A desktop time tracker is software installed on your computer that records how long you spend on work. It does this in one of three ways: a timer you start and stop yourself, an activity log that captures the apps and windows you use, or rules that create time entries when a specific app or window is open. Each approach answers a different need, from billing a client accurately to finding out where a day went. The right choice depends on whether you need deliberate records, a reconstruction of past activity, or fewer forgotten timers.
What is a desktop time tracker?
A desktop time tracker is a program that runs on Windows, macOS, or Linux and attaches time to tasks, projects, or clients. Most also offer a browser extension or mobile app, but the desktop component is what handles timing on your machine, can run in the background, and can watch which programs are active. Tools in this category range from simple start-and-stop clocks to systems that keep a continuous log of activity.
The useful distinction is not between “tracking” and “not tracking.” It is between records you create on purpose and records the software creates for you.
Three models of desktop time tracking
Most products fall into one of three models, and many combine two of them.

1. Manual timer
You press start when you begin work on a task and stop when you finish, or enter a duration after the fact. This produces the cleanest billing records because every entry is something you chose to log. Its weakness is that it depends on memory and discipline: a timer left running overnight or never started at all produces wrong numbers without any warning.
2. Automatic activity timeline
The software records which programs and windows you use over the day and shows them as a timeline. Clockify’s auto tracker, for example, records programs and websites used for longer than a configurable threshold. The default is 60 seconds and the minimum is 10 seconds. This model is strong for reviewing where time went, but the timeline is raw material, not a timesheet. Someone still has to decide what each block of activity was worth.
3. Rule-based automatic timer
You define rules that connect an app, a window title, or a keyword to a project. When a match occurs, the tool either prompts you to start an entry or starts one automatically. Toggl Track describes this as Autotracker rules that can prompt or automatically start entries. This model suits known workflows, such as a design tool that always belongs to one client, and it reduces forgotten starts. It works only as well as the rules you write, so it needs maintenance when projects change.

How does automatic time tracking work?
Automatic tracking typically has four parts, and the product differences show up in each one:

- Detection: the tool reads the active application and, in some products, the window title or browser address.
- Threshold or rule: a minimum duration (Clockify’s default is 60 seconds) or a matching rule decides what counts.
- Idle handling: the tool notices when you have stepped away. Toggl Track’s product page describes idle-time detection, and Clockify records an idle-time percentage for each activity.
- Conversion: a record becomes billable time only when you approve it, or, in rule-based systems, when the rule creates an entry.
The conversion step is where automatic tracking differs most from what people expect. Clockify’s documentation states: “Recorded activities only appear in the auto tracker window and aren’t automatically added to your timesheet.” You must convert each activity into a time entry yourself. That extra step keeps invoices accurate, but it adds work for anyone who expected a finished timesheet to appear.
Who benefits from a desktop time tracker?
- Solo billers and freelancers who invoice by the hour and need timestamped, project-level entries they can show a client.
- Consultants who switch between several clients in one day and want window-level evidence for disputed hours.
- Small teams that need shared project records, billable rates, and summary reports for managers.
- Individuals reviewing their own computer use who want to know which apps and sites take their time, and then decide whether to change habits.
People who need only a stopwatch for a few tasks may not need any of these features. A manual timer in a simple app or a notes file can be enough.
Comparing the main approaches

Two readings follow from the table. Toggl Track and Clockify both cover manual timing and automation, but they differ in whether rule-matched activity starts a timer for you (Toggl) or waits in a log until you convert it (Clockify). RescueTime sits closer to usage awareness and focus management than to invoice-ready timesheets.

Privacy: what is recorded, where it lives, and how long it stays
Automatic tracking records more than a timer does, so privacy deserves specific questions before you install anything. Ask what is captured, where it is stored, who can see it, how long it is kept, and whether you can switch collection off.
What is captured
Clockify’s auto tracker documentation says it records program names and window names, and website URLs by default. A setting exists to disable URL capture. Toggl Track says its current auto-tracker reads active window and app titles locally to match rules. The difference matters: a rule that needs only an app name does not require storing every window title, and a tool that logs URLs holds more sensitive detail than one that does not.
Where it is stored and who can see it
Clockify’s help page states: “All recorded data is stored locally on your computer.” The same page says only the user can see unconverted activities. That statement refers to the auto-tracker activity data described on that page, not to every piece of data a Clockify account may hold. Toggl’s documentation describes matching as local processing and says window data are not sent to its servers for rule matching. These are vendor descriptions, not independent audits. If your work involves client confidentiality, read each product’s privacy policy and settings yourself.

Clockify documents that records older than 45 days are automatically and permanently deleted. If you need a longer archive of activity data, you will have to convert records into time entries before they expire, because the activity log itself does not persist. Check whether converted time entries are kept under your account’s own retention terms, which may differ from the activity log.

Opt-out controls
- Turn off URL capture if you do not need website addresses.
- Limit automatic tracking to specific apps through rules rather than recording everything.
- Set or adjust the minimum duration threshold so brief windows are ignored.
- Pause or disable the tracker when working on sensitive material.
Platform support and offline behavior
Toggl’s Windows product page states Windows 10 or higher and that an account is required. Toggl’s Windows support article says: “The desktop app also works offline; it stores data locally and sends it to the Toggl Track server once you’re back online.” This is useful if you work on trains, on site, or on unreliable connections, but it means entries are not visible on other devices until they sync.
Clockify’s desktop page lists Windows, Mac, and Linux apps. Its documented offline behavior was not stated in the material reviewed for this article, so test the desktop app on a disconnected machine before relying on it for fieldwork. RescueTime’s platform coverage is not confirmed here; check its site before choosing it for a particular operating system.
Pricing and plan limits
Clockify’s desktop page states that a seat can be free or up to $11.99 per month. Prices like this change, and the figure does not show billing period, currency, or which features sit behind the paid tier. Toggl’s pricing page lists current plans and automation features. Before you budget, confirm the price, billing period, and whether automatic tracking, team features, and exports are included in the plan you need.
Exports, integrations, and fit with other systems
A desktop tracker often feeds other systems rather than replacing them. Project management tools hold tasks, invoicing tools produce bills, and payroll systems handle wages. Before choosing a tracker, confirm three things against your own process: whether it exports in a format your invoicing or payroll tool accepts, whether it integrates with the calendar or project tools you already use, and whether approvals and rates in the tracker match the billing rules your clients expect. Toggl describes calendar integrations on its Windows page. Clockify and RescueTime export and integration options should be checked on their current product pages.

How do I track time spent in desktop apps?
For a rule-based setup in a tool that supports Autotracker-style rules:
- Install the desktop app and sign in to your account.
- Open the app’s automatic tracking or Autotracker settings and confirm the status is on.
- Create one rule per app or keyword, and assign each rule to the correct project or client.
- Choose whether a match should prompt you or start an entry automatically. Prompts are safer while you are learning the rules.
- Work for a day, then check the entries. Adjust any rules that matched the wrong window or missed the correct one.
For an activity timeline in a tool such as Clockify, the workflow differs: recorded activities appear in the auto tracker window, and you convert each one into a time entry. Review the log at the end of the day, rather than leaving it to accumulate, because activity older than 45 days is deleted.
Decision guide
- Choose a manual-first timer if you need intentional project logs for invoices and you can start and stop tasks reliably.
- Choose rule-based automation if your work follows known app-to-project patterns, such as one design tool per client, and you want fewer forgotten starts.
- Choose an activity timeline with review if you need to reconstruct what happened in a day, or you want to learn where your time goes before setting rules.
- Choose a focus-oriented suite if your main problem is distraction, and you want goals, alerts, or site blocking alongside time records.
Whichever you choose, test the tracker for a week on real work before relying on its totals for a client invoice.
