Choose the account route if you need supported mailbox settings such as rules, categories, notifications, or automatic replies. Use the folder-pane route to make an accessible mailbox or folder appear in navigation.
Choose how to add the mailbox

Add the mailbox as an account
- Open New Outlook and select Settings.
- Go to Accounts > Shared with me. In versions where it is available, File > Account info is another route.
- If the mailbox is already listed because IT automatically mapped it, expand its card and select Convert to add it as an account.
- If it is not listed and has not already been added, select + Add and follow the prompts.
After setup, the mailbox should appear with your other accounts. If it is missing from the Your accounts page, ask your administrator to verify your access. The account-add feature may not be available in every version of New Outlook.
Add the mailbox from the Mail folder pane
- Select Mail.
- In the folder pane, right-click your account name.
- Select Add shared folder or mailbox.
- Enter the mailbox name or email address and select the correct result.
If your administrator has just granted access, wait a few minutes and restart New Outlook before trying again. If you do not have access, contact the mailbox owner or your organization’s administrator.

What to know about account settings and sync
Adding a mailbox as an account can provide supported settings such as categories, notifications, rules, and automatic replies. Microsoft notes that support for some shared-mailbox features can vary or be unavailable; check its current guidance before relying on a particular feature.
An automatically mapped mailbox may not synchronize its Inbox automatically. Select the shared mailbox folder to trigger synchronization, or select Sync in the View section of the ribbon. If you need automatic synchronization and notifications, adding the mailbox as an account is Microsoft’s suggested option when available and you have Full Access.

FAQ
Do I need administrator permission to add a shared mailbox?
You need your organization to grant access first. Full Access is required to add the mailbox as an account. If you cannot add or open it, ask the mailbox owner or your administrator to check your permissions.
What does Convert do in Shared with me?
Convert promotes an automatically mapped mailbox to an account in New Outlook. Use it when you want the account-level settings supported for shared mailboxes; it is not required just to use a mailbox that already appears in your folders.

Why can’t I find Shared with me or + Add?
The account-add feature may not be available in every version of New Outlook. Confirm that you are using New Outlook for Windows, then ask your administrator to verify Full Access if the option or mailbox is still unavailable.
Why is the mailbox not appearing after access was granted?
Access may take a short time to become available. Wait a few minutes, restart New Outlook, and try again. If it remains missing, ask your administrator to verify that access was granted.

How do I make an automatically mapped Inbox sync?
Select the shared mailbox folder, or select Sync in the View section of the ribbon. If you need automatic synchronization and notifications, consider adding the mailbox as an account if the feature is available and you have Full Access.
