Use it when you want to brainstorm, sketch, gather references, annotate an image, or plan something with other people—not when you need a conventional page-based document or a dedicated task-management system.
What is Apple Freeform?
Freeform is Apple’s flexible canvas for putting content and ideas together spatially. Instead of building a document page by page, you place items where they make sense and move them around as your thinking changes. Apple describes it as a space for brainstorming, sketching, taking notes, and collecting thoughts alone or with a group. Apple’s iPhone guide and iPad guide describe the app’s board-based approach.
A board can combine text, sticky notes, shapes, drawings, photos, videos, links, files, handwriting, and other material. The canvas is not tied to a fixed page size, so you can spread out content, group related pieces, and keep expanding the board. Apple’s Mac Freeform guide also documents tables, diagrams, images and scans, arrows, board search, folders, and presentation scenes.
When is Freeform useful?
Brainstorming and early-stage ideas
Use a board when ideas are still taking shape and you want to see how notes, sketches, and references relate. You can cluster items, add new thoughts beside them, and rearrange the board without rewriting a linear document.
Collecting visual references
Freeform can serve as a shared inspiration board or a place to gather material for a school project. On iPhone, Apple says you can start a board from content in supported apps such as Notes, Maps, Safari, Files, and Photos. Boards save automatically; drag to move around the canvas and pinch to zoom. Apple’s iPhone instructions cover these actions.

Planning with other people
A trip-planning board can bring maps, links, images, and notes together in one shared space. Apple documents inviting others to a board and collaborating in real time. It also described collaboration through Messages and FaceTime, with invitations by link or email, in its December 13, 2022 launch announcement.
Annotating or sketching over an image
Freeform is useful when you want to mark up a floor plan, a photo, or another image while keeping related notes nearby. Apple’s examples include sketching over a floor plan or an image of a basketball court. On iPad, Apple Pencil can be used for drawing; Apple also says people can draw with a finger on iPhone and iPad. Pencil is optional, and compatibility depends on the iPad model.

When should you choose something else?
Freeform is strongest when the layout is flexible and seeing material together matters. Its documented board tools include visual arrangement, drawing, collaboration, search, folders, and PDF export, but that list does not establish that it provides every feature of a specialist app.

- For a polished, fixed-layout document, choose a document or page-layout app suited to that output.
- For formal task ownership, deadlines, and progress tracking, check that a dedicated project-management tool meets your requirements.
- For specialized design or production work, verify that Freeform’s board tools support the workflow before relying on it as the main tool.
Devices, iCloud, and collaboration
Apple documents Freeform for iPhone, iPad, and Mac. Boards stored in iCloud stay up to date across Apple devices when you are signed in to the same Apple Account and have Freeform enabled in iCloud settings. See Apple’s iPhone, iPad, and Mac guides for platform-specific instructions.

Apple’s 2022 launch announcement said a board could have up to 100 collaborators. That is a launch-era figure, not a verified current limit. The same announcement said Freeform was free on supported devices running iOS 16.2, iPadOS 16.2, or macOS Ventura 13.1 at launch; those historical versions should not be treated as current compatibility requirements.

Apple’s Mac guide documents exporting a board as a PDF and sending a copy. The 2022 launch announcement also described PDF export and screenshots. For current recipient-access options and details about how a board appears after export, use the sharing controls in Freeform; the documented options do not establish every file-fidelity or access detail.

Apple’s current support overviews also associate Apple Creator Studio with premium content and AI-powered Freeform features, including automatic cropping and photorealistic image generation. Those are separate from the core use of Freeform as a board for arranging ideas and collaborating. The support pages cited here do not establish Creator Studio pricing or regional availability.
