You can make room in Google storage without losing important files by first checking what is using your shared quota, then moving or removing only items you recognize. Open Google One’s Storage Manager, review the breakdown for Drive, Gmail, and Photos, and download and verify a local copy of anything you want to keep before removing its cloud copy. Android WhatsApp backups can also use Google Account storage.
What counts toward Google storage?
Google Account storage is shared across Google Drive, Gmail, and Google Photos; Android WhatsApp backups also count. Google says a personal account includes up to 15 GB shared across Gmail, Drive, and Photos, but your available capacity may differ if you have a plan, promotion, or organization-managed account. Check your account’s actual allowance and usage in Google’s storage explanation.
When an account reaches its limit, Google says you may be unable to create or upload Drive files, send or receive Gmail, or back up photos and videos. Checking the breakdown first helps you target the service or category actually using space rather than deleting files at random.
How to review storage and choose safe items
- Open Google One Storage Manager. Review storage use by service and the suggested cleanup categories. Google’s storage management instructions explain how to find items that count toward your quota.
- Start with large items you recognize. Large photos and videos can take substantial space. In Drive, use the storage view to find larger files and review them before removal. Do not delete an item just because it appears near the top of a list.
- Decide whether each item must stay online. If you need the file but do not need it in Google’s cloud, download a copy where the service supports that option. Open the downloaded copy to confirm it works before deleting the cloud version. You can use existing computer disk space; an external drive is optional.
- Remove only what you can safely lose or store elsewhere. Deleting a cloud copy can remove online access or sync availability. Google’s computer cleanup instructions include downloading Photos files before removing them.
- Check the updated storage figure. Google says storage figures can take 48–72 hours to update accurately after many files are deleted. A delayed change does not necessarily mean the cleanup failed.
Free space in Google Photos without losing photos
If you want to keep a photo or video but remove it from Google’s cloud, download it first and verify that the local copy opens. Then decide whether you are comfortable losing its cloud availability. Do not assume that every Google service has the same export or download workflow.

Check backup date and quality before deleting older photos to reclaim quota. Under Google’s stated policy, Storage saver photos backed up before June 1, 2021 do not count against storage; Storage saver photos backed up after that date do. Deleting a pre-cutoff Storage saver photo therefore may not free quota. Google’s storage policy details describe what counts.
Review Gmail messages before deleting them
Use Storage Manager to identify cleanup suggestions, then look for particularly large messages with attachments and inspect them individually. Deleting a message also deletes its email record, so keep messages you need for reference, receipts, or other records. Emptying mail you no longer need can help, but do not treat every large message as disposable.

Check who owns files in shared Drive folders
Files shared with you generally count against their original owner’s storage, not yours. However, copies you make, files you add to shared folders, and files whose ownership is transferred to you can count against your quota. Review ownership before removing shared content; deleting a file you merely view may not free your own storage.
Handle Trash, spam, and backups carefully
Deleted files in Drive and messages in Gmail Trash or Spam can continue to consume storage until they are permanently cleared. Review their contents before emptying them: permanent deletion can be irreversible, and you may not be able to restore something you still need.

Android WhatsApp backups count toward Google Account storage. Excluding videos can make future backups smaller. Deleting an existing WhatsApp backup is permanent and may leave you without chat history if you change phones or reinstall WhatsApp before a new backup exists.
Know the difference between computer disk space and Google storage
Free space on your computer is separate from your Google cloud quota. Drive for Desktop sync settings and local placeholders can also make desktop storage figures look different from what is stored online. When cleanup is not enough
If you need to keep every file in Google and cannot safely remove anything, cleanup cannot make the occupied cloud storage disappear. Google documents buying more Google One storage as an alternative. That adds capacity; it does not free space already in use. Compare the added capacity and recurring cost against the value of keeping the files online, and avoid risking important data just to reduce the quota.
