The message list can change because Focused Inbox, conversation grouping, sorting, filtering, the reading pane, display density, or a folder-specific view was changed. If the entire application looks different, you may have switched from classic Outlook to new Outlook.
First identify which Outlook you use: new Outlook for Windows has a Settings gear in the upper-right corner and normally shows Home, View, and Help tabs; classic Outlook has a File tab and no Settings gear. See Microsoft’s Outlook version guide if you are unsure.
Why your Outlook Inbox view changed
Several independent settings control how an Inbox looks. A setting can make messages appear to vanish, merge into threads, move to a different area, or display in an unfamiliar order.

First check whether Microsoft switched you to new Outlook
New Outlook for Windows became generally available in August 2024. Microsoft began switching some personal-account users in October 2024 and some Microsoft 365 business users on the Current Channel in January 2025, following in-app notifications. New Outlook uses different controls from classic Outlook. The classic View > Change View > Compact/Single/Preview commands and classic folder-view reset process do not apply. New Outlook uses View > View settings, with most message-list choices under Mail > Layout. For details, see Microsoft’s message-list display guide.
Fix the most common Inbox changes
Turn off Focused Inbox
Focused Inbox divides the Inbox into Focused and Other. It affects which Inbox tab displays a message; it does not normally move messages to a separate mailbox or delete them. Select Other to check for messages, or turn the feature off.
New Outlook for Windows
- Select View > View settings.
- Select Mail > Layout.
- Under Focused Inbox, select Don’t sort my messages.
- Select Save.
Outlook on the web or Outlook.com
- Select Settings.
- Select Mail > Layout.
- Under Focused Inbox, select Don’t sort my messages.
- Select Save.
Classic Outlook for Windows
- Select the View tab.
- Select Show Focused Inbox to turn it off.
Focused Inbox is available in Outlook for Windows with Microsoft 365, Exchange, and Outlook.com accounts. It is not supported for shared mailboxes; Microsoft describes that limitation as by design. See Microsoft’s Focused Inbox documentation.

New Outlook for Windows
- Select View > View settings.
- Select Mail > Layout.
- Under Message organization, choose the option to display messages individually.
- Select Save.
Outlook on the web or Outlook.com
- Select Settings > Mail > Layout.
- Under Message organization, select the option to display messages individually.
- Select Save.
Classic Outlook for Windows
- Select the View tab.
- Clear Show as Conversations.
- When prompted, choose All mailboxes or This folder.
Choose This folder to change only the current folder, or All mailboxes to apply the behavior throughout classic Outlook. See Microsoft’s conversation view guide.

Outlook for Mac
- Open the View menu.
- Clear Show as Conversations.
For additional conversation preferences, open Outlook > Settings > Reading and adjust the conversation options. See Microsoft’s Outlook for Mac instructions.
Outlook for iPhone, iPad, or Android
- Tap the mail icon or Inbox at the top of the message list.
- Tap Settings, then Mail.
- On iOS, open Email Organization. On Android, open the corresponding threading options.
- Turn off Group emails by conversation.
Outlook mobile groups emails by conversation by default. See Microsoft’s guide to disabling threaded mode.
Move or restore the reading pane
The reading pane is the preview area where Outlook displays the selected message. It can appear beside or below the message list, be hidden, or open messages in a separate window.
New Outlook for Windows
- Select View > View settings.
- Select Mail > Layout.
- Under Reading pane, choose Right, Bottom, Fill screen, or Popout only.
- Select Save.
Outlook on the web or Outlook.com
- Select View.
- Select Layout > Reading pane.
- Choose Show on the right, Show on the bottom, or Hide.
Classic Outlook for Windows
- Select the View tab.
- Select Reading Pane.
- Choose Right, Bottom, or Off.

Put messages back in the expected order
If messages appear out of sequence, check sorting and filtering before resetting the whole view. A filter can hide messages without moving or deleting them.

New Outlook, Outlook on the web, and Outlook.com
- Select Filter at the top of the message list.
- Choose a sorting option such as Date, From, Size, Importance, Subject, or Category.
New Outlook separates sorting and filtering controls; Microsoft listed this change in its August 2024 updates. Review active filters if the list still looks incomplete. See Microsoft’s sorting instructions and new Outlook updates.
Classic Outlook
- Select the View tab.
- Use the Filter control above the message list, or select View > View Settings.
- Select Sort.
- Choose a field such as Received, then select Descending for newest messages first.
Headings such as Today, Yesterday, and Last Week indicate grouping. In classic Outlook, select View > Arrange By and clear Show in Groups to remove it. Classic Outlook groups Inbox items by date in its default arrangement. See Microsoft’s guide to grouping or ungrouping Inbox messages.
Restore the sender, subject, and preview layout
New Outlook for Windows
- Select View > View settings.
- Select Mail > Layout.
- Under Message list format, choose Sender name first or Subject first.
- Under Text size and spacing, choose Small, Medium, or Large.
- Select Save.
Outlook on the web or Outlook.com
- Select Settings > Mail > Layout.
- Adjust Message list format and reading-pane settings.
- Select Save.
Web Outlook also offers density choices: Roomy shows sender images, attachment previews, and preview text; Cozy shows preview text with more spacing; Compact uses minimal spacing. See Microsoft’s guides to message-list font and size and mailbox appearance.
Classic Outlook for Windows
- Select the View tab.
- Select View Settings > Other Settings.
- Select Column Font to change headings such as From and Subject.
- Select Row Font to change the message rows.
The default classic Outlook Inbox view is Compact. Single and Preview support different list and column arrangements. See Microsoft’s message-list display guide.
Reset the classic Outlook Inbox view
Use these reset steps only in classic Outlook for Windows. New Outlook, Outlook on the web, Outlook for Mac, and Outlook mobile do not use the same saved-view reset commands.

Use Reset View first
- Select the folder that looks wrong, such as Inbox.
- Select the View tab.
- Select Reset View.
- Confirm the reset if Outlook asks you to do so.
If Reset View is not visible, select View > Change View, then choose Compact, Single, or Preview. Compact is usually appropriate for a standard Inbox layout. Microsoft documents these classic view controls in its message-list guide.
Reset every classic Outlook view with /cleanviews
If individual folders remain corrupted, the classic Outlook command-line switch can rebuild all default views:
outlook.exe /cleanviews
- Close Outlook completely.
- Press Windows key + R.
- Enter outlook.exe /cleanviews.
- Press Enter.
Warning: this restores default views across classic Outlook and deletes custom views. Document or back up custom layouts before running it. Do not use this command in new Outlook; it is a classic Outlook for Windows switch. Microsoft community guidance also warns that custom views are lost; see the Microsoft Q&A discussion.

Reset the correct folder
Classic Outlook views are associated with folders. Resetting Inbox does not necessarily reset Sent Items, Deleted Items, or another mail folder. Each folder can have its own view configuration. See Microsoft’s guide to creating or changing a view.
To copy a corrected classic view to other folders:
- Configure the current folder until it looks right.
- Select View > Change View > Apply Current View to Other Mail Folders.
- Select the folders to update.
- Select OK.
Test for an add-in problem
If the view changes again after you reset it, an Outlook add-in may be interfering. Close Outlook, press Windows key + R, and run outlook.exe /safe. Use Outlook in Safe Mode long enough to see whether the problem returns. If it does not, an add-in is a possible cause; disable add-ins one at a time in normal Outlook to identify the source. Safe Mode is a diagnostic step, not a permanent replacement. See the Microsoft Q&A troubleshooting discussion.

Check other computers using the same account
Classic Microsoft 365 Outlook can store some settings in the cloud. If Store my Outlook settings in the cloud is enabled, settings can roam between Outlook for Windows installations using the same Microsoft 365 account. The last uploaded change can take precedence when settings synchronize.
- Select File > Options.
- Select General.
- Find Store my Outlook settings in the cloud.
- Clear the checkbox if you want subsequent option changes limited to the local device.
- Select OK.
Not every visual setting roams. Computer-specific settings, fonts, Ribbon customizations, Quick Access Toolbar settings, and add-ins are excluded. Microsoft lists account-related settings such as Focused Inbox among settings that can roam. See Outlook roaming options and Microsoft’s information about storing Outlook settings in the cloud.
Common advice that no longer applies
- “There is one universal Outlook Inbox view.” There is not. Classic Outlook can store views separately by folder, while new Outlook and web Outlook use layout settings rather than classic saved views.
- “Use File > Options to turn off Conversation view.” For current Windows Outlook, use View > Show as Conversations in classic Outlook, or Mail > Layout in new Outlook and web Outlook.
- “Run /cleanviews in new Outlook.” The command is for classic Outlook for Windows only.
- “Focused Inbox deleted or moved my messages.” Focused Inbox normally changes which Inbox tab displays a message. Check Other or turn it off with Don’t sort my messages.
- “The latest update always changed the Inbox.” Microsoft has documented particular interface changes and individual issues, but an altered Inbox can also be caused by an application switch, grouping, sorting, filtering, roaming settings, a folder-specific view, or an add-in.
FAQ
How do I get the old Outlook Inbox view back?
If you use classic Outlook for Windows, select the affected folder, open the View tab, and choose Reset View. If that option is missing, select View > Change View > Compact. To reset all classic Outlook views, close Outlook and run outlook.exe /cleanviews, but note that this deletes custom views.
Why are my Outlook emails divided into Focused and Other?
Focused Inbox is enabled. In new Outlook or Outlook on the web, open View or Settings, then Mail > Layout, select Don’t sort my messages, and save. In classic Outlook, select View > Show Focused Inbox.

Why are several Outlook emails showing as one message?
Conversation view or message grouping is enabled. In classic Outlook, clear View > Show as Conversations. In new Outlook or web Outlook, open Mail > Layout and select the option to display messages individually.
Does /cleanviews work with new Outlook?
No. outlook.exe /cleanviews is a classic Outlook for Windows command. New Outlook uses View > View settings > Mail > Layout rather than the classic saved-view reset process.
Why did my Outlook Inbox change again after I fixed it?
An add-in, another computer using the same Microsoft 365 account, or cloud-roaming settings may be applying the change again. Test classic Outlook with outlook.exe /safe and check File > Options > General for Store my Outlook settings in the cloud.
The Bottom Line
Start by identifying the Outlook version, then match the symptom to its setting. Focused Inbox, conversation view, the reading pane, sorting, filtering, and message-list formatting each have their own fix. In classic Outlook, try View > Reset View before using outlook.exe /cleanviews, which removes every custom view. If the change returns, investigate add-ins, other devices, and cloud-synchronized settings rather than repeatedly resetting the Inbox.
