You may not need a reputation management suite to manage Google reviews. For one verified Business Profile and a manageable review volume, Google’s free tools let you read and reply to reviews and share a review-request link. Consider paid software when a real workflow need—such as multiple locations, a shared inbox, approval controls, alerts, or reporting—outgrows that baseline.
Start with Google Business Profile for one manageable location
Google requires a verified Business Profile before a business can reply to customer reviews. In the profile, an owner can read reviews, post replies, and later edit or delete those replies. Approved replies appear publicly under the review, and Google notifies the reviewer. Google also explains how to share a review link and create a request link or QR code. See Google’s instructions for managing customer reviews.
That native workflow is a reasonable starting point when one business manages one profile, review volume is manageable, and there is no need for a centralized inbox spanning other platforms. Google says review availability can vary by region and business category and may change. It may also display reviews from trusted non-Google sources on a Business Profile; do not assume those third-party reviews can be managed through Google’s native reply workflow.
Keep review requests neutral and genuine
Any tool that asks customers for Google reviews must fit Google Maps’ user-generated content policy. Google allows businesses to encourage reviews that reflect genuine experiences, but prohibits incentives, discouraging or prohibiting negative reviews, and selectively soliciting positive reviews. Read the Google Maps User Generated Content Policy.

Before buying a request-campaign feature, ask whether it sends requests without filtering customers by likely sentiment and whether its prompts avoid steering the rating or wording. Do not use “happy customer only” funnels or negative-review suppression. A review-request QR code can make the link easy to reach at a counter, but customers should remain free to leave honest feedback.
Match the tool to the work you need done
| Situation | Practical starting point |
|---|---|
| One location, Google only, modest review volume | Google Business Profile; a spreadsheet or simple internal assignment process may be enough. |
| One or a few locations, mainly Google reviews | Consider a focused tool if you need alerts, reply drafting, approval controls, or straightforward review requests. |
| Many locations or agency clients | Look for location or client management, a shared inbox, user roles, alerts, reporting, and—if relevant—white-label capabilities. |
| Several review platforms plus messaging or other customer workflows | Compare broader reputation or customer-communication suites, but check that the bundled features will actually be used. |
A paid product is worth evaluating when it solves a specific operational problem, not simply because it promises more features. For each vendor, check:
Rank #2
- How many profiles, locations, or clients the quoted plan supports.
- Which review platforms it monitors and whether it can publish replies back to the original platform.
- Whether sensitive replies can require human approval, and whether any automatic posting is optional and controllable.
- How review-request campaigns work and what safeguards prevent sentiment-based filtering.
- Which alerts, analytics, team permissions, and integrations are included.
- Whether pricing is per account, location, or usage tier, plus any contract, onboarding, messaging, or add-on charges.
- Whether you can export your data and disconnect the service if you leave.

Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Use a QR sign only as an optional prompt
A custom business QR-code sign can display the business’s own review-request link at a counter. Google documents review links and QR codes, but does not endorse a physical sign in the cited help page. Verify the code’s destination and ask for honest reviews without incentives or pressure. A useful search phrase is “custom Google review QR code sign for business”; no specific sign brand is recommended here.
