To make an email work well on phones, use a flexible layout that fits narrow screens, keep the message concise, make links and images understandable without visual styling, and test the delivered email on a phone. Readers should not have to scroll sideways to read or use it. Because email clients can display the same message differently, check the clients and light and dark modes that matter to your audience.

Build a layout that fits a phone

Use a fluid, simple reading path that can adapt to the available screen width. A single-column layout is a practical starting point: it keeps the message and its main action in sequence on a narrow display. Avoid fixed-width tables, which can force readers to scroll horizontally. Tables are best reserved for actual data, not used as rigid page-layout scaffolding.

Microsoft advises checking that any tables render on phones and tablets. If a table conveys information, keep its structure simple, include row and column headers, and make sure every cell is complete. If the information cannot be understood at phone width, consider whether it can be expressed as text or a list instead.

Google announced Gmail support for responsive email design in 2016, describing messages that adapt to computer, phone, and tablet screens. That announcement is useful context for responsive design, not a promise that every email client supports every CSS feature.

Make the text and actions easy to understand

Write a clear subject and message

State the purpose early, use plain language appropriate to the audience, and keep sections short enough to scan. Put essential information in text rather than embedding it only in an image. Use real lists when presenting steps or related items.

Use descriptive links and image alternatives

Choose link text that tells readers where it leads or what it does; avoid vague labels such as “click here.” Add concise alternative text to meaningful images so their purpose is available when the image is not. Do not use color alone to convey meaning.

Keep text legible and contrast sufficient

Section508.gov’s accessible-email checklist specifies a contrast ratio of at least 4.5:1 for normal-sized text and images of text, and advises against images of text. Microsoft’s Outlook on the web guidance recommends familiar sans serif fonts such as Arial or Calibri, a font size of 11 pt or larger, and sufficient contrast. The 11 pt recommendation is Outlook-specific, not a universal email standard or a guarantee of how a message will render on every phone.

Check the email on a phone before sending

  1. Build the message for a narrow screen. Keep the reading path simple and avoid fixed-width layout tables.
  2. Send yourself a draft. Open the delivered email on a phone and check that you can read and use it without horizontal scrolling. Microsoft specifically recommends this mobile check.
  3. Inspect the important details. Confirm that the subject, body text, links, images, and any data tables remain understandable and that the main action is easy to find.
  4. Check the relevant clients and display modes. Preview or test in the email clients your audience uses, on desktop and mobile where appropriate, and in both light and dark modes. If audience usage data is available, use it to prioritize testing rather than assuming one client represents everyone.
  5. Fix and recheck rendering problems. Make changes when text becomes hard to read, colors lose contrast, content is clipped, or the layout requires sideways scrolling. Reopen the delivered version after changes.

Rendering-preview services can help compare clients and modes. Microsoft’s Customer Insights – Journeys documentation describes light- and dark-mode previewing and a Litmus integration. When choosing a testing workflow, consider client and mobile operating-system coverage, light and dark previews, accessibility checks, and how well the tool fits your campaign workflow. No single preview guarantees identical rendering everywhere.

Design for dark mode and client differences

Outlook, Gmail, Apple Mail, and other clients may leave colors unchanged, partly or fully invert them, or override styles in dark mode, according to Microsoft Learn. Check contrast in both modes instead of assuming colors will be preserved. Microsoft suggests avoiding pure black (#000000) and pure white (#FFFFFF) in contexts where they can trigger unwanted inversion, and offers dark gray (#1A1A1A) and off-white (#F5F5F5) as alternatives. These are Microsoft’s suggestions, not universal color rules.

Account for uneven accessibility support

Accessible authoring helps, but it cannot make every feature work in every email client. The Email Markup Consortium’s 2026 report tested 37 accessibility-related HTML and CSS features across 43 email-client surfaces and found that no client supported all of them. In its benchmark, Apple Mail on macOS scored 34/37, Samsung Email 31/37, Gmail on iOS, Android, and mobile webmail 15/37, and Outlook for Windows 11/37. The report places Gmail desktop webmail at 17/37. These are scores for the features tested, not a complete measure of accessibility or a universal ranking of client quality.

The same 2026 report says that 99.88% of 376,348 emails it analyzed had “Serious” or “Critical” accessibility defects; its observed pass rate was 0.002%, represented by eight emails from three brands. Those figures describe the report’s sample and methodology, not all email in circulation. The practical response is to keep essential content available as text, use robust markup, and test the message in the environments that matter to its readers.
