Plan a large technology expo around the things that matter most to you: confirm that your pass and ID will get you through the door, choose a short list of exhibitors and sessions, and arrange your route, breaks, and phone access before you arrive. Entry rules, hours, transport offers, and accessibility services vary by event and edition, so use the organizer’s current guidance—not another show’s checklist—as the final authority.
How do you plan a visit to a large technology expo?
Work through the trip in this order: verify entry, set priorities, arrange lodging and transport, prepare for venue rules, and check the details again the day before. This keeps fixed requirements—such as registration, identity checks, and timed sessions—from being crowded out by a long list of booths.
- Confirm entry. Check the organizer’s current registration page for the right attendee category, eligibility, required identification, badge collection or digital-pass steps, and entry locations.
- Choose priorities. Decide whether your main goal is product discovery, technical learning, meetings, press coverage, recruiting, or general exploration.
- Build a realistic itinerary. Use the official exhibitor directory, hall map, session schedule, and meeting calendar. Put timed commitments first, group nearby stops, and leave room for queues, walks, food, and unexpected conversations.
- Arrange the trip. Compare lodging and routes by the time and effort needed to reach your entrance, not just by distance on a map.
- Prepare for venue rules and access. Check current security, bag, device, photography, and accessibility information; prepare your phone if the event uses an app-based pass.
- Recheck the day before. Confirm hours, entrances, pass status, session changes, transport alerts, and hotel details.
CES and MWC Barcelona show why details must be checked for the exact edition: CES 2027 specifies a particular badge-pickup process and bag policy, while MWC26 describes an app-based pass and event-specific entrances. Those rules are examples, not standards for every expo.
How do you confirm registration and entry?
Start with the event organizer’s own attendee pages. Check that your registration type matches your purpose and that you meet its eligibility rules. Look for any required proof, identity validation, badge pickup location, activation deadline, and app or digital-pass instructions. Keep the confirmation and required ID accessible, and verify the organizer’s current registration vendor directly before paying.

CES 2027: badge pickup
CES 2027 says attendees need a unique email address and government-issued photo ID for badge pickup, and each person must collect their own badge. Read the current CES badges and registration guidance before travel; do not assume another person can collect your badge.
MWC26: digital access
MWC26’s visit instructions describe identity validation and an app-based digital access pass. They advise attendees to activate the pass before arrival, remain logged in, and keep their phone charged. The instructions also identify separate entrances for MWC and 4YFN. Check the relevant edition’s current guidance for any changes.
How do you plan your expo schedule?
Use the official program and floor plan as planning tools, not as a reason to fill every hour. Choose a manageable set of must-see exhibitors and sessions based on your main goal. Put fixed-time sessions and meetings into the calendar first, then fit in flexible booth visits by hall or venue area.

- Group by location. A cluster of nearby exhibitors is usually easier to visit than bouncing between distant halls for every appointment.
- Add buffers. Leave time for walking, queues, security, venue transfers, meals, and conversations that run long.
- Keep open space. Unscheduled time lets you follow an unexpected lead or recover if an earlier stop takes longer than planned.
- Use the official app or map. CES links to floor plans, transportation information, and its app, which can notify users about sessions and help browse exhibitors. MWC says its series app supports schedule organization and networking.
There is no universal number of days needed to see an expo: the right length depends on the event, your priorities, and how much time you want for sessions, meetings, and exploration.
How should you plan lodging and transport?
Choose accommodation by total travel friction: the time to your relevant entrance, public-transport connections, cancellation terms, and your first scheduled commitment. Reserve early when practical. CES notes that some official hotels can sell out and rates rise as January approaches; that is CES-specific guidance, not a guarantee about other events or dates.
Check the organizer’s live transit information for routes, disruptions, venue entrances, and any event pass or discount. For MWC26, the organizer recommended public transport amid temporary road delays and described a free attendee pass for buses, Metro, and local FGC trains in Zone 1, including an airport trip. It also listed a 15% Renfe discount for travel to or from Barcelona Sants or França from March 2 to March 5, 2026. These were MWC26 terms, not current or recurring offers for another edition.

MWC26 named bnetwork as its official accommodation partner. That does not establish that it is the best option for every visitor; compare it with other lodging based on your route, dates, and booking terms.
What should you bring to a tech expo?
Keep your carry setup light and check the event’s current security rules before packing. Requirements for bag size, prohibited items, rolling luggage, photography, and devices differ across shows.

CES 2027 permits two small bags, each smaller than 12 × 17 × 6 inches, and prohibits rolling bags of any size, including carry-ons and rolling luggage carts. It recommends leaving luggage and bulky clothing at the hotel and says all bags are subject to search. These are CES 2027 rules only; consult the applicable event’s own policy.

Prepare for app-based entry
If your pass, schedule, or networking tools depend on a phone, sign in and activate the pass before arriving. Keep the phone charged; a compatible portable phone power bank can be useful if the event’s rules allow it. Keep your confirmation, required ID, accommodation details, emergency contacts, and day plan available offline in case the network is congested.

Review the organizer’s accessibility page early, especially if you need a specific service or route. Ask the event directly about availability, timing, and the most suitable entrance or transport option rather than relying on a prior edition’s arrangements.
CES says certain services for people with vision or hearing impairments must be requested through registration in advance. Its on-site services page also describes mobility rentals and ADA-accessible transportation during scheduled shuttle hours, which must be requested at least 30 minutes in advance. Include food, water, rest, and charging opportunities in your day where available. If you are attending with others, agree on a meeting point in case you get separated. Learn how the event shares urgent updates and where to reach event or venue security. CES says emergency updates may be sent through its show app, social channels, and public-address announcements; check your own event’s stated procedures.
What should you recheck the day before?
- Pass availability, activation, required ID, and the correct entrance.
- Opening and closing hours, session changes, and any meeting locations.
- Transport routes, service disruptions, hotel details, and time to reach the venue.
- Current bag, device, and security rules.
- Accessibility arrangements and any advance requests you made.
- Phone charge, offline copies of essential information, and a workable plan for breaks.
As one dated example, MWC26 listed general exhibition hours of 08:30–19:00 Monday through Wednesday. Those hours apply to MWC Barcelona in 2026, not to other years or expos.
How should you compare passes, venues, or lodging?
When choosing between options, compare the practical trade-offs rather than the headline price alone.
- Access: Which halls, sessions, networking features, or hours are included?
- Total cost: What required add-ons, transport, and lodging costs affect the trip?
- Location: How long will it take to reach the entrance and places on your schedule?
- Flexibility: What are the cancellation terms, and can your plan adapt to schedule changes?
- Access needs: Does the route and venue arrangement work for your mobility or other accessibility requirements?
- Currency: Does the information apply to the exact event edition and dates you plan to attend?
