Google is documenting automatic AI note-taking for qualifying Google Meet calls on Workspace Business Standard and Business Plus: on or after September 21, 2026, notes are set to start by default in meetings with at least three guests, counting the host. That is a configurable default, not a rule for every Meet call. An administrator’s settings, a user’s Meet preferences, and meeting size can change whether note-taking starts.

What the new automatic note-taking default covers

Google’s Workspace Help page, “Manage automatic note-taking for Meet,” describes the default for Business Standard and Business Plus meetings with three or more guests, including the host, effective on or after September 21, 2026. Google says administrators can change the setting, and users can customize their Meet preferences. The date describes Google’s documented policy; organizations may see rollout timing vary.

The threshold and edition matter: a smaller meeting, a different Workspace edition, or changed administrator or user settings may not start notes automatically. Google’s earlier February 2026 announcement concerned a limited Gemini Alpha configuration test, not this later documented default.

How administrators and users control it

Administrator settings

Administrators can manage availability in Admin console at Apps → Google Workspace → Google Meet → Gemini settings → Google AI note-taking. Google says controls can be applied to organizational units or groups. Changes may take up to 24 hours to take effect. If the organizer’s setting allows note-taking, any participant in the meeting can start it.

Admins can also choose how generated notes are shared and whether hosts may change that choice. The documented audience options are all invited guests, invited guests in the organization, or hosts and co-hosts. These sharing settings apply to scheduled meetings. For an impromptu meeting with no invited guests, Google says hosts and co-hosts are the only sharing option. Generated notes are subject to Meet retention policies.

Individual preferences and meeting controls

Users can adjust their own Meet preferences, subject to the organization’s policy. The feature is called “Take notes for me.” Availability can also depend on administrator eligibility settings, smart-feature settings, and host controls. Google’s documentation says all participants are notified when note-taking is enabled. An administrator can require explicit consent before note-taking, recording, or transcription begins; Google does not describe that consent requirement as universal.

What Meet creates and who gets the notes

Gemini transcribes the conversation and produces a Google Doc with meeting notes, including a summary and action items. The organizer and the person who started note-taking receive the document by email. For scheduled meetings, notes may also be attached to the Calendar event. Google says the file is saved in the organizer’s Drive, in a Google Meet folder. The configured sharing audience and retention policy govern access and how long the notes are kept.

Language support and practical limitations

Google lists support for English, French, German, Italian, Japanese, Korean, Portuguese, and Spanish, with one language used at a time. Its Meet Help documentation recommends meetings lasting from 15 minutes to eight hours. Google warns that a summary can be incomplete, inaccurate, or unavailable—for example, because of connectivity problems, policy-violating content, or a meeting shorter than the recommended duration. Treat the generated notes as a useful record to review, not a guaranteed verbatim or complete account.
