For UK shift-based businesses, Workforce.com, Quinyx, SD Worx Time, Deputy and RotaCloud are five options worth comparing—but there is no universal winner. A multi-site employer combining scheduling, HR and payroll has different needs from a small venue that mainly needs mobile clock-ins and rota management. Choose by workforce complexity, clock-in method, payroll compatibility and approval workflow, then confirm current pricing and product details with the vendor.

The shortlist and positioning below reflect a UK-focused 2026 buyer guide, not hands-on testing or an independent performance ranking. Product capabilities and integrations can vary by country, edition and plan.

How to choose time and attendance software

Time and attendance software records when employees work and turns those records into timesheets for review, approval and, often, payroll. The right fit depends less on the number of features than on whether the system supports your actual locations, shifts, pay rules and payroll workflow.

  • Workforce and shift complexity: Consider employee count, locations, shift patterns, role coverage and whether managers need scheduling as well as time tracking.
  • Clock-in channels: Decide whether staff need a dedicated terminal, a shared-tablet kiosk, a browser timesheet, a personal mobile app or a mix. If location checks or biometric options matter, verify how they work in the specific plan and region.
  • Rules and approvals: Check handling of breaks, leave, holidays, overtime and exceptions, along with who can correct, review and approve records.
  • Payroll and HR compatibility: Confirm the exact payroll product and version, supported fields, pay rates, contractor handling and whether staff hours flow automatically or need manual export and reconciliation.
  • Implementation and cost: Ask about setup, configuration, hardware, training and current pricing for your geography. The five-product UK guide describes Workforce.com as quote-based; it does not establish comparable current prices for the shortlist.

Best time and attendance software: UK shortlist

The following audience distinctions and limitations are reported by Workforce.com’s UK comparison guide, accessed in 2026. They are useful starting points, not universal rankings; validate current capabilities and fit directly with each provider.

Consider Workforce.com if you want time tracking alongside scheduling, HR and payroll capabilities for a shift-based, multi-site workforce. Its breadth may be useful when managers need several workforce tasks in one platform. The UK guide flags setup and configuration as a consideration, so ask what implementation entails for your locations, rules and integrations.

Quinyx: complex scheduling at larger organizations

Quinyx is the guide’s option for larger organizations with complex scheduling. That focus may suit operations where shift planning is a major part of workforce management. The guide says payroll is handled through third-party integration; verify the connection to your exact payroll system and whether it transfers all the hours and pay details you need.

SD Worx Time: businesses using SD Worx payroll

SD Worx Time is positioned for mid-market and enterprise businesses aligned with SD Worx payroll. The guide reports that it has no native scheduling, so establish whether your existing scheduling process or another system can cover that requirement without creating duplicate work.

Deputy: smaller shift-based teams

Deputy is positioned for smaller shift-based businesses that need mobile clocking. The guide names Xero, Sage, QuickBooks and BrightPay as payroll integrations, but says Deputy has no native payroll or HR. Confirm which payroll edition is supported and whether the integration fits your approval and pay-rate workflow.

RotaCloud: independent venues

RotaCloud combines rota management and time tracking, and the UK guide positions it for independent venues. The guide reports limited payroll integrations and says it is not designed for complex multi-site hierarchies. A venue with one or a few locations may have a different fit from a large employer with layered reporting and payroll needs.

Clock-in methods and employee time clocks

Time capture may happen through a dedicated terminal, shared tablet, browser or personal mobile app. Pick the method around how employees work: a shared kiosk can suit a fixed workplace, while mobile or browser access may matter for distributed teams. Location or biometric controls are vendor-specific features; confirm availability, device requirements and how they apply to your workforce rather than assuming every product supports them.

UKG says its time and attendance offering supports biometric clocks, mobile apps and web systems, and that attendance data can feed payroll. Its InTouch DX smart timeclock page describes facial recognition, quick authentication, alerts, schedule updates and language options. These are UKG product claims, not independent verification of accuracy or fraud reduction. See UKG’s time and attendance information.

ADP says employees can submit time through smart clocks, web timesheets, a shared-tablet kiosk app or personal mobile apps. It describes breaks, PTO, holidays, overtime, geofencing and biometric options, and says calculated time totals can be sent to payroll. ADP identifies clock and kiosk choices for customers using ADP Workforce Now and RUN powered by ADP; verify plan, region and device requirements directly. See ADP’s time and attendance information.

Check compatibility before buying hardware

A physical employee time clock is not automatically compatible with every attendance platform. UKG names its InTouch DX clock, while ADP describes its own clock and shared-device kiosk options. Before choosing a terminal or shared tablet, check the software vendor’s compatibility list, required configuration and any plan restrictions. Do not assume a generic clock can send records to a chosen platform.

Payroll integrations: verify the actual handoff

An integration badge does not establish that a system transfers every field or handles every employee type. Ask the provider to demonstrate your real workflow: clock-in through approved payroll, including corrections, pay rates, overtime and leave where relevant. Find out whether managers must reconcile exports or whether data passes directly into payroll.

Gusto’s official app directory says its listed time-tracking integrations can sync regular hours, overtime, double overtime and PTO. It also says contractor-hour syncing is unsupported in those integrations and only one integration’s data is used at a time for a payroll sync before submission. Gusto says Deputy, Homebase and WhenIWork support multiple pay rates, with reporting limitations in how those rates appear. Check the current directory and the exact integration before relying on it. ADP says its time totals flow to payroll, and UKG says attendance data can feed payroll, but these are vendor statements. For an external payroll connection, confirm the supported product edition, region, fields and approval sequence with both providers.

Questions to ask before choosing

  • Can employees clock in using the terminal, kiosk, browser or mobile app we actually need?
  • Are location checks, biometrics or shared devices available in our market and plan, and what equipment or configuration do they require?
  • Can the software apply our break, leave, holiday and overtime rules, and can managers review exceptions before payroll?
  • Which payroll versions integrate, and exactly which fields—including multiple pay rates and PTO—are transferred?
  • How are contractors, multiple locations and corrections handled? Can more than one time source feed a payroll run?
  • What setup, training, hardware and ongoing support are needed, and what is the current total cost for our organization?

UK labor rules, payroll products and software editions can vary. Confirm legal requirements with authoritative sources and obtain vendor confirmation for the configuration you intend to use.
