsoft Exchange for Microsoft 365 work or school accounts and Exchange accounts. Choosing a generic provider or IMAP for Microsoft 365 can prevent calendar and contact synchronization.

This is expected if the account was set up as IMAP or POP, which sync email only in Outlook for iOS. Remove the account and add it using Outlook.com or Microsoft Exchange if you need calendar or contact data.
A second Microsoft 365 account says “Account is Suspended”
Microsoft documents a regional restriction: subsequent Microsoft 365 accounts in Outlook mobile may need to be hosted in the same physical region as the first account. Accounts in different regions can produce this message. Contact your administrator or Microsoft support if the accounts should work together.
Outlook.com stopped working in Apple Mail
Microsoft states that, beginning March 1, 2026, devices using Exchange ActiveSync versions below 16.1 can no longer connect to its services. Update the iPhone or Mail client where possible, use a compatible connection, or switch to Outlook for iOS.
The email provider is not listed
In Apple Mail, go to Settings > Apps > Mail > Mail Accounts > Add Account > Add Other Account > Mail Account.

- Enter your name, email address, password, and a description.
- Continue through account verification.
- Choose IMAP or POP if prompted.
- Enter the incoming and outgoing server information from your provider.
Do not substitute Outlook.com or Exchange server settings for another provider’s settings.

Can I add Outlook email without installing the Outlook app?
Yes. In Apple Mail, add a personal address with the Outlook.com option or a Microsoft 365 or Exchange account with Microsoft Exchange.
Should I choose Outlook.com or Microsoft Exchange on an iPhone?
Choose Outlook.com for personal Outlook.com, Hotmail, Live, and MSN addresses. Choose Microsoft Exchange for Microsoft 365 work or school accounts and Exchange accounts.
Why did only my email sync after adding the account?
The account may have been configured as IMAP or POP. These protocols sync email only in Outlook for iOS; use Outlook.com or Exchange setup when you need calendar and contact data.

Do I need Outlook server settings?
Usually not for Outlook.com, Microsoft 365, or Exchange Online. Automatic setup handles sign-in. Manual server settings are mainly needed for some on-premises Exchange accounts or providers Outlook cannot identify.
