Protect an Access database by creating a dated backup copy, choosing a schedule that matches how often it changes, and knowing how to restore either the whole file or an individual object. Access has a built-in backup command; multiuser databases need coordination, split databases need separate front-end and back-end care, and Compact and Repair is not a substitute for a backup.

1. Use Access’s built-in Back Up Database command

Access can create a separate backup copy through its Save As workflow. The default filename identifies the source database and the backup date, which helps distinguish copies when you need to restore one. Microsoft documents this process for Access desktop databases in Protect your data with backup and restore processes and its Access backup walkthrough.

  1. Open the database you want to protect.
  2. Select File > Save As.
  3. Under File Types, choose Save Database As.
  4. Under Advanced, choose Back Up Database, then select Save As.
  5. Choose the destination and save the copy. Keep the generated source-and-date filename, or use a similarly clear name if you rename it.

Save the backup somewhere distinct from the working copy when practical. A copy next to the original may help with accidental changes, but it will not protect against loss of the storage location.

2. Set backup frequency according to how often the database changes

There is no single schedule that suits every database. Microsoft’s guidance distinguishes rarely changed archives or reference databases from active databases with frequent updates: a copy after a change may be sufficient for the former, while the latter need regular backups. Choose a routine based on how much recent work you could afford to lose.

  • Archive or reference database: Back it up when its data or design changes.
  • Frequently updated database: Make copies on a regular schedule that fits its update rate and your acceptable data-loss window.
  • Multiuser database: Make a copy after a design change, and coordinate the backup with users as described below.

Before an action query that changes or deletes records, consider creating a copy. Access Undo cannot reverse every change made by an action query. Microsoft covers these planning considerations in its backup and restore guidance.

3. Coordinate backups when other people use the database

For a shared database, have users close their databases before you make a backup so their changes are saved. A backup taken while others are working may not capture the state you expect, and a back-end backup of a split database specifically requires exclusive access.

  1. Tell users when the backup will happen.
  2. Ask them to save their work and close the database.
  3. Confirm that nobody is still using the database before starting the backup.
  4. Create the backup, then let users know when they can resume work.

Microsoft’s overview of shared Access desktop databases notes that a single shared file on a network drive is the simplest sharing approach, but concurrent editing can bring reliability, availability, performance, and security limitations. 4. Back up a split database’s back end with exclusive access

A split database separates the tables that hold data into a back end from the queries, forms, reports, and other objects in a front end. Users typically work through local copies of the front end that connect to the shared back end. For the back-end backup, Microsoft instructs you to open the back-end database exclusively and use Access’s built-in backup workflow.

  1. Notify users that the back end will be unavailable during the backup.
  2. Make sure users have closed their front ends and are no longer connected.
  3. Open the back-end database with exclusive access.
  4. Use File > Save As > Save Database As > Back Up Database, then choose the backup destination.

Microsoft’s split database guidance also recommends backing up before splitting. Data changed during the splitting process may not be reflected in the resulting back end, so do not treat splitting as a backup operation.

5. Back up the front end after design changes

The front end contains database objects users interact with, such as forms, reports, and queries. Because the back end and front end protect different things, a back-end copy does not preserve front-end design changes. Microsoft recommends backing up the front end after a design change; use the same built-in backup command on the relevant front-end file.

6. Make a copy before action queries that change or delete data

An action query can update or delete records, and Undo cannot restore every such change. Before running one, save a separate copy of the database so you have a known-good version to return to if the result is not what you intended. This is especially useful before a consequential data operation; it is not a replacement for your regular backup schedule.

7. Back up before Compact and Repair

Compact and Repair is a maintenance and recovery operation, not a backup method. Microsoft warns that “During the repair process, Access may truncate some data from tables that are damaged.” Create a backup immediately before running it, and ensure the database is not in use because the operation requires exclusive access. You can run Compact and Repair manually on an open or closed database, or configure it to run when the database closes. Automatic compact-on-close can momentarily disrupt availability in a multiuser database. If repair is only partially successful, Access records objects it could not repair in MSysCompactErrors. When you have a previous backup, that table can help identify objects to import into the repaired database.

8. Keep a known-good copy somewhere separate

A backup is useful only if it is a copy you trust and can retrieve. Microsoft gives a USB external backup device as one possible destination for a known-good copy. An external drive is a storage destination, not an automatic backup process: you still need to create and manage the copy.

Microsoft says you can save an Access database in OneDrive or a SharePoint document library, but recommends avoiding opening it directly from those locations. A file may be downloaded locally for editing and uploaded after saving; when multiple people open it, multiple copies and unexpected behavior can result. The warning applies to single and split databases and formats including .accdb, .accdc, .accde, and .accdr. Do not assume that opening or syncing a live Access file there is a complete backup strategy. Read Microsoft’s sharing guidance and its SharePoint data guidance.

How do I restore an Access database from a backup?

First identify a backup whose data and design you trust. The restore method depends on whether you need the complete database or only one object. Microsoft describes both options in its backup and restore instructions.

Restore the whole database file

For a missing, damaged, or data-problematic database, replace the affected file with the known-good backup copy. If other databases or programs link to that file, restore it to the expected location; moving it elsewhere can break those links, which may then need updating.

Restore one object

If only an object is missing or damaged, import that object from the backup into the current database rather than replacing the entire file. Check its location and any links that depend on it.
