Business intelligence (BI) is the combination of data, processes, infrastructure, and analytical tools an organization uses to understand performance and support decisions. It turns information into insight through a cycle: define a business question, gather and prepare relevant data, analyze and communicate what it shows, then use the result to act or ask a better question.
What business intelligence includes
BI is an organizational capability, not just a dashboard or a software purchase. It connects business information to a decision-making process. The work can include collecting data, preparing and organizing it, storing or modeling it, analyzing it, reporting results, and putting those results to use.
Tableau describes modern BI as combining analytics, data mining, visualization, data tools and infrastructure, and practices that support more data-informed decisions. IBM similarly describes technological processes for collecting, managing, and analyzing organizational data to inform strategy and operations. These are vendor explanations rather than a single universal standard; both point to the same practical idea: a chart or report is one output of a broader capability. Tableau’s BI overview and IBM’s explanation of BI provide further detail.
IDC’s 2025 market definition, in a document hosted by IBM, treats BI software as tools for a lifecycle that includes ad hoc queries, multidimensional analysis, dashboards, visualizations, and production reporting. It distinguishes these capabilities from more advanced predictive analytics, such as forecasting and prediction. That is a market definition, not a boundary every organization follows. The IDC 2025 document hosted by IBM describes that market scope.

How BI turns data into insights
BI works best as a recurring loop rather than a one-way flow from data to dashboard. The output matters only when it helps someone understand a situation and decide what to do next.
- Start with a business question. For example, a team might ask why sales have declined or whether delivery performance is meeting its target. Define the measure and the decision the analysis should support.
- Identify relevant information. Depending on the question, data may come from sales, customer, inventory, or supply-chain records and other appropriate sources.
- Prepare and organize the data. Bring relevant sources together, check their quality, and arrange measures and dimensions so comparisons are meaningful. If records use inconsistent definitions or contain gaps, the resulting analysis may be misleading.
- Analyze and present the result. Queries, calculations, visualizations, dashboards, and reports can help people examine performance and see patterns. The right presentation depends on the question and the people who need to use the answer.
- Share, decide, and revisit. Give the result to the people responsible for the decision. They can choose an action or use what they learned to ask a more focused follow-up question. BI informs decisions; it does not automatically decide what an organization should do.
Microsoft describes Power BI, its own product, as a platform to “connect, visualize, and share data across your organization.” That is a product description, not a neutral definition of all BI. Microsoft’s Power BI overview explains its offering.

BI and business analytics: how the terms differ
The terms overlap, and organizations do not use them uniformly. A useful working distinction is that BI often focuses on making organizational data available for monitoring, reporting, and understanding current or historical performance. Business analytics commonly emphasizes statistical investigation and may include forecasting or other predictive methods. Data analytics is a broader term that can describe technical work such as cleaning, transforming, and analyzing data in many fields.
These are tendencies, not rigid definitions. BI should not be reduced to looking only at the past: modern platforms can offer near-real-time views and analytical features. Nor is predictive analytics always outside BI; definitions and product terminology vary. Tableau and IBM both describe BI broadly enough to include analytics, while IDC’s 2025 market definition separates BI software from more advanced predictive analytics for its market assessment.

Where organizations use BI
BI can help teams compare performance, monitor targets, investigate bottlenecks, and examine patterns across many functions. The examples below describe possible applications, not guaranteed outcomes attributable to BI alone.
- Sales and marketing: Compare sales by region or period, review campaign patterns, or examine customer activity.
- Finance: Monitor financial performance and compare results with organizational targets.
- Retail: Compare store performance and follow inventory patterns.
- Customer service: Review service activity and customer-related patterns to identify areas that may need attention.
- Supply chain and operations: Track delivery performance, inventory, or operational bottlenecks.
IBM describes BI applications across areas including customer service, finance and banking, healthcare operations, retail, sales and marketing, security and compliance, and supply chains. IBM’s overview discusses those uses. BI can make information easier to examine, but better business outcomes still depend on data quality, interpretation, and the decisions people make.

How to evaluate a BI platform
There is no universally best platform for every organization. Compare tools against actual data, users, governance requirements, deployment constraints, and expected scale. Microsoft Power BI and Tableau are examples of documented BI offerings, not a ranking or endorsement. Product packaging and capabilities can change.

| Trust and governance | Can the organization manage access, data quality, security, and governed metrics to the required level? |
| Deployment and scale | Does it fit cloud, on-premises, or other deployment constraints, and can it accommodate expected growth? |
Tableau recommends testing a platform with multiple questions in its vendor-authored BI platform selection guide. Treat that as vendor guidance, not an independent comparative test. A practical evaluation is to ask representative users to try realistic questions and workflows, then check whether the resulting information is usable and governed appropriately.

The vendors document different product components and deployment options. Microsoft presents Power BI as an integrated tool and service offering for connecting, visualizing, and sharing data. Tableau documents hosted and self-hosted analytics alongside data preparation, desktop analysis, and mobile viewing.
