To make a Christmas email feel personal, write it for one recipient: use their name, mention one real detail connected to them, offer a warm wish, and sign your name. Let your relationship guide the tone, and keep the message short enough that the personal detail stands out.
Build the email around the person receiving it
A name alone does not make a message personal. Add one genuine detail that could not be sent unchanged to everyone: a shared memory, a question about something they mentioned, or a brief update you know they would care about. Do not invent a memory or pretend to be closer than you are.
For example, you might open with: “Hi Maya, I was remembering our snowy walk in December last year and wanted to send you a note.” This is an illustrative example; use a detail that is true for your relationship.
Choose a tone that fits your relationship
With a close friend or relative, a conversational greeting, familiar sign-off, or shared joke may feel natural. For a more distant contact, choose a courteous greeting and avoid overly familiar language. The right level of warmth depends on the recipient and purpose, not on a one-size-fits-all holiday formula. Public Services and Procurement Canada’s email guidance recommends adapting communication to the reader, while Indeed’s holiday-email advice, updated June 15, 2026, also emphasizes audience and relationship.

Use a simple structure
- Subject: Preview the message clearly, such as “Thinking of you this Christmas.”
- Greeting: Address the recipient by name and use a greeting you would normally say to them.
- Personal connection: Recall one real moment or ask about something relevant to them.
- Optional update: Share a short piece of news only if it adds something to the exchange.
- Wish and sign-off: Offer a warm Christmas wish and sign your name.
Keep the body direct and concise. Check the details before sending
- Confirm the recipient’s name and spelling.
- Make sure the memory, question, or personal update is accurate and appropriate for that person.
- Check that the subject describes the actual message.
- For a group send, review the recipient list and confirm addresses are in Bcc when you do not want them visible to other recipients.
