Set up webinar registration by deciding who may attend, creating the event, collecting only useful attendee details, choosing approval and capacity rules, and testing the confirmation and join-link flow before you share the signup page. The exact controls vary by platform, account license, and administrator policy.
Plan the registration workflow
Before creating the event, settle the choices that determine who can register and what happens after they submit the form:
- Audience: Is the webinar open to anyone, or limited to your organization or invited attendees?
- Form: Which details do you genuinely need to manage the event or follow up?
- Approval: Should registrants be accepted automatically, or reviewed by an organizer?
- Capacity: Is there a limit on the number of registrations?
- Confirmation: How will registrants receive confirmation and joining instructions?
- Distribution: Where will you share the registration link?
Check public-registration and external-attendee settings before promoting the event. For example, Microsoft Teams lets organizers choose a public event or restrict registration to their organization; actual options can depend on licensing and tenant policy.
Create the webinar and set its audience
In your webinar platform, create the event and enter an accurate title, description, date, start and end times, presenters, and co-organizers. Confirm the time zone shown to attendees. If presenters need time to prepare, account for that before attendees are admitted.

Microsoft Teams
- Open the Teams calendar and create a webinar.
- Enter the event details and choose Public or Your organization for the registration audience.
- Save the event, then configure its registration form and other available controls.

Zoom Webinars
Schedule a webinar in the Zoom web portal and enable Required under Registration. Zoom’s webinar registration documentation lists a Pro, Business, Enterprise, or Education account plus a Zoom Webinars add-on as requirements. Build a short, useful registration form
Ask only for information that has a clear purpose, such as sending event updates, preparing relevant content, or organizing follow-up. Every extra question adds effort for the registrant, so avoid collecting details merely because the form allows it.

Zoom requires registrant name and email and allows additional questions. Microsoft Teams supports preset fields and custom questions, including text, choice, and yes-or-no checkbox types. Mark only essential fields as required; make other questions optional where the platform permits. Teams field availability can also be affected by administrator policy. Choose approval and capacity controls
Automatic approval is simpler for open events because registrants can proceed without an organizer reviewing each request. Manual approval gives the host a chance to review submissions before granting access instructions, which may suit restricted or curated events but adds work and can delay confirmation.

If attendance is limited, set a registration cap where available. Teams offers capacity, approval, and waitlist controls in supported plans and event sizes. Zoom also provides approval settings and registrant management. These controls are not universal across accounts: verify current availability with the platform administrator, especially if a setting is missing. Do not assume a browser confirmation page includes the joining link. In Zoom’s default registration flow, the join link is sent in the confirmation email rather than shown on the browser page. Zoom states: “Upon registration, the confirmation page in the web browser will not display the join link.” Its documentation also describes an option to show joining information on the confirmation page for late registrants. Displaying the link there can remove the email-ownership check provided by sending it to the registrant’s address. Choose the behavior that fits your access needs, then make the next step unmistakable to attendees. See Zoom’s registration settings and email and registration-page customization.

Check the confirmation message for the event date, time zone, and clear joining instructions. If reminders are available, decide when to send them and confirm that the registrant knows whether to expect an email or return to a page for the link.
Preview, publish, and share the registration page
Review the attendee-facing page before it goes live. Check the event details, form fields, audience choice, and confirmation experience, then test the registration link yourself. In Teams, organizers can preview and publish the event site, then copy the registration link from the calendar. Microsoft’s publishing instructions explain the event-site workflow.
- Preview the page as an attendee and correct errors or unclear wording.
- Publish the page and copy its registration link.
- Test the link and complete a test registration if your platform and event setup permit.
- Confirm the expected confirmation email or page behavior.
- Share the link through channels that reach the intended audience.
For a recurring Zoom webinar, take care when editing registration settings: Zoom warns that some changes can affect or remove registration data. Review its current guidance before modifying an event that already has registrants.
Monitor registrations and follow up
After publication, review registrations and form answers, watch for questions or cancellations, and confirm that email delivery and joining instructions work as expected. Use platform reports to see which parts of the signup funnel need attention. Teams reports can include event-site views, registrations, cancellations, attendance, and attendance duration. GoTo’s guidance describes automated invitations, confirmations, reminders, and reporting; the exact controls should be checked in the current account interface.
