If Outlook Notes has disappeared, the notes may still be intact. The most likely explanation is that the Notes view is hidden, you are using a different Outlook app, or the notes belong to another Microsoft account. Deleted notes may also be recoverable, depending on your mailbox.

Start by identifying which Outlook you have. The steps differ for classic Outlook for Windows, new Outlook for Windows, and Outlook.com or Outlook on the web.

First, identify your Outlook version

Outlook version Where Notes are found What to expect
Classic Outlook for Windows Notes module Notes is a supported Outlook module. You can open it from More Apps, Navigation Options, or with Ctrl+5.
New Outlook for Windows Depends on current feature support Microsoft lists the Notes module as Partially available. It does not provide the same full Notes module as classic Outlook.
Outlook.com or Outlook on the web Notes folder Notes are Sticky Notes associated with your Microsoft account.

These distinctions matter. A missing Notes button in new Outlook may be a product limitation rather than missing data, while a missing button in classic Outlook is usually a navigation setting.

1. Open Notes from More Apps in classic Outlook

Classic Outlook may hide less-used modules from the Navigation Bar without deleting them.

  1. Open classic Outlook for Windows.
  2. On the Navigation Bar, select More Apps.
  3. Select Notes.

Your existing notes should appear in the Notes view. Microsoft documents this for Outlook for Microsoft 365, Outlook 2024, and Outlook 2021.

To keep Notes visible:

  1. Select More Apps > Notes.
  2. Right-click Notes.
  3. Select Pin.

Microsoft’s instructions are in its classic Outlook Notes guide.

2. Increase the number of visible Navigation Bar items

If Notes is available under More Apps but you want it permanently displayed, change the Navigation Bar layout.

  1. Open classic Outlook.
  2. Select Navigation Options on the Navigation Bar. You may need to open the Navigation Bar’s menu first.
  3. Set Maximum number of visible items to 5.
  4. Select OK.

The visible modules can also be reordered:

  1. Open Navigation Options.
  2. In Display in this order, select Notes.
  3. Select Move Up until Notes is in the position you want.
  4. Select OK.

Classic Outlook’s Navigation Bar supports Mail, Calendar, Contacts, Tasks, and Notes. Mail and Calendar are normally fixed as the primary items; the other modules can be pinned, unpinned, or reordered.

3. Use the classic Outlook Notes shortcut

In classic Outlook, press Ctrl+5. This opens the Notes module even if its button is not currently visible on the Navigation Bar.

Do not treat Ctrl+5 as a universal Outlook shortcut. Microsoft documents it for classic Outlook, not as a guaranteed command in new Outlook or Outlook on the web.

To create a note from any Outlook folder in classic Outlook, press Ctrl+Shift+N. When you finish writing:

  1. Select the note icon in the upper-left corner of the note window.
  2. Select Save & Close.

If Ctrl+5 does nothing, check that you are using classic Outlook rather than the new Outlook app. The shortcut will not restore a full Notes module that your Outlook version does not provide.

4. Check whether new Outlook supports the Notes feature you need

New Outlook for Windows is not a direct replacement for every classic Outlook module. Microsoft’s feature comparison currently labels the Notes module as Partially available in new Outlook.

That means the missing Notes view may not indicate that your notes were deleted. New Outlook does not necessarily expose the same Notes module, navigation controls, or shortcuts as classic Outlook.

If you need the full classic Notes module:

  1. Check whether your Outlook window includes a File tab and the classic Outlook interface.
  2. If your organization or Microsoft 365 installation allows it, switch back to classic Outlook using the Outlook version switch or the Try the new Outlook toggle.
  3. In classic Outlook, use More Apps > Notes or press Ctrl+5.

The available switch depends on your Microsoft 365 installation and administrator settings. Do not assume that reinstalling Outlook will add a full Notes module to new Outlook; the limitation may be built into the product version.

5. Look in the Notes folder and verify the Microsoft account

Outlook.com and Outlook on the web do not use classic Outlook’s full Notes module. Sticky Notes are accessed through a Notes folder.

  1. Sign in to Outlook.com or your organization’s Outlook on the web portal.
  2. Use the same Microsoft account used by Sticky Notes on Windows, OneNote for iOS or Android, or Microsoft Launcher for Android.
  3. Open the Notes folder.
  4. Select a note to view or edit it.

Changes to web Sticky Notes save automatically. To create one, open Notes > New Note.

A different account is a common reason for an apparently empty Notes folder. For example, Sticky Notes may be synchronized to a personal Microsoft account while Outlook.com is open under a work account. Sign out and sign back in with the account used by the original notes.

To delete a web note, select it and choose … > Delete, or hover over it and select the Delete icon. Microsoft’s instructions for web Sticky Notes are available here.

6. Recover notes from Deleted Items

If the Notes view is present but a particular note is gone, check Deleted Items before assuming it is permanently lost. Recovery steps differ between new and classic Outlook.

New Outlook

  1. Open Deleted Items.
  2. Select Recover items deleted from this folder.
  3. Select the note.
  4. Select Restore on the Home ribbon.

Classic Outlook

  1. Open Deleted Items.
  2. Select Home > Recover Deleted Items From Server.
  3. Select the note.
  4. Select Restore Selected Items.
  5. Select OK.

An item recovered from Recoverable Items returns to Deleted Items, not directly to the original Notes folder. Open Deleted Items and move the restored item back to Notes.

The classic recovery command is not available for every account. If you see a Trash folder instead of Deleted Items, Microsoft says the account does not support recovery of items that are no longer in Deleted Items. The same applies if Recover Deleted Items From Server is absent.

Recovery is time-limited by mailbox policy. Microsoft gives examples of 30 days in Deleted Items and an additional 14 days in Recoverable Items, but the actual retention period depends on mailbox policy and, for work or school accounts, administrator settings. For a business mailbox, contact your Microsoft 365 administrator quickly if the note is important.

What not to do first

Do not immediately reset Outlook’s navigation pane or reinstall the application. Microsoft’s current Notes and Navigation Bar instructions use More Apps, Pin, Navigation Options, and Move Up; they do not document an outlook.exe /resetnavpane command as a Notes-specific fix.

First establish whether you are using classic Outlook, new Outlook, or Outlook on the web. Then check the appropriate location: the classic Notes module, the web Notes folder, or Deleted Items.

FAQ

Why did my Outlook Notes disappear?

In classic Outlook, Notes is often hidden under More Apps or removed from the visible Navigation Bar. In new Outlook, Microsoft currently lists Notes as Partially available. In Outlook.com or Outlook on the web, notes are stored in the Notes folder and may be missing because you signed in with a different Microsoft account.

What is the shortcut to open Notes in Outlook?

Press Ctrl+5 in classic Outlook for Windows. This shortcut is not documented as a universal command for new Outlook or Outlook on the web.

How do I add Notes back to the Outlook Navigation Bar?

In classic Outlook, select More Apps, open Notes, right-click Notes, and select Pin. You can also open Navigation Options, set Maximum number of visible items to 5, or select Notes and choose Move Up.

Can I recover a deleted Outlook note?

Usually, check Deleted Items first. In new Outlook, select Recover items deleted from this folder. In classic Outlook, choose Home > Recover Deleted Items From Server if your account supports it. Recovered items return to Deleted Items and may need to be moved back to Notes.

Why can’t I find Recover Deleted Items From Server?

That recovery command is not supported by every account. It may be unavailable when the account uses a Trash folder instead of Deleted Items or does not support server-side recovery.

The Bottom Line

For classic Outlook, open More Apps > Notes, pin Notes, or press Ctrl+5. For Outlook.com or Outlook on the web, check the Notes folder while signed in with the correct Microsoft account. If an individual note was deleted, use the appropriate recovery command before the mailbox retention period expires. New Outlook currently offers only partial Notes support, so a missing full Notes module there may be expected behavior rather than lost data.
